This guide provides a summary of the main award clauses contained in the Storage Services & Wholesale Award and their application in Tanda.

Configuring the Managed Award Template

This section of the guide will take you through the options available for configuring employees under the Storage Services Award Managed Template.

Enabling the Award Template

To utilise the Storage Services Award Template in your account you will first need to enable the Managed Template in your account. To do this navigate to Time & Attendance > Compliance > Award Template > Apply Template:

Select the relevant payroll system if you have not already enabled an integration:

Scroll down the page to Apply an Award > click Enable next to the Award Template you would like to apply to your account:

Once the Award Template has been enabled you have the option add staff to the award via the + Add Staff to Award button.

Classification of Staff

To pay an employee under a Managed Template, you will need to configure their employee profile with the Managed Template as the Industry Award, an Employment Type and a Classification/Level.

Setting Up Employees on the Managed Template

To configure an employee on the Storage Services and Wholesale Managed Template, go to Time & Attendance > Staff > (Employee Name) > Pay Conditions > Under Industry Award select the Award applicable to the employee, as below:

Once the Storage Services and Wholesale Managed Template has been assigned to the Pay Conditions, the Employment Types and Classification/ Levels available under the selected Managed Template will populate via drop downs for each selection:

Assigning an Employment Type

An Employment Type is a tag which all the pay conditions (Award Rules) are associated to for an employee including penalties and overtime. An example of this kind of tag is 'Full Time'.

The Available Employment Types:

10 Hours Agreed

📜 13.1 Ordinary hours of work - day workers

(d) An employee may work up to 10 ordinary hours in a day, by agreement between the employer and the majority of employees concerned or between the employee and the employer.

Per clause 13.1(d) an employee may agree to work up to 10 ordinary hours in a day instead of 8 hours. In the Managed Template this can be facilitated on an ongoing or ad-hoc/ irregular basis.

If an employee has agreed to work up to 10 ordinary hours in a day on an ongoing basis you can use one of the 10 Hours Agreed employment types. These employment types will allow the employee to work 10 ordinary hours before incurring daily overtime.

Weekends Agreed

📜 13.1 Ordinary hours of work - day workers

(e) The days on which ordinary hours are worked may include Saturday and Sunday by agreement between the employer and the majority of employees concerned or between the employee and the employer.

Per clause 13.1(e) an employee may agree to work ordinary hours on Saturday and/or Sunday. In the Managed Template, this can be facilitated on an ongoing or ad-hoc/ irregular basis.

If an employee has agreed to work ordinary hours on Saturday and/or Sunday on an ongoing basis you can use one of the Weekends Agreed employment types. These employment types allow employees to work ordinary hours on weekend days, which would otherwise be treated as overtime for non-weekends agreed employees.

For more information on how the 'Weekends Agreed + 10 Hours Agreed' employment types diverge from the general employment types, please see below:

Weekends Agreed + 10 Hours Agreed

An employee may agree to work ordinary hours on weekend days per Clause 13.1(e)) and up to 10 hours in a day (Clause 13.1(d)). In the Managed Template, this can be facilitated on an ongoing or ad-hoc/ irregular basis. For more information

If an employee has agreed to work to work up to 10 hours a day and on weekends on an ongoing basis, then they may be configured on a Weekends Agreed + 10 Hours Agreed employment type.

The Weekends Agreed + 10 Hours Agreed employment types will allow employees to work on weekends and up to 10 hours per day before incurring overtime. For more information on how the Weekends Agreed + 10 Hours Agreed employment types diverge from the general employment types, please see the Automatic Overtime section of this article.

Assigning a Classification/ Level

A Classification/ Level is the tag that will pay the employee their base rate which all penalties and overtime is calculated off. An example of this tag in the Storage Services Managed Template is 'Level 1 Wholesale Initial'.

The Available Classifications/ Levels:

  • Level 1 Wholesale Initial

  • Level 1 Wholesale 3 Months

  • Level 1 Wholesale 12 Months

  • Level 2 Wholesale

  • Level 3 Wholesale

  • Level 4 Wholesale

  • Grade 1 Storeworker Initial

  • Grade 1 Storeworker 3 Months

  • Grade 1 Storeworker 12 Months

  • Grade 2 Storeworker

  • Grade 3 Storeworker

  • Grade 4 Storeworker

Please see the profile configuration of a Full Time employee paid as a Grade 2 Storeworker:

📝 Important to note: An employee engaged as a Grade 1 Storeworker or Level 1 Wholesale Employee is required to receive a rate increase after 3 and 12 months.

This increase can be managed in Tanda by scheduling a change to the employee's pay conditions. You can align the increases to the employee's commencement date recorded in the Employee Profile.

For example, if an employee was engaged on 14 February 2024, a scheduled pay condition change could be set up to update the employee's Classification/ Level from Level 1 Wholesale 3 Months to Level 1 Wholesale 12 Months on 14 February 2025, 12 months after they were engaged as an employee.

Part Time Employee Set Up

The Storage Services Award outlines that a Part Time employee will have an agreed, regular pattern of work on commencement of their engagement with the Employer.

📜 10.3 At the time of engagement the employer and the part-time employee will agree in writing, on a regular pattern of work, specifying at least:

(a) the hours worked each day;

(b) which days of the week the employee will work; and

(c) the actual starting and finishing times each day.

📜 10.4 Any agreed variation to the regular pattern of work will be recorded in writing.

This agreed regular pattern of work can be configured and managed in Tanda, please see below for further details:

Regular Hours of Work

Clause 10.3 can be managed using the Regular Hours of Work tab in the employee profile.

To record a Part Time employee's regular pattern of work in Tanda navigate to Workforce > Staff > (Employee Name) > Pay Conditions & Hours > select Edit Current Pay Conditions > + Week.

Enter the applicable hours in the below fields including start and finish times, meal breaks and the teams the employee will work their regular hours in.

In addition, if you input a figure into the contracted weekly hours field, a roster validation will flag if the employee has not been rostered for their weekly hours.

Once all the relevant contracted hours have been entered select 'Done' and 'Confirm Changes'

Please see the below employee with a regular pattern of work totalling 11 hours per week:

If a Part Time employee then works beyond their contracted hours, overtime will automatically apply to the timesheet. Please see the example below where a Part Time employee has worked beyond their regular pattern of work:

Variation to the Regular Hours of Work

📜 10.4 Any agreed variation to the regular pattern of work will be recorded in writing.

An agreed variation to a Part Time employee's regular pattern of work per clause 10.4 can be recorded in Tanda.

A record of the agreement, including the time it was agreed to, can be captured in either of the below ways:

  • On the Tanda Mobile App if the variation is known prior to the shift commencing; or

  • On the employee time clock app when the variation is not yet agreed to prior to commencing the shift.

To use this feature please see Have employees mutually agree to variations from their contract hours which is an article that details how the shift acceptance feature can be enabled.

Once this feature has been enabled, a record of an agreement to vary the regular hours will be visible against the employee profile and on timesheets.

The shift tag that is available in the Storage Services and Wholesale Award Managed Template that can be used to configure acceptance to a change to the agreed regular pattern of work is 'Accepted Shift Variation'.

To utilise this tag firstly save it to the profiles of the applicable employees by navigating to Workforce > Staff > (Employee Name) > Payroll > under Additional Tags search for Accepted Shift Variation shift tag and save it to the employee profile.

Then this tag can be used in the configuration of a shift question as detailed here.

Alternatively, the shift tag can be applied manually to the timesheet using the 'Select Tag' drop down field:

The above is also how the shift tag will display in the timesheet if the tag is used in the configuration of a regular hours variation shift question.

Roster Validations

To prevent accidental variations from occurring, Tanda uses roster validations to flag variations to employee's regular hours of work.

To ensure the validations work correctly, you will need to ensure you have the correct validations enabled.

Navigate to the roster validation settings through All Settings > Rosters > Scroll to Validation.

The validations highlighted below relate to the regular hours of work:

If an employee is not rostered for their minimum base hours or is rostered outside their regular pattern of work, managers will be notified on the roster with a shift validation.

Casual Employee Set Up

Casual Loading

📜 11.2 Casual Loading

For each ordinary hour worked, a casual employee must be paid:

(a) the minimum hourly rate for the classification in which they are employed; and

(b) a loading of 25% of the minimum hourly rate.

Casual loading in Tanda is applied using the multiplier method.

In the Tanda Employee Profile, the base hourly rate will be displayed as the 'Award Hourly Rate' and the casual rate is expressed as the Monday to Friday pay rate. This is demonstrated in the below image:

The base hourly rate is always expressed as 1.25x on the timesheet and where applicable, penalty rates are expressed with the additional casual loading amount.

Casual Conversion Dashboard

Australia's National Employment Standards provide a casual employee with a pathway to become a permanent employee. This pathway is known as 'casual conversion'.

Casual Conversion is referenced under the Storage Services and Wholesale Award:

📜 11.4 Offers and requests for casual conversion

Offers and requests for conversion from casual employment to full-time or part-time employment are provided for in the NES.

Tanda has a Casual Conversion Dashboard which can be used to identify casual employees that may be suitable for conversion to a permanent employment type.

Paying Above Award

If employees are paid a base rate higher than the Award rate, enter the employee's base rate in the highlighted field below. This will override the rate in the system, and penalty rates and overtime will be calculated from this new rate.

Age Classifications

When setting up the employee’s profile please ensure their date of birth has correctly been entered. Tanda will automatically use the age set on the profile age to apply the correct base rate.

You will find the employee's date of birth details in the Personal tab of the employee profile.

Junior Employees

The Storage Services and Wholesale Award outlines specific rates for Junior Employees:

📜 15.2 Junior rates

The minimum rate to be paid to a junior employee is as follows:

When a junior employee is engaged as a Storeworker grade 1 or Wholesale employee level 1, their pay rate will automatically populate to the appropriate rate for their age, providing their birthday has been accurately recorded in Tanda.

When a Junior employee has a birthday resulting in a change to their hourly rate, the rate in Tanda will automatically update on the birth date.

Higher Duties

Under the Storage Services Award, if an employee works in a role that is of a higher classification than what they are engaged under they are to be paid the following for the hours worked:

📜15.3 Higher duties

(a) A weekly employee who performs work temporarily at a classification higher than that under which the employee is engaged or deemed to be working, the employee will be paid as follows:

(i) up to 3 hours on any one day—the rate prescribed for such higher classification for the time worked at the higher level with a minimum of one hour;

(ii) over 3 hours on any one day—a full day’s pay at the rate prescribed for such higher classification; or

(iii) over 20 hours in any one week—a full week’s pay at the rate prescribed for such higher classification.

(b) A weekly employee must not suffer any reduction in wages during any week by reason of the employee performing work for a part of such week at a classification lower than that under which the employee was engaged or deemed to be working.

(c) If, at the direction of their employer, a casual employee performs the work of 2 or more classifications on the same day or shift, they will be entitled to the hourly rate applicable for the classification relevant to the work that the employee spends the largest proportion of their time undertaking on the day or shift.

(d) A casual employee will only be entitled to receive the hourly rate applicable to a particular classification if they have the required skills referred to in the appropriate classification and are utilising those skills.

Higher Duties can be configured in the Storage Services and Wholesale Managed Template settings:

The Higher Duties setting will open a Higher Duties Builder, where you can configure the required higher duty jumps.

Once a higher duties jump has been configured, any employees who are configured with the 'From Level' as their classification will automatically be assigned the 'Level 2 Wholesale Higher Duties' tag in their employee profile:

Once the Higher Duties jump has been configured in the Managed Template settings, there are two options to apply the Higher Duties in the Timesheet:

  1. Automatically based on the team that a shift is worked in. This is achieved using associated tags.

  2. Manually by allocating the higher duties tag on a timesheet.

You can use the shift tag drop-down in the Timesheet to manually apply Higher Duties to a shift:

Once the Higher Duties tag has been added to the shift, the hours worked will be paid for at the higher rate:

To have the ability to add a shift tag to the timesheet, you will need to ensure you have the setting enabled. For more information on enabling this setting, please see the Getting Set Up To Use Shift Tags section of this guide.

Managing Breaks

Under the Storage Services Award, employees are entitled to both unpaid meal breaks and paid rest breaks per clause 14:

📜 14. Breaks

14.1 Meal breaks

(a) No employee will be required to work longer than 5 hours without a break for a meal, not less than 30 minutes or more than one hour in duration.

(b) Where a meal break is to be taken immediately prior to or during a period of overtime, it will not exceed one hour in duration.

14.2 Rest break

All employees are entitled to a paid rest break of 10 minutes each morning and afternoon. These breaks are to be counted as time worked and taken at a time fixed by the employer, provided that the rest break will not be:

(a) within one hour of normal commencement or cessation of work; or

(b) within one hour either side of a meal break.

Break Template

There is a break template available as part of the Storage Services and Wholesale Managed Template that can be used to auto-roster the above breaks.

To view the break template navigate to Time & Attendance > Compliance > click Manage against the Storage Services and Wholesale award template > view the breaks under Breaks for Storage Services and Wholesale (MA000084):

To edit the break template click Edit in the Breaks for Storage Services and Wholesale (MA000084) box and you will be taken to the break settings:

This break template can then be used for automatically rostering and applying breaks in timesheets. For more information on automatic breaks see the Setting up and managing automatic breaks guide.

Timesheets

Once an employee has clocked in and out of the Tanda app, this clocked time will be converted into a timesheet.

The time worked will be interpreted in Tanda based on the employee's Employment Type and Classification/Level as configured in the Pay Conditions tab.

General Information

An example of an interpreted timesheet can be seen below.

The example employee has been configured as Full Time paid at the Grade 2 Storeworker base hourly rate. The employee has only worked ordinary hours during the period:

Ordinary Hours of Work and Rostering

Ordinary Hours

📜 13.1 Ordinary hours of work — day workers

(a) The ordinary hours will be up to 38 hours per week averaged over 4 weeks.

(b) Ordinary hours are worked between 7.00 am and 5.30 pm, Monday to Friday.

(c) The ordinary hours will be worked on 4 or 5 days of not more than 8 hours (Monday to Friday inclusive) each continuously, except for meal breaks, at the discretion of the employer.

(d) An employee may work up to 10 ordinary hours in a day, by agreement between the employer and the majority of employees concerned or between the employee and the employer.

(e) The days on which ordinary hours are worked may include Saturday and Sunday by agreement between the employer and the majority of employees concerned or between the employee and the employer.

In Tanda we have automated the agreement to work up to 10 ordinary hours in a day per clause 13.1(c) with the "(10 Hours Agreed)" employment types.

Employees who have a '(10 Hours Agreed)' employment type tag will be able to work up to 10 hours in a day before overtime is triggered:

Clause 13.1(e) has been automated in Tanda with the "(Weekends Agreed)" employment types.

Employees who a '(Weekends Agreed)' employment type tag will be able to work ordinary hours on weekends:

Spread of Ordinary Hours

📜 13.2 Spread of ordinary hours

(a) The spread of hours (7.00am - 5.30pm) may be moved up to one hour forward or one hour back by agreement between an employer and:

(i) the majority of employees at the workplace;

(ii) the majority of employees in a discrete section of the workplace; or

(iii) an individual employee.

Per clause 13.2, the spread of ordinary working hours may be moved up to one hour forward or backward by agreement. The spread of hours can be amended in the Managed Template settings.

To access the setting navigate to Time & Attendance > Compliance > select Manage next to Storage Services and Wholesale > select Edit in the Ordinary Business Hours:

To change the span of hours on any day of the week, simply enter the desired start and finish time in each box and select the green Save button when complete.

This will update the ordinary working hours span for all employees covered under the Managed Award Template.

Changing Ordinary Hours of Work

📜 13.3 Changing ordinary hours of work

An employer must give one week’s notice before changing the starting and finishing times in any establishment.

When making changes to an employee's ordinary hours of work, per clause 13.3, the employer is required to give one week's notice before changing the starting and finishing times.

This can be recorded and managed in Tanda, by republishing the roster with the changes. When changes are made to a published roster, employees will be notified of any updates or changes to their working hours when the roster is republished.

Tanda will also maintain a record of when updates were made and republished on a roster. This can be located in the Roster Edit History. To learn more about Roster History, please see here.

Penalty Rates and Overtime

Automatic Penalty Periods

Automatic penalty rates and overtime will also populate in the timesheet for hours worked based on the configuration of the employee in Tanda.

The automatic penalties facilitated under the Storage Services and Wholesale Managed Template are detailed below:

Weekends (As Agreed)

📜13.1 Ordinary hours of work - day workers

(b) Ordinary hours are worked between 7.00 am and 5.30 pm, Monday to Friday.

...

(e) The days on which ordinary hours are worked may include Saturday and Sunday by agreement between the employer and the majority of employees concerned or between the employee and the employer.

📜 22. Penalty rates for weekends and public holidays

22.1 Saturdays

(a) All ordinary time worked on a Saturday must be paid for at 150% of the minimum hourly rate.

(b) An employee required to work overtime on a Saturday must be given at least 3 hours’ work or must be paid for 3 hours at the rate in clause 22.1(a), except where such overtime is worked immediately before or after ordinary hours of work.

22.2 Sundays

(a) All time worked on a Sunday must be paid for at 200% of the minimum hourly rate.

(b) An employee required to work overtime on a Sunday must be given at least 4 hours’ work or must be paid for 4 hours at the rate in clause 22.2(a), except where such overtime is worked immediately before or after ordinary hours of work.

Per clause 13.1(e) ordinary hours may be worked on weekend days, subject to agreement between the employer and employee(s).

Clause 22.1 and 22.2 describes how penalty rates apply for Full Time, Part Time and Casual employees under the Storage Services and Wholesale Award.

The ordinary hours span in clause 13.1(b) continues to apply on weekends.

Tanda will automatically apply the weekend penalties to the timesheet when they are applicable.

Public Holidays

📜 22.3 Public holidays

(a) All work performed on any of the holidays prescribed or substituted in accordance with clause 29—Public holidays must be paid for at the rate of 250% of the minimum hourly rate.

(b) An employee required to work on a public holiday will be given at least 4 hours’ work or be paid for 4 hours at the rate in clause 22.3(a).

(c) Hours of work performed immediately before or after a part-day public holiday, that form part of one continuous shift, are counted as part of the minimum payment/engagement period in clause 22.3(b).

The above describes the penalties that apply for working on a Public Holiday.

The ordinary hours span continues to apply on Public Holidays.

Tanda will automatically apply the Public Holiday penalty to a timesheet when they are applicable.

Automatic Overtime Conditions

📜 21.1 Payment for overtime

(a) Overtime is payable for all time worked by an employee in excess of or outside the ordinary hours of work prescribed by this award.

(b) Overtime for full-time and part-time employees will be paid at the rate of 150% of the minimum hourly rate for the first 2 hours and 200% of the minimum hourly rate after 2 hours.

(c) Part-time employees will be paid overtime in accordance with clause 10.6.

(d) Overtime for casual employees will be paid at the rate of 175% of the minimum hourly rate for the first 2 hours and 225% of the minimum hourly rate after 2 hours.

NOTE: The overtime rates for casual employees have been calculated by adding the casual loading prescribed by clause 11.2(b) to the overtime rates for full-time and part-time employees prescribed by clause 21.1(b).

The above outlines that overtime is paid for all time worked in excess or outside of the ordinary hours of work. The ordinary hours of work for the Storage Services Award are defined in clause 13.1.

Based on how the Storage Services Award defines ordinary hours, the below overtime conditions have been configured with automatic application in Tanda.

Outside Span of Hours

13.1 Ordinary hours of work - day workers

(b)Ordinary hours are worked between 7.00 am and 5.30 pm, Monday to Friday.

Any hours worked outside of 7.00am and 5.30pm will incur overtime penalties.

Additionally, if an employee works outside of Monday to Friday and they have not been configured with a '(Weekends Agreed)' employment type, then overtime will apply to all hours worked on Saturday and Sunday.

Per clause 13.1(e), if the employee has been configured with a '(Weekends Agreed)' employment type, the 7.00am - 5.00pm span will continue to apply on weekends.

Automation of the ordinary hours span has also been configured to apply on Public Holidays. This means that hours worked on a Public Holiday can be accurately counted as 'ordinary hours' or non-ordinary hours' depending on the days and times worked.

8+ Hours Worked in a Day or 10+ Hours By Agreement

📜13.1 Ordinary hours of work - day workers

(c) The ordinary hours will be worked on 4 or 5 days of not more than 8 hours (Monday to Friday inclusive) each continuously, except for meal breaks, at the discretion of the employer.

(d) An employee may work up to 10 ordinary hours in a day, by agreement between the employer and the majority of employees concerned or between the employee and the employer.

Employees can work up to 8 hours in a day before they incur overtime. Per clause 13.1(c), an employee may agree to work up to 10 hours in a day before incurring overtime.

(c) The ordinary hours will be worked on 4 or 5 days of not more than 8 hours (Monday to Friday inclusive) each continuously, except for meal breaks, at the discretion of the employer.

Ordinary hours may be worked on 4 or 5 days of the week.

If the employee works ordinary hours on more than 5 days in a week, the 6th and/or 7th days will incur overtime. If the employee does not work ordinary hours on the 6th or 7th day as they are already in overtime (ie: Over fixed hours for the period), this condition will not apply.

Overtime for working 5+ Days in a Week will reset at the start of a new week. The beginning of a new week will vary depending on what day the timesheet/ rostering period starts on.

Timesheet example of employee working ordinary hours on more than 5 days in a week. The 6th and 7th day worked are triggering 5+ Days Worked overtime:

Less than 10 Hours Between Shifts

📜 21.4 Rest period after overtime

(a) Wherever reasonably practicable overtime will be arranged so that employees have at least 10 consecutive hours off duty between the work of successive days.

(b) Where an employee works so much overtime that there are fewer than 10 hours between finishing overtime on one day and commencing ordinary work on the next day, the employee will be released until the employee has had at least 10 consecutive hours off without loss of pay for ordinary working time occurring during such absence.

(c) If, on the instructions of the employer, an employee resumes work or continues work without having had 10 consecutive hours off duty, a full-time and part-time employee will be paid 200% of the minimum hourly rate, and a casual employee will be paid 225% of the minimum hourly rate, until released from duty and will then be absent until the employee has had 10 consecutive hours off duty without loss of pay for ordinary working time occurring during such absence.

The Storage Services and Wholesale Award outlines that where practicable, shifts should be arranged to have at least 10 hours off duty in between successive days. The functionality used to facilitate this clause will look to see if the previous shift worked ended in overtime.

Over Fixed Hours of the Period

13.1 Ordinary hours - day workers

(a) The ordinary hours will be up to 38 hours per week averaged over 4 weeks.

Any hours worked in excess of an average of 38 hours per week will incur overtime.

Timesheet example of employee exceeding 38 hours per week. Overtime will apply to all hours worked in excess for the period:

This example is based on weekly averaging. There is the ability to configure the averaging periods to your standard business practice (ie: weekly, fortnightly or monthly). For further information on how to set up the overtime averaging period in your account see Overtime Averaging.

In addition, Part-Time employees are also entitled to overtime for working outside their regular pattern of work.

In Excess of the Agreed Regular Pattern of Work

📜 10.3 At the time of engagement the employer and the part-time employee will agree in writing, on a regular pattern of work, specifying at least:

(a) the hours worked each day;

(b) which days of the week the employee will work; and

(c) the actual starting and finishing times each day.

📜 10.6 All time worked in excess of the hours as mutually arranged will be overtime and paid for at the rates prescribed in clause 21 - Overtime.

This means, when a Part Time works outside of their normal contracted hours they will incur over time.

If the employee works 10:00am - 4:00pm on Tuesday, overtime will automatically apply in the timesheet:

Shiftwork

📜 20.1 Definitions

(a) Early morning shift means a shift commencing between 2.00 am and 7.00 am.

(b) Afternoon shift means a shift finishing after 6.00 pm and at or before midnight.

(c) Night shift means a shift finishing after midnight and at or before 8.30 am.

📜 20.4 Shift penalty rates

(a) An employee while on early morning shift will be paid for such shift at 112.5% of the minimum hourly rate.

(b) An employee while on afternoon shift will be paid for such shift at 115% of the minimum hourly rate.

(c) An employee while on night shift will be paid for such shift at 130% of the minimum hourly rate.

(d) Employees required to work ordinary shifts on a public holiday will be paid in accordance with clause 22.3, instead of their shift penalty rate.

Under the Storage Services Award, there are additional penalty periods that apply specifically to employees engaged as Shift Workers. The above details the penalties that apply and when the different shift types apply.

In Tanda we have automated the application of the shiftwork penalties that are detailed in clauses 20.1 and 20.4. For the above penalties to apply automatically in Tanda, the employee will need to be classified as one of the 'Shift Worker' Employment Types outlined here.

Minimum Engagements

The Storage Services and Wholesale Award stipulates minimum engagements for Part Time and Casual employees and overtime minimum engagements that apply to all employees.

Part Time and Casual Employees

Part Time Employees

Under the Award Part Time employees are required to be engaged for a minimum of 3 hours for every shift per the clause below:

📜10.5 An employer is required to roster a part-time employee for a minimum of 3 consecutive hours on any shift.

Casual Employees

Under the Award a Casual employee requires a 4 hour minimum engagement for every shift per the clause below:

📜11.1 A casual employee will be guaranteed not less than 4 hours’ engagement every start.

The above details the general minimum engagement periods that apply to Part Time and Casual employees. The required minimum engagement period will automatically buffer on the timesheet if a shorter period is worked.

Please see the below example of a Part Time employee who only worked 1 hour on a weekday:

As the minimum engagements for Part Time and Casual employees are applicable per shift, the minimum engagement can apply more than once per day if there are multiple shifts under the required period.

Please see the below example of two shifts from the same day that were under the 3-hour minimum engagement:

Standalone Overtime Minimum Engagements

The Storage Services and Wholesale Award also requires minimum engagement periods when an employee is engaged solely for the purpose of overtime. The Standalone minimum engagement periods are applicable to Full Time, Part Time and Casual employees under the Storage Services and Wholesale Award.

Clauses 22.1(b) and 22.2(b) detail the required minimum engagement periods that apply when an employee is required to work overtime on Saturday or Sunday.

📜 22. Penalty rates for weekends and public holidays

22.1 Saturdays

(a) All ordinary time worked on a Saturday must be paid for at 150% of the minimum hourly rate.

(b) An employee required to work overtime on a Saturday must be given at least 3 hours’ work or must be paid for 3 hours at the rate in clause 22.1(a), except where such overtime is worked immediately before or after ordinary hours of work.

22.2 Sundays

(a) All time worked on a Sunday must be paid for at 200% of the minimum hourly rate.

(b) An employee required to work overtime on a Sunday must be given at least 4 hours’ work or must be paid for 4 hours at the rate in clause 22.2(a), except where such overtime is worked immediately before or after ordinary hours of work.

This means that if an employee only works overtime in their shift and they have not met the required shift length, a different minimum engagement period will apply.

Please see the below example where a Full Time employee has worked for 2 hours on Sunday. The time worked is being paid at overtime rates as the employee is working outside the span. As the shift is under 4 hours, the overtime minimum engagement rule will automatically buffer the shift to the required 4 hours per Clause 22.1(b):

The standalone overtime minimum engagement is not applicable if the employee works ordinary hours before or after the overtime.

Please see the below example where the employee has agreed to work ordinary hours on Sunday and has worked 1 hour outside the span and 1 hour within the span. While the shift is still under 4 hours, as the overtime hours were worked immediately before ordinary hours, the minimum payment under clause 22.2(b) does not apply:

Award Template Tags

In Tanda, award tags are applied to the timesheet to apply a manual overtime rule or override an automatic overtime rule.

List of Award Tags

Under the Storage Services Award Managed Template, the available Shift Tags are:

TOIL

When an employee has an agreement with their employer that overtime worked, that would have otherwise been paid for can be accrued as time off instead, they are agreeing to Time Off In Lieu (TOIL).

The Storage Services Award Managed Template contains TOIL conditions that can be applied instead of automatic overtime conditions per clause 21.3:

📜 21.3 Time off instead of payment for overtime

(a) An employee and employer may agree in writing to the employee taking time off instead of being paid for a particular amount of overtime that has been worked by the employee.

(b) Any amount of overtime that has been worked by an employee in a particular pay period and that is to be taken as time off instead of the employee being paid for it must be the subject of a separate agreement under clause 21.3.

...

(d) The period of time off that an employee is entitled to take is the same as the number of overtime hours worked.

...

To categorise time worked as TOIL in Tanda, the shift must be tagged as TOIL so that time off is accrued instead of overtime rates being paid.

The Overtime hours that have had a TOIL tag applied to them will no longer cost in the timesheet.

Weekends Agreed

📜 13.1 (e) The days on which ordinary hours are worked may include Saturday and Sunday by agreement between the employer and the majority of employees concerned or between the employee and the employer.

Per clause 13.1(e) ordinary hours may be worked on the weekend by mutual agreement between the employer and employee.

In Tanda, we have automated this agreement with the 'Weekends Agreed' Employment Types for employees who regularly work their ordinary hours on the weekends.

The Weekends Agreed Shift Tag can be used to facilitate irregular or ad-hoc agreements made to work weekends.

When the Weekends Agreed Shift Tag is applied to the Timesheet, the employee will be able to work ordinary hours under the same conditions facilitated by the 'Weekends Agreed' Employment Type.

Please see the below application of the Weekends Agreed for a Full Time employee who has agreed to work on a Saturday.

The 10 Hours Agreed shift tag can be used to facilitate ad-hoc or irregular agreements to work 10 hour days.

When the 10 Hours Agreed Shift Tag is applied to the Timesheet, the employee will be able to work ordinary hours under the same conditions facilitated by the '10 Hours Agreed' Employment Type.

Please see the below application of the 10 Hours Agreed shift tag for a Full Time employee who has agreed to work on a 10 hours in a day.

Ordinary Hours 6am - 5.30pm & Ordinary Hours 8am - 6.30pm

The Storage Services and Wholesale Award details scenarios where the normal spread of working hours can be moved up to one hour forward or one hour back by agreement.

(i) the majority of employees at the workplace;

The Ordinary Hours 6am - 4.30pm tag can be used to facilitate agreements in place to vary the normal working span.

When the tag is applied to the shift on the Timesheet, the ordinary hours working span will update from 7am - 5.30pm to 6am - 4.30pm.

Before application of the Ordinary Hours 6am - 4.30pm shift tag, the time worked before 7am is treated as Outside Span of Hours overtime:

After application of the Ordinary Hours 6am - 4.30pm shift tag, the time worked before 7am is treated as ordinary hours:

The Ordinary Hours 8am - 6.30pm tag can be used to facilitate agreements in place to vary the normal working span.

When the tag is applied to the shift on the TImesheet, the ordinary hours working span will update from 7am-5.30pm to 8am-6.30pm.

Before application of the Ordinary Hours 8am-6.30pm shift tag, the time worked after 5pm is treated as Outside Span of Hours overtime:

After application of the Ordinary Hours 8am-6.30pm shift tag, the time worked before after 5.30pm is treated as ordinary hours:

Afternoon Shift Ending Between 5pm and 11pm & Afternoon Shift Ending Between 7pm and 1am

The Award also details that the span for which an Afternoon Shift may be worked can also be moved up to one hour forward or one hour back by agreement.

When the tag is applied to the shift on the Timesheet, the Afternoon span will update from a shift ending between 6pm and 12am to 7pm and 1am.

Before application of the Afternoon Shift Ending Between 7pm and 1am shift tag, a shift ending at 1.00am is treated as a Night Shift:

After application of the Afternoon Shift Ending Between 7pm and 1am shift tag, a shift ending at 1.00am is treated as an Afternoon Shift:

Travelling Time

📜 17.3 Expense-related allowances

(b) Travelling, transport and fares reimbursement

(i) An employee who on any day, or from day to day, is required to work at a job away from the employee’s accustomed workshop or depot, will at the direction of the employer, present for work at such job at the usual starting time, but for all time reasonably spent in reaching and returning from such job (in excess of the time normally spent in travelling from the employee’s home to such workshop or depot and returning), will be paid travelling time, and any fares reasonably incurred in excess of those normally incurred in travelling between home and such workshop or depot.

(ii) The rate of pay for travelling time will be at ordinary rates, except on Sundays and public holidays when an employee will be paid at 150% of the minimum hourly rate.

First, add the Travelling Time tag to the employee's pay conditions.

Then, to use the tag, split the time in the timesheet or have the employee clock their travelling time separate from the time worked:

Using the shift tag drop-down, add the travelling time tag to the clocked travel period:

Through the application of the Travelling Time shift tag, the time spent travelling will not contribute to daily and period hours worked totals.

The Travelling Time tag will also apply an additional 50% of the hourly rate for time spent travelling on Sunday and Public Holidays as outlined by clause 17.3(b)(ii).

Call-Back

📜23. Call-back

23.1 Mondays to Fridays

An employee called back to work after the employee has left work for the day must be paid for a minimum of 4 hours’ work calculated at the appropriate rate for each time the employee is called back.

23.2 Saturdays

An employee called back to work after 12 noon on a Saturday must be paid for a minimum of 4 hours’ work calculated at 200% of the minimum hourly rate.

23.3 Sundays

An employee called back to work on a Sunday must, for the first call-back, be paid for a minimum of 4 hours’ work at 200% of the minimum hourly rate. Each subsequent call-back must be paid at the rate of 200% of the minimum hourly rate for the actual time worked.

This Shift Tag is available to all Employment Types.

This Shift Tag is to be used when an employee is recalled to work overtime after the employee has left work for the day. If an employee is recalled to work, they must be paid for a minimum of 4 hours of work at the appropriate rates outlined in clauses 23.1, 23.2 and 23.3.

See below for the application of the Call-Back Shift Tag:

In the below example, the employee finished their shift at 12pm on Tuesday and was re-called to work at 3.30pm:

Getting Set Up to Use Shift Tags

To utilise the above Shift Tags, you will need to set up your account to use Shift Tags.

Turning on the Setting

To apply shift tags on the Timesheets, you must first have Award Tags feature turned on. Turning on this feature will give you the drop down box on timesheets from which shift tags can be selected.

To turn this feature on, navigate to Settings > Timesheets > Show Advanced Settings > select the box next to Show an extra dropdown to adjust shift cost (Award Tag):

Now you will see the shift tags that have been saved to an employee profile available via the drop-down in the timesheet.

Adding Shift Tags to Employee Profiles

To use shift tags in an employee timesheet, you will first have to add the shift tag to the employee's profile.

To do this, go to Time & Attendance > Staff > (Employee Name) > Pay Conditions > Make a Change > under Additional Tags select the appropriate shift tag > click Save Contract Changes.

Allowances

Allowances under the Storage Services Award have been built into the Tanda Managed template. These are divided into two types of allowances - Automatic Allowances and Manual Allowances.

Automatic Allowances

An automatic allowance will apply to the timesheet without any manual application.

First Aid Allowance (Clause 17.2(a))

The below allowances will automatically apply on timesheets when the appropriate Allowance Tag has been saved to the Employee Profile and the conditions of 'Applies When' have been met.

For the allowances listed above to automatically apply to an employee's timesheet, you will need to add the allowance to their Employee Profile.

To do this, go to Workforce > Staff (Employee Name) > Pay Conditions > Edit Current Pay Conditions > under Allowances, search for the relevant allowance > add this to the employee's profile > then click Confirm Changes.

For example, see the selection of the First Aid Attendant (Weekly) below:

Once the tag has been saved to the profile the allowance will apply to the first worked shift of the week:

Cold Work Allowances (Clause 17.2(b))

The Cold Work allowances in the Storage Services and Wholesale Award can be automated via Teams.

Each cold work allowance applicable under the Storage Services and Wholesale Award has been linked to the below tags:

  • Cold Work Below -15.6 Deg | Clause 17.2(b) (i)

  • Cold Work Below -18.9 Deg | Clause 17.2(b) (ii)

  • Cold Work Below -23.3 Deg | Clause 17.2(b) (iii)

The application of the Cold Work Allowances can now be automated based on the team the employee works in.

To automate the application of the Cold Work Allowances by team, you will need to associate the above tags to your cold work teams as required. For further details on how to do this, please see below:

First, navigate to the Teams page via Workforce > Teams.

Select the team you wish to associate the cold work tag with, e.g. Freezer or create a new one:

Then navigate to the associated tags field in the team and add the corresponding Cold Work tag:

📝 Important to note: The applicable allowance tag will also need to be added to the employee profile for the associated tag to automatically apply.

Once the Cold Work tag has been associated with the team, the corresponding Cold Work Allowance will automatically apply to shifts worked in the team:

Alternatively, there is still the ability to add the Cold Work allowances to the timesheet manually. For further details on the manual application of the Cold Work allowances please see here.

Manual Allowances

Some allowances will not apply unless specifically added to the timesheet.

These allowances are set up to be manual as it is not predictable when these allowances would be applicable. The manual allowances under the award are:

  • Cold Temperatures (clause 17.2(b))

  • Meal Allowance (clause 17.3(a))

  • Travelling, transport and fares reimbursement (clause 17.3(b))

  • Tools to be provided by the Employer (clause 17.3(c))

  • Protective clothing and uniforms reimbursement (clause 17.3(d))

  • Damaged personal effects allowance (clause 17.3(e))

Travelling Time is managed via Award Rules and can be applied to the timesheet via Shift Tags. Please see Travelling Time in the Shift Tags for more information.

To add an allowance, go to the relevant employee's timesheet and click on the + Add Allowances button under the start and finish times as shown below:

Then, from the dropdown, select the manual allowance you wish to apply:

Enter the number of units you wish to apply, then press the blue Save Allowances button to apply it to the timesheet. Tanda will calculate the total cost of the allowance for you:

Once saved, the allowance will now apply to the day's timesheet:
