This help guide will explain how to access, manage, and navigate Staff Profiles in Tanda. We will start by explaining what Staff Profiles are and how to access them before walking you step-by-step through each tab of a typical Staff Profile.
What Does This Help Guide Cover?
What are Staff Profiles?
By default, every employee in Tanda has a Staff Profile, which houses essential information such as Personal Details, Pay Conditions, Leave Balances, Performance Reviews, Emergency Contact Information, and much more.
Staff Profiles are effectively an employee's 'home page' in Tanda. If you are looking for information about a particular employee or need to update an employee's information, their Staff Profile should be your first port of call.
Additionally, this is the place to set an employee's permission levels, manage their Pay Conditions, and deactivate an employee (more on this below).
Accessing a Staff Profile
To access an employee's Staff Profile, navigate to the main Staff List page via Workforce > Staff.
Then, simply click on an employee's name to access their Staff Profile. For example:
Personal
For the remainder of this help guide, we will discuss each tab of a typical Staff Profile, starting with the Personal tab.
When you navigate to a Staff Profile, you will automatically land on the Personal tab, which houses an employee's Personal Details, Teams, and Emergency Contacts.
Personal Details
As the name suggests, this section contains an employee's personal details, including their name, email, address, date of birth, and employment start/end dates.
This page also contains an employee's time clock password and an 'Email Clock-In Details' button in case the employee forgets it.
An employee's Personal Details are used in many areas throughout Tanda. For example, an employee's Start Date is used to calculate Long Service Leave entitlements (among other things), while their Date of Birth is used to calculate pay raises in many Award Templates.
Accordingly, it is best practice to ensure the details entered in this section are current and up to date.
Permissions
You can also update an employee's Permission Level(s) on this page by using the tick boxes on the right.

Teams
On this page, you can define which Teams an employee is a member of and which teams they manage (if applicable).
To add an employee to a team, select a team from the dropdown menu, tick the box, and select 'Update Teams.'
Additionally, you can set an employee's Default Payroll Team on this page (e.g., which team an employee primarily works in for payroll purposes). This setting is used throughout Tanda, so please ensure these details are accurate.
At the bottom of the page, you will see a table summarising which teams an employee is a member or manager of.

Emergency Contacts
This section contains an employee's emergency contact information. You can edit this using the 'Edit Emergency Contact' button or add a new contact by selecting + New Emergency Contact.
To remove an emergency contact, select the arrow next to 'Edit Emergency Contact' and click 'Remove Contact.'
Deactivating a Staff Profile
The option to deactivate an employee's profile appears at the bottom right of the Personal tab of that employee's profile.
If an employee is leaving your company and you need to deactivate their profile, click this button. Note that you can reactivate an employee's profile later if required.

Pay Conditions
Pay Conditions define how an employee is paid throughout Tanda, influencing Rosters, Timesheets, Payroll, Leave, and much more. These are critical to ensure employees are paid accurately.
Select 'Edit Pay Conditions' to update an employee's pay conditions. Then, select when you want the changes to take effect, make the necessary changes, and click 'Confirm Changes.'

Pay Configuration
You can manage an employee's preferred weekly hours and Pay Period in the Pay Configuration tab.
You can also define an employee's Overtime Averaging Period. Learn more in our Overtime Averaging in our help guide.
Award Rules
This page displays all the Award Rules that apply to that particular employee, including the associated pay rates. Click 'View' for more details on that Award Rule.
If you have an issue with an employee's leave not applying correctly (or another Award Rule not applying), we recommend first navigating to this page to diagnose the problem. If that doesn't resolve things, please contact support@tanda.co for further assistance.

Wage Compare
Tanda's Wage Compare feature compares what an employee actually earned with what they would have earned under a different pay classification.
Click + Add Wage Comparison to create a new one, then follow the prompts to input the appropriate details.

Casual Conversion Events
Tanda's Casual Conversion feature can identify casual employees who may be suitable for conversion to a permanent employment type.
Select + New to create a new casual conversion event, then follow the prompts to input the appropriate details.

Time & Attendance
This section of the Staff Profile relates to an employee's timesheets, rosters, and general attendance.
Timesheets
On this page, you can see all of an employee's Timesheets, including the hours, cost, and Timesheet status. Click on the Timesheet dates to see the full details for that Timesheet.
You can also download an employee's Timesheets via the 'Download Timesheets' button.

Rosters
This page provides the full details of an employee's rosters, including shift length, creation date, acceptance status, and more.
The 'Employee History' tab at the bottom of the page lets you view an entire audit history of the employee's rosters.
Clock-ins
View all of an employee's clock-ins on this page. Click on the 'Time Clock' link to view additional details about that clock-in.

Leave & Unavailability
Leave
Employees can navigate to this page to create a new leave request or view an existing one. Simply select + Create New Leave Request to apply for leave or 'View Request' to view the details of an existing leave request. You can also see the status of a leave request (e.g. Pending or Approved).

Unavailability
Employees can navigate to this page to view and manage their existing Unavailability requests, including details on the request status and whether the unavailability request repeats.
To submit a new Unavailability request, navigate to Time & Attendance > Unavailability.

Hire & Onboard
The Hire & Onboard tab shows an employee's onboarding status and responses to custom onboarding questions you may have configured. You will also see the option to send the employee an onboarding email.

On this page, you will see any contracts or documents that apply to that employee. You will also see whether that contract has been signed or is pending, and the option to view or withdraw the contract.

Train & Qualify
This tab allows you to view and manage an employee's qualifications. Click + Add Qualification to configure a new qualification for that employee.
You will also see any training assigned to that employee, along with the training status, the employee's score on that training, and the option to view more details.

Navigate to this tab to view any Performance Reviews or Warnings for that employee. Click view to see more details.

This tab houses any forms associated with that employee (e.g. a uniform order form).

Notes & Files
This tab houses any notes or files associated with that employee. For instance, a manager may attach a note for the employee to review.

This tab details any incidents the employee may have been involved in, including details on the severity and more.
