Enabling the Managed Template

How to enable the Road Transport and Distribution Managed Template

To utilise the Road Transport and Distribution Managed Template in your account, you will first need to enable the Managed Template.

To do this, navigate to Time & Attendance > Compliance > Award Template > Apply Template

Select the relevant payroll system if you have not already enabled an integration:

Under Apply an Award navigate to Road Transport and Distribution > click Enable

Once the Award Template has been enabled, you have the option to add staff to the Managed Template via the + Add Staff to Award button

Classification of Staff

This section will cover the profile configuration needed to classify and pay an employee on the Road Transport and Distribution Managed Template in Tanda.

Employment Types

The Employment Type tag associates the pay conditions such as penalties and overtime to an employee.

An example of this tag is Full Time.

The available employment types in the Road Transport and Distribution Managed Template are:

Classifications

The Classification/ Level tag will pay the employee their base rate. Penalties and overtime will be calculated off this rate.

An example of this tag is Transport Worker Grade 1.

The classifications available in the Managed Template will populate under the Classification/Level field in the pay conditions:

The below classifications facilitate the appropriate rates per the rounding details provided in the Fair Work Ombudsman Pay Guide for the Road Transport and Distribution Award.

The base rates are increased in line with the Pay Guide annually and the new rates will always take effect from the first full pay period on or after the date stipulated by the Fair Work Commission.

Special Condition Tags

In addition to the Employment Type and Classification some employees may require additional tags to be configured on their profile to automate specific requirements or agreements permitted under the award.

Early Work Arrangement

The Early Work Arrangement tag is only applicable to day workers who are not engaged in oil distribution work.

An employee may be required to commence work between the hours of 12.01am and 6.00am in accordance with clause 13.6(c) and (d).

📜 13.6 Spread of hours

(a) The ordinary hours of work are to be worked between 5.30 am and 6.30 pm.

(b) The spread of ordinary hours may be altered in any depot, yard or garage by one hour at each end by agreement between the employer and the majority of employees concerned or between the employer and an individual employee.

(c) Clause 13.6(d) applies to employees engaged in any of the following:

(i) newspaper deliveries, where for the sole purpose of transport and delivery of daily newspapers;

(ii) meat deliveries, where for the sole purpose of loading, transport and delivery of butcher’s meat from abattoirs or meat works and where such meat is to be used for human consumption;

(iii) live poultry, where for the sole purpose of loading, transport and delivery of live poultry from poultry farms to poultry processing plants; or

(iv) a driver employed at a fish, fruit or vegetable store.

(d) An employer may require an employee mentioned in clause 13.6(c) to commence ordinary hours of work between 12.01 am and 6.00 am (Monday to Friday inclusive) but not otherwise, in which case:

(i) the ordinary hours of work in clauses 13.6(a) and 13.6(b) will not apply to the employee; and

(ii) the weekly rate of the employee must be increased by 30% of the ordinary hourly rate for each ordinary hour worked.

The early work conditions have been automated in the Road Transport and Distribution Managed Template via the Early Work Arrangement tag.

If an employee is required to commence their ordinary hours between 12.01am and 6am, the Early Work Arrangement tag can be added to the pay conditions per the below:

When an employee is configured with the Early Work Arrangement tag, all shifts commenced between 12.01am and 6am will be paid at 1.30x.

Please see the below shift example:

In addition, the ordinary spread of hours detailed in clause 13.6(a) will not apply on weekdays.

When an employee is configured with the Early Work Arrangement tag they will incur overtime per the below:

Spread of Hours Agreement

The Spread of Hours Agreement is only applicable to day workers who are not engaged in oil distribution work.

By default, day worker employees will be subject to the ordinary hour span set out in clause 13.6(a).

Clause 13.6(b) permits the ordinary hour spread to be altered by one hour at each end by agreement between the employer and employee.

📜 13.6 Spread of hours

(a) The ordinary hours of work are to be worked between 5.30 am and 6.30 pm.

(b) The spread of ordinary hours may be altered in any depot, yard or garage by one hour at each end by agreement between the employer and the majority of employees concerned or between the employer and an individual employee.

If the employee has agreed to alter the spread of ordinary hours in accordance with clause 13.6(b), the Spread of Hours Agreement can be added to the pay conditions per the below.

When the Spread of Hours Agreement tag is configured in the employee profile, ordinary hours may be worked within the spread 4.30am - 7.30pm.

When an employee is configured with the Spread of Hours Agreement tag they will incur overtime per the below.

Weekend Ordinary Hours Agreement

The Weekend Ordinary Hours Agreement is only applicable to day workers who are not engaged in oil distribution work.

By default, all time worked by a day worker employee on Saturday and Sunday will incur overtime in line with clause 21.1.

The agreement detailed in clause 13.4 permits employees to agree to work ordinary hours on weekends. This agreement is automated in the Road Transport and Distribution Managed Template.

📜 13.4 The ordinary hours of work may be worked on any day Monday to Friday. The days on which ordinary hours are worked may include Saturday and Sunday by agreement between the employer and the majority of employees concerned. Agreement may also be reached between the employer and an individual employee.

When an employee has agreed to work ordinary hours on weekends, the Weekend Ordinary Hours Agreement tag can be added to the pay conditions.

When the Weekend Ordinary Hours Agreement tag is configured in the employee profile, the time worked on Saturday and Sunday will be treated as ordinary and paid in line with the penalties detailed in clause 23.1.

When an employee is configured with the Weekend Ordinary Hours Agreement tag, they will incur overtime per the below.

Other than RDO Arrangement - Transport Employee

By default, the method of working ordinary hours that is detailed in clause 13.7(a) will apply to full time employees.

📜 13.7 Method of working ordinary hours

Ordinary hours of work may be worked by either of the following methods.

(a) Providing for rostered days off (RDOs)

A roster implementing the work cycle at the depot, yard or garage will provide for RDOs, which may be either taken in accordance with the roster or accumulated.

(i) A scheduled normal RDO may be changed by agreement between the employer and employee. In the absence of agreement, 48 hours’ notice of such alteration must be given to the employee.

(ii) RDOs may be accumulated to a maximum of 10 days and taken or paid out at the applicable ordinary hourly rate in any combination agreed in writing between the employer and employee.

Under this method, scheduled RDOs will be provided and may be taken as scheduled or accrued. If an employee is required to work on a day that has been scheduled as an RDO, they will incur overtime for all hours worked.

The Road Transport and Distribution Award does not contemplate the manner in which Rostered Days Off (RDOs) are to accrue.

For this reason, RDO accrual is not facilitated in the Managed Template. Where required, custom RDO accrual award rules can be configured in Tanda based on your accrual requirements.

The tag Other Than RDO Arrangement - Transport Employee can be used to facilitate the method of working ordinary hours that provides for other than RDOs per clause 13.7(b).

(b) Providing for other than a rostered day off

Ordinary hours may be worked over 5 days, Monday to Friday inclusive, of not more than 7 hours and 36 minutes continuously (except for meal breaks or any breaks taken for the purpose of complying with fatigue management rules/regulations) in the following circumstances:

(i) where an employer either engages 20 employees or less or operates 15 vehicles or less pursuant to the provisions of this award at a particular yard, depot or garage;

(ii) where an employer has entered into arrangements with a client for the provision of transport services on a permanent basis extending over each of the 5 days of each week Monday to Friday inclusive and where these arrangements would be prejudiced by the requirement that rostered days off be taken on any day or all such days of the week;

(iii) where the operations being performed by the employer require particular employees to work 5 days of each week Monday to Friday inclusive and where these operations would be prejudiced by the requirement that rostered days off be taken on any or all days; or

(iv) where written agreement has been reached between the employer and the majority of employees. Written agreement under clause 13.7(b) must not be unreasonably withheld by the employees and must not be unreasonably requested by the employer.

When the tag Other Than RDO Arrangement - Transport Employee is configured on the profile, the employee will incur overtime per the below.

Oil Distribution Employee

The Road Transport and Distribution Award sets out specific conditions for employees engaged in oil distribution work.

The ordinary hours of work for oil distribution employees are set out in clause 14.

📜 14. Ordinary hours of work and roster cycles—oil distribution workers

14.2 The ordinary hours of work are:

(a) 35 hours per week; or

(b) 70 hours per two-week period.

14.3 Ordinary hours are worked between 6.30 am and 5.30 pm, Monday to Friday.

14.4 Ordinary hours of work must not exceed 8 hours per day.

14.6 Method of working ordinary hours

Ordinary hours of work may be worked by either of the following methods:

(a) Providing for rostered days off (RDOs)

(i) Rostered days off must be provided by a roster drawn up in each workplace providing for 9 days each of 7 hours and 47 minutes, and one rostered day off over a continuous two-week period.

By default, the employment types configured in the Road Transport and Distribution Managed Template will facilitate ordinary hours based on clause 13.

To indicate that the employee is engaged in oil distribution work, the tag Oil Distribution Employee must be added to the employee profile per the below:

When the Oil Distribution Employee tag is added to the employee profile, the ordinary hours of work will apply based on clauses 14.2, 14.3, 14.4 and 14.6(a).

When an employee is configured with the tag Oil Distribution Employee, they will incur overtime per the below.

Full Time

Rural Distribution Work

In addition, oil distribution employees may be engaged in rural distribution operations.

Employees engaged for rural distribution work may agree to work ordinary hours on any 3 consecutive days, Monday to Saturday.

14.5 By agreement between an employer and the majority of affected employees, the ordinary working hours for employees engaged in rural distribution operations may be rostered over any 3 consecutive days, Monday to Saturday inclusive unless some other mutually satisfactory arrangement is made between the employer and employees concerned. All work performed in excess of 35 hours in any such 3 days must be paid at 150% of the ordinary hourly rate for the first 2 hours and 200% of the ordinary hourly rate thereafter.

To indicate the employee has been engaged for rural distribution operations, the tag Rural Distribution Work can be added to the employee profile.

When the Rural Distribution Work tag is added to the employee profile, the ordinary hours of work will apply based on clauses 14.2, 14.3, 14.4, 14.5 and 14.6(a).

(b) Providing for other than a rostered day off

Ordinary hours may be worked over 5 days each of 7 hours, but only where:

(i) the employer either engages 20 employees or less or operates 15 vehicles or less pursuant to the provisions of this award at a particular yard, depot or garage;

(ii) the employer has entered into arrangements with a client for the provision of transport services on a permanent basis extending over 5 days of each week, Monday to Friday inclusive, and where these arrangements would be prejudiced by the requirement that rostered days off be taken on any day or all such days of the week; or

When the tag Other Than RDO Arrangement - Oil Distribution Employee is configured on the profile, the employee will incur overtime per the below.

Paying Above Award

If employees are paid a base rate higher than the award rate, simply enter the employee's base rate in the Overriding Hourly Rate field highlighted below. This will override the rate in the Managed Template. Penalty rates and overtime will be calculated from this new rate.

Note: An overriding hourly rate will not be considered by the Higher Duties Builder in the Road Transport and Distribution Managed Template.

Managing Junior Employees

📜 17.3 Junior employee rates

(a) Junior employees will be entitled to a percentage of the applicable adult rate for their classification as follows:

(b) Where junior employee aged 18 years or more is required to drive a motor vehicle and is in sole charge of that vehicle, the employee must be paid the adult rate assigned to the class of driving work that the employee is required to perform.

Age classifications

To pay an employee at the junior rates specified in clause 17.3(a), please ensure their date of birth has been correctly entered. Tanda will automatically pull the age from the date of birth and apply the correct junior rate.

For example, if an employee is 16 years of age, Tanda will automatically apply the correct rate for the classification. Please see the below:

When a junior employee has a birthday resulting in a change to their hourly rate, the rate in Tanda will automatically update on the birth date.

Clause 17.3(b) sets out additional requirements for junior employees required drive and be in charge of the motor vehicle.

The options to manage these additional requirements in Tanda are:

Paying Juniors at Adult Rates - Permanently

You may elect to pay a junior employee for all hours worked at the adult rate.

To pay a junior employee at the adult rate permanently, go to Time & Attendance > Staff > (Employee Name) > Pay Configuration > check the Paid at adult rates box.

This check box will apply the adult rate to the junior employee.

Paying Juniors at Adult Rates - Only when required to drive and be in sole charge of the motor vehicle

To pay a junior employee at the adult rate only when they are in sole charge of a motor vehicle, you will need to configure a higher duty jump for this in the Managed Template.

To do this, navigate to Time & Attendance > Compliance > click Manage against the Road Transport and Distribution Award Managed Template:

Then navigate to the Higher Duties settings and click Edit:

The below screen will then display:

Click the + Add Higher Duties Jump and in the From Level configure the base hourly rate of the junior employee you wish to create the jump for.

For example, Transport Worker Grade 3

In the To Level, you will need to configure one of the base hourly rates that are configured to specifically to apply the adult rate to an employee in sole charge of a motor vehicle.

The base hourly rates configured to specifically apply the adult rate to juniors in sole charge of a motor vehicle are:

  • Transport Worker Grade 3 - Sole Charge

  • Transport Worker Grade 4 - Sole Charge

  • Transport Worker Grade 5 - Sole Charge

  • Transport Worker Grade 6 - Sole Charge

  • Transport Worker Grade 7 - Sole Charge

  • Transport Worker Grade 8 - Sole Charge

  • Transport Worker Grade 9 - Sole Charge

  • Transport Worker Grade 10 - Sole Charge

For example, the To Level is configured as Transport Worker Grade 3 - Sole Charge

Once the From Level and To Level have been configured click ADD and then SAVE.

You will be able to see the configured higher duties jumps from the main page of the Managed Template:

Once a jump has been configured the applicable higher duties tag will then auto-save to the profile of employees that have been classified with the From Level at the time of the higher duties jump being configured.

Note: For any new employees onboarded, the applicable higher duties tag will need to be saved to the employee profile manually.

When a junior employee then works in a role where they are in sole charge of a motor vehicle, select the applicable higher duties jump from the shift tag drop-down in the timesheet.

Once applied, this will pay the employee at the adult rate for the entire shift.

Setting Up a Part Time Employee

📜 10.2 Before commencing part-time employment, the employee and employer must agree upon:

(a) the hours to be worked by the employee;

(b) the days upon which they will be worked;

(c) the starting and finishing times for the work; and

(d) the classification applying to the work to be performed.

The Road Transport and Distribution Award requires a Part Time employee to agree on the following before commencing employment:

  • the hours to be worked;

  • the days of the week the hours will be worked;

  • the starting and finishing times;

  • the classification applying to the work to be performed

This provision can be configured and managed in Tanda. For further details, please see below:

Configuring Regular Hours of Work

To record a Part Time employee's regular pattern of work in Tanda, navigate to Workforce > Staff > (Employee Name) > Pay Conditions & Hours > select Edit Current Pay Conditions

In the pay conditions, select + WEEK to add regular hours of work.

Enter the applicable hours in the below fields including the start and finish times, meal breaks and the teams the employee will work their regular hours in.

You can also populate the employee's total agreed hours for the week into the Contracted weekly hours field. A roster validation will then flag if the employee is not rostered for their weekly hours.

Once all the relevant details have been configured select Confirm Changes.

You will then be able to see the employee's regular hours of work in the Pay Conditions:

The agreed terms under clause 10.2 may be varied in accordance with clauses 10.3 and 10.4.

📜 10.3 The terms of the agreement in clause 10.2 may be varied by consent.

📜 10.4 The terms of the agreement or any variation to it must be in writing and retained by the employer. The employer must provide a copy of the agreement, and any variation to it, to the employee.

When a Part Time employee works in excess of their agreed or the varied hours they will incur overtime in accordance with clause 10.8.

📜 10.8 All time worked in excess of the agreed hours referred to in clauses 10.2(a) to 10.2(c) will be paid at the appropriate overtime rate.

Managing Variations to the Regular Hours of Work

Agreements to vary the regular hours of work can be recorded in Tanda.

A record of the agreement made, including the time it was agreed to can be captured in either of the below ways:

  • On the Tanda Mobile App if the variation was known prior to the shift commencing; or

  • On the employee Time Clock App when the variation is not yet agreed to prior to the shift commencing.

Rostered Variations

When the variation is known ahead of time, the variation can be added to the roster.

The Shift Acceptance feature can be enabled to prompt employees to accept or decline the shift in the Mobile App.

e.g.

When an employee accepts the variation, the accepted hours become the regular hours of work for that shift. Overtime will apply if the employee then works in excess of the accepted hours.

To use this feature, you will need to enable Shift Acceptance. Please see Have employees mutually agree to variations from their contract hours for the details on how to enable and utilise shift acceptance.

Unscheduled Variations

The Accepted Shift Variation tag can be used to indicate acceptance to a change to the regular hours of work.

To utilise this tag you will first need to save it to the Part Time employee's profile:

The Accepted Shift Variation tag can be used in the configuration of a shift question or added manually to the timesheet using the Select Tag drop-down.

Application of the Accepted Shift Variation tag manually in the timesheet, will result in the time worked in excess of the agreed hours calculating as ordinary:

Casual Loading

Under the Road Transport and Distribution Award, casual employees are entitled to a casual loading for ordinary hours and overtime hours worked.

Casual Loading for ordinary hours

📜 11.2 Casual Loading

(a) For each ordinary hour worked, a casual employee must be paid:

(i) the ordinary hourly rate; and

(ii) a loading of 25% of the ordinary hourly rate,

for their classification.

Casual Loading for overtime

📜 11.4 A casual employee must be paid for all overtime worked at the overtime rates specified in clause 21.1. For each hour of overtime worked a casual employee must also be paid 10% of the minimum hourly rate specified for their classification in clause 17—Minimum rates. A casual employee will not receive the 25% casual loading referred to in clause 11.2 whilst working overtime.

Casual loading in Tanda is applied using the multiplier method.

In the employee profile, the casual rate is expressed in the Monday to Friday pay rate with the Award hourly rate showing the rate without the loading added. This is demonstrated in the below image:

The base hourly rate is always expressed as 1.25x in the timesheet for casual employees. Where applicable, penalty rates are expressed with the additional casual loading amount.

Higher Duties

📜 17.4 Higher Duties

Where an employee is required to perform 2 or more grades of work on any one day, the employee is to be paid at the minimum rate for the highest grade for the whole day.

Higher duties can be configured and managed in the Managed Template settings.

You can access the Higher Duties Builder via Time & Attendance > Compliance > Road Transport and Distribution > Higher Duties

There are two options for configuring and applying higher duties in Tanda:

  1. Automatically based on the team a shift is worked in. This is achieved by configuring the applicable team name on the higher duties jump. For further details see How to Configure Higher Duties for Teams.

  2. Manually by allocating the higher duties tag on a timesheet. To learn how to apply higher duties via shift tag, please see Applying Higher Duties on Timesheets.

The payment of the higher duties rate for the entire day is automated if the employee works across more than one grade.

Paying Full Time Employees for their Minimum Contracted Hours

Per clause 9 of the Road Transport and Distribution Award full time employees are to be engaged for 38 hours per week.

📜 9. Full-time employees

A full-time employee is engaged to work an average of 38 ordinary hours per week.

The Minimum Paid Hours feature in the Road Transport and Distribution Managed Template can be utilised to manage the above requirement.

The Minimum Paid Hours functionality requires that the contracted weekly hours field in the employee profile be populated:

By default, the Minimum Paid Hours functionality will be disabled in the Road Transport and Distribution Managed Template. If you would like to enable the Minimum Paid Hours functionality, please see below for further details.

Enabling the Minimum Paid Hours Feature

To enable the Minimum Paid Hours feature, navigate to the Road Transport and Distribution Award Managed Template via Time & Attendance > Compliance > Road Transport and Distribution → Manage > Manage Award Conditions → Edit.

The Minimum Paid Hours toggle will be blue. This indicates that the feature is currently disabled.

Click the Minimum Paid Hours toggle. The toggle will go from blue to grey. The grey toggle indicates the feature is now enabled.

Click the green Save button to save the changes.

You will then be able to see that the Minimum Paid Hours feature has been enabled from the main page of the Road Transport and Distribution Managed Template under Manage Award Conditions.

Once enabled, the Minimum Paid Hours feature will then automatically top up the timesheet when a full time employee works less than the contracted weekly hours that have been set in the employee profile.

Note: Oil distribution employees are engaged to work 35 ordinary hours per week.

📜 14.2 The ordinary hours of work are:

(a) 35 hours per week; or

(b) 70 hours per two-week period.

In the below example, the employee has worked 34 ordinary hours in the week. The employee's contracted weekly hours have been set to 38.

The Minimum Paid Hours feature will automatically top up the timesheet to the required 38 hours for the period:

Rostering

Accessibility of the Roster

Under the Road Transport and Distribution Award, shiftworker rosters must be posted in a prominent place in the workplace.

📜 22.2(c) Shift rosters must be posted in a prominent place in the workplace. Shift rosters must specify the starting and finishing times of ordinary hours of respective shifts.

To ensure accessibility, rosters can be published to the below options:

Managing Changes to Shiftwork Rosters

22.2(d) Shift rosters must not be altered unless 48 hours’ notice is given.

Shiftwork rosters must not be altered unless 48 hours' notice is provided.

If 48 hours' notice to change a shift roster is not provided, the employee is entitled to be paid overtime for work done outside the ordinary shift hours within 48 hours of being notified of the change, per clause 22.6.

The shift tag Insufficient Notice of Roster Change can be used to facilitate overtime in this scenario.

Scheduling Rostered Days Off (RDOs)

Under the Road Transport and Distribution Award Full Time employees are subject to working their ordinary hours under an RDO arrangement.

Other than Oil Distribution Employees

📜 13.7 Method of working ordinary hours

(a) Providing for rostered days off (RDOs)

A roster implementing the work cycle at the depot, yard or garage will provide for RDOs, which may be either taken in accordance with the roster or accumulated.

(i) A scheduled normal RDO may be changed by agreement between the employer and employee. In the absence of agreement, 48 hours’ notice of such alteration must be given to the employee.

(ii) RDOs may be accumulated to a maximum of 10 days and taken or paid out at the applicable ordinary hourly rate in any combination agreed in writing between the employer and employee.

Oil Distribution Employees

📜 14.6 Method of working ordinary hours

Providing for rostered days off (RDOs)

(i) Rostered days off must be provided by a roster drawn up in each workplace providing for 9 days each of 7 hours and 47 minutes, and one rostered day off over a continuous two-week period.

(ii) Where an employee’s rostered day off falls on a public holiday, the employee is entitled, at the discretion of the employer, to either:

  • 7 hours of pay at the ordinary time rate; or

  • 7 hours extra annual leave; or

  • a substitute day off on an alternative week day.

(iii) If a public holiday is a part-day public holiday, then clause 14.6(a)(ii) applies on a pro-rata basis for the number of ordinary hours on the part-day public holiday.

In Tanda, RDOs can be scheduled in the roster. To categorise a day or shift as a RDO navigate to the roster and hover over the day you'd like to add the RDO to.

Then select Rostered Day Off from the dropdown.

The day will then be marked as a Rostered Day Off in the roster.

If the employee then subsequently works on a day that has been categorised as a Rostered Day Off, they will incur overtime per the below:

Note: If an employee is subject to a method of working ordinary hours that provides for other than a rostered day off, the employee will need to be configured with the appropriate Other Than RDO Arrangement tag.

Breaks

The Road Transport Award sets out meal break conditions for day workers and shiftworkers.

Automatic Break Rules

When you enable the Road Transport and Distribution Managed Template, you will also enable the default break rules. The break rules will auto-populate breaks for applicable staff under the Managed Template.

The Break Rules for the Road Transport and Distribution Managed Template can be viewed by navigating to Time & Attendance > Compliance > Road Transport and Distribution > Breaks > Edit

Break Rules for Day Workers

Meal breaks for day workers are contemplated under clause 16.

📜 16. Breaks

16.1 Regular meal break

(a) An employee must be allowed a regular unpaid meal break during the ordinary hours of work except where unforeseen extraordinary circumstances arise.

(b) The meal break must:

(i) be of a regular duration of not more than one hour or less than 30 minutes; and

(ii) start no earlier than 3 and a half hours and no later than 5 and a half hours after the fixed starting time of the employee’s ordinary hours of work; and

(iii) where reasonable and practical, be taken at a time to coincide with any requirement to take a break under fatigue management rules/regulations, or as otherwise required by the employer.

The automatic break rules for day workers have been configured per clause 16:

Note: The additional paid breaks for overtime work set out in clause 16.2 are not automated in the Road Transport and Distribution Managed Template.

📜 16.2 Meal and rest breaks after ordinary hours and before overtime hours

(a) An employee required to work overtime for 2 hours or more after working ordinary hours must be allowed a paid break of 20 minutes before commencing overtime work or as soon as practicable after commencing overtime work.

(b) A further rest break must be allowed after completing each 4 hour period until the overtime work is finished. Any rest breaks will be paid for at the applicable minimum hourly rate.

If known ahead of time, these breaks can be manually added into the roster. If not known ahead of time, the breaks can be added into the timesheet.

Break Rules for Shiftworkers

Meal breaks for shiftworkers are contemplated under clause 22.9.

📜 22.9 Shiftworkers' meal breaks

While working on day, afternoon or night shift, shiftworkers will be entitled to a paid meal break of 20 minutes. An employee must not be required to work more than 5 hours without a meal break.

The automatic break rules for shiftworkers have been configured per clause 22.9

Utilising the break rules will assist in automating the rostering of breaks in line with the requirements stipulated within the Award.

Missed Meal Breaks

Note: The missed meal break penalty is not applicable to shiftworkers.

Missed meal break conditions have been configured in accordance with clause 16.1(c).

(c) If the meal break is not allowed, all time worked after the starting time of the regular meal break until a break without pay for a meal time is allowed must be paid for at 200% of the applicable minimum hourly rate in clause 17.1.

Application of Missed Meal Break penalties

All shifts in excess of 3.5 hours will be subject to an unpaid meal break.

If an employee works more than 5.5 hours without a meal break, the employee will automatically incur a missed meal break penalty from the 5.5th hour fo work until a meal break is taken or the shift ends.

Note: The missed meal break penalty will apply from the 5.5th hour of work.

Tanda does not currently support functionality to automate missed meal break penalties from the time the meal break was scheduled.

The missed meal break penalty will apply at 200% of the minimum hourly rate but will be treated as ordinary or overtime based on the conditions that would have otherwise applied to the time worked.

Please see the below example where the employee has not taken a meal break during ordinary time:

In the below example, the employee has not taken their meal break and subsequently works into a period of overtime. The missed meal break penalty will calculate as overtime based on the overtime condition that would have applied to the time worked.

The missed meal break penalty is treated as ordinary if the employee is in ordinary time:

The missed meal break penalty is treated as overtime if the employee is in non-ordinary time:

Timesheets

General Information

Ordinary Hours

Once the employee has been configured with the appropriate employment type, classification and special condition tags on the employee profile, the award rules that apply to the employee will apply in the timesheet when a shift is worked.

For example, a 9.00am - 5.00pm shift worked by a transport employee will calculate per the below:

Overtime and Penalty Rates

The same will occur if an overtime or penalty rate is applicable.

For example, when an employee works more than 8 ordinary hours, overtime will be paid at 1.50x for the first 2 hours and 2.00x thereafter.

Penalty Periods

The penalty periods automated in Tanda are outlined below.

Early Work

The early work penalty is applicable to day workers who have the tag Early Work Arrangement.

The Early Work Arrangement is not applicable to oil distribution employees.

📜 13.6(d) An employer may require an employee mentioned in clause 13.6(c) to commence ordinary hours of work between 12.01 am and 6.00 am (Monday to Friday inclusive) but not otherwise, in which case:

(i) the ordinary hours of work in clauses 13.6(a) and 13.6(b) will not apply to the employee; and

(ii) the weekly rate of the employee must be increased by 30% of the ordinary hourly rate for each ordinary hour worked.

Per clause 13.6(d) day worker may be required to commence their ordinary hours between 12.01am and 6am if they are engaged in any of the duties mentioned in clause 13.6(c):

  • newspaper deliveries, where for the sole purpose of transport and daily newspapers;

  • meat deliveries, where for the sole purpose of loading, transport and delivery of butcher's meat from abattoirs or meat works and where such meat is to be used for human consumption;

  • live poultry, where for the sole purpose of loading, transport and delivery of live poultry from poultry farms to poultry processing plants; or

  • a driver employed in a fish, fruit or vegetable store.

An employee required to commence ordinary hours between 12.01am and 6am may be configured with the Early Work Arrangement tag.

When the shift commences between 12.01am and 6am, ordinary hours will incur 1.30x (1.55x for casuals).

See the below example where the employee has commenced their shift at 4:30am.

Weekend Work

Day Workers

Ordinary hours on Saturday and Sunday can only be worked by day workers by agreement.

📜 23.1 Weekend Work

(a) For any ordinary time hours worked between midnight on Friday and midnight on Saturday an employee must be paid 150% of the ordinary hourly rate.

(b) For any ordinary time hours worked between midnight on Saturday and midnight on Sunday an employee must be paid at 200% of the ordinary hourly rate.

The above penalty rates will automatically apply in the timesheets when applicable.

Shiftworkers

📜 22.8 Work on Saturdays, Sundays or public holidays

(a) For work on a rostered shift, the major portion of which is performed on a Saturday, Sunday or public holiday, shiftworkers will be paid as follows:

The above penalties will automatically apply in timesheets when applicable.

Please see the below example of the Saturday shift penalty applying when the major portion of the shift falls on Saturday morning.

Public Holidays

A day worker will be paid for time worked on a public holiday in accordance with clause 23.2(a) and (c) of the Award.

📜 23.2 Work on public holidays

(a) All time worked by a full-time or part-time employee on a public holiday must be paid for at the following rates with a minimum payment of 4 hours:

(c) Despite clause 23.2(a) an employee required to work on a public holiday during hours which, if the day were not a public holiday, would be outside the range of ordinary working time, will be paid for such hours at the following rates:

Shiftwork Penalties

Under the Road Transport and Distribution Award there are additional penalty periods that apply specifically to employees engaged as shiftworkers as detailed below.

📜 22. Shiftwork

22.1 Definitions

(a) Afternoon shift means a shift finishing after 6.30 pm but not later than 12.30 am.

(b) Day shift means a shift starting at 5.30 am or later, but finishing at or before 6.30 pm.

(c) Night shift means a shift finishing after 12.30 am but not later than 8.30 am.

22.3 Shift rates

For ordinary hours shiftworkers must be paid as follows:

For the above to apply automatically, the employee must be configured on one of the shiftworker employment types outlined here.

Overtime Conditions

When a day worker works overtime they will incur overtime rates in accordance with clause 21.1.

📜 21.1 For all work done outside ordinary hours the rate of pay will be 150% of the ordinary hourly rate for the first 2 hours and 200% of the ordinary hourly rate after 2 hours.

When a shiftworker works overtime they will incur overtime rates in accordance with clause 22.5.

📜 22.5 Shiftwork - overtime

For all time worked:

(a) outside or in excess of the ordinary shift hours; or

(b) on a shift other than a rostered shift,

shiftworkers will be paid at 150% of the ordinary hourly rate for the first 2 hours and 200% after 2 hours.

Full Time

The below overtime conditions have an automatic application in Tanda for Full Time employees:

  • Outside Spread of Hours (5.30am - 6.30am Monday to Friday) → Clause 13.4

  • 8+ Hours in a Day → Clause 13.5

  • In Excess of Fixed Hours for the Period → Clause 13.1

  • Non-continuous Shift → Clause 13.5

  • Worked on RDO → Clause 13.7(a)

  • Less Than 10 Hour Break After Overtime → Clause 21.4

  • In Excess of Fixed Hours for the Period → Clause 22.2(a)

The applicable overtime conditions will differ if the employee has been configured with one of the special condition tags in the Road Transport and Distribution Managed Template.

Minimum Engagements

The Road Transport and Distribution Award stipulate minimum engagement periods for part time and casual employees.

Part Time

📜 10.7 A part-time employee must receive a minimum payment of 4 hours on each day they are engaged.

Casual

📜 11.3 A minimum payment of 4 hours per engagement is to be paid.

The Award also stipulates minimum engagement periods for Saturday, Sunday and public holiday work.

Full Time employees are only subject to a minimum engagement period when they work on Saturday, Sunday and public holidays.

Weekend Work

📜 23.1(c) An employee required to work on Saturday or Sunday will be paid for a minimum of 4 hours' work.

Public Holidays

📜 23.1(a) All time worked by a full-time or part-time employee on a public holiday must be paid for at the following rates with a minimum payment of 4 hours ...

📜 23.1(e) All time worked by a casual employee on a public holiday must be paid at the following rates in addition to the casual loading at clause 11 - Casual employees. The minimum payment will be for 4 hours ...

If a minimum engagement period applies and the employee has not met the required minimum shift length, the timesheet will automatically buffer to the required shift length at the rate that would have otherwise applied to the time worked if the employee had worked the minimum engagement period.

For example, if an employee works a shift that finishes at the end of the regular spread of hours and does not meet the required minimum shift length, the minimum engagement will buffer the shift to the required length at the overtime rates that would have applied to the time worked:

Award Template Tags

In Tanda award tags are usually applied to a timesheet to apply a manual overtime rule or override an automatic overtime rule.

Call-back

📜 21.6 Call-back

(a) An employee recalled to work overtime after leaving the workplace (whether notified before or after leaving the workplace) must be paid for a minimum of 4 hours’ work.

The Call-back shift tag is applicable to all employment types.

This shift tag is to be used when an employee is recalled to work overtime after the employee has left work for the day.

If an employee is recalled to work, they must be paid for a minimum of 4 hours.

In the below example the employee was recalled to work for 1 hour after finishing work for the day:

Standing-by

📜 21.7 Standing-by

Subject to any prevailing custom under which an employee is regularly required to be available for a call-back, an employee required to be available for work after ordinary hours must be paid standing-by time at ordinary rates from the time from which the employee is told to be available until released.

This shift tag is applicable to all employment types.

This shift tag is to be used when an employee is required to remain be on stand-by for a call back.

When required remain on stand-by after ordinary hours, an employee must be paid standing-by time at ordinary rates from the time the employee is told to be available, until released.

In the below example, the employee completed ordinary hours at 3pm and was required to remain available for a call-back until 10pm.

TOIL

The Road Transport and Distribution Award contains TOIL conditions that can be applied instead of automatic overtime conditions per clause 21.5.

📜 21.5 Time off instead of payment for overtime

(a) An employee and employer may agree in writing to the employee taking time off instead of being paid for a particular amount of overtime that has been worked by the employee.

(b) The period of time off that an employee is entitled to take is equivalent to the overtime payment that would have been made.

EXAMPLE: By making an agreement under clause 21.5 an employee who worked 2 overtime hours at 150% of the ordinary hourly rate is entitled to 3 hours’ time off.

(c) Time off must be taken:

(i) within the period of 6 months after the overtime is worked; and

(ii) at a time or times within that period of 6 months agreed by the employee and employer.

(d) If the employee requests at any time, to be paid for overtime covered by an agreement under clause 21.5 but not taken as time off, the employer must pay the employee for the overtime, in the next pay period following the request, at the overtime rate applicable to the overtime when worked.

(e) If time off for overtime that has been worked is not taken within the period of 6 months mentioned in clause 21.5(c), the employer must pay the employee for the overtime, in the next pay period following those 6 months, at the overtime rate applicable to the overtime when worked.

(h) If, on the termination of the employee’s employment, time off for overtime worked by the employee to which clause 21.5 applies has not been taken, the employer must pay the employee for the overtime at the overtime rate applicable to the overtime when worked.

When an employee has an agreement with their employer that overtime worked, that would have otherwise been paid as overtime can be accrued as time off instead, they are agreeing to Time Off In Lieu (TOIL).

The TOIL shift tag is applicable to all employment types.

To categorise time worked as TOIL in Tanda, the shift must be tagged as TOIL so time off is accrued instead of overtime rates being paid.

The overtime hours that that have had a TOIL tag applied to them will no longer cost in the timesheet.

Please see the below example of the application of the TOIL shift tag when a Full Time employee works in excess of 8 hours in the day.

Transfer to Shiftwork Without Notice

📜 22.7 Transfer of day worker to or from shiftwork

(a) Unless otherwise agreed between an employer and an employee, day workers must be given at least 10 hours off duty immediately before commencing, or after ceasing shiftwork.

(b) Day workers may be transferred to or from shiftwork with 48 hours’ notice. If notice is not given, an employee must be paid overtime rates for all work done outside previous ordinary working hours within 48 hours of being notified of the change.

The Shiftwork Transfer Without Notice tag is only applicable to day workers.

Day workers may be transferred to shiftwork. If an employee is transferred to shiftwork without 48 hours notice, the employee is to be paid overtime for all work done outside of the previous working hours within 48 hours of being notified.

The Shiftwork Transfer Without Notice tag is to be used when a day worker is transferred to or from shiftwork with less tham 48 hours notice.

When applied to the shift, all hours worked will calculate as overtime per the below.

Non-continuous Shiftwork

📜 22.10 Rate for non-continuous afternoon or night shift

Shiftworkers who work on any afternoon or night shift which shift roster does not continue for at least 5 consecutive afternoons or nights must be paid at the rate of 150% of the ordinary hourly rate for the first 3 hours and 200% of the ordinary hourly rate thereafter for each shift.

The Non-continuous Shiftwork tag is only applicable to shiftworkers.

If a shiftworker is required to work on any afternoon or night shift which does not continue for at least 5 continuous afternoon or nights, they must be paid:

  • 150% for the first 3 hours

  • 200% after 3 hours

If an employee is working a non-continuous afternoon or night shift, the shift tag Non-continuous Shiftwork can be applied to the shift to facilitate the non-continuous shift penalty.

Note: If an employee is working a non-continuous afternoon or night shift and subsequently works into a period of overtime, payment at the first 2 hours rate will reset for the first 2 overtime hours worked in the day.

Insufficient Notice of Roster Change

📜 22.6 Transfer to existing shift rosters

An employer must give an employee 48 hours’ notice of any change of shift. If notice is not given, overtime rates must be paid for work done outside the ordinary shift hours within 48 hours of being notified of the change.

The shift tag Insufficient Notice of Roster Change is only applicable to shiftworkers.

If a shiftworker is not provided 48 hours notice of a shift change, overtime must be paid for all hours worked outside of the ordinary shift hours within 48 hours of being notified of the change.

When the Insufficient Notice of Roster Change tag is added to a shift, all hours worked will calculate as overtime per the below.

Other Than Rostered Shift

📜 22.5 Shiftwork—overtime

For all time worked:

(a) outside or in excess of the ordinary shift hours; or

(b) on a shift other than a rostered shift,

shiftworkers will be paid at 150% of the ordinary hourly rate for the first 2 hours and 200% after 2 hours.

The shift tag Other Than Rostered Shift is only applicable to shiftworkers.

The Other Than Rostered Shift tag can be added to a shift when the employee has worked a shift they were not rostered for.

When applied to a shift, all hours worked will calculate as overtime per the below.

Getting Set Up To Use Shift Tags

To apply shift tags on the timesheets you must first have the Award Tag feature turned on. Turning on this feature will give you the drop-down box on timesheets from which shift tags can be selected.

Please see below for further details on how to configure your account to use shift tags.

Turning on the Shift Tag Setting

To enable the Shift Tag setting, navigate to Settings > Timesheets > Show Advanced Settings > select the box next to Show an extra drop-down to adjust shift cost (Award Tag).

Once you have turned on. the setting, you will see the additional shift tags drop-down in the timesheet:

Adding Shift Tags to the Employee Profile

To use shift tags in an employee timesheet, you will first have to add the shift tag to the employee's profile.

To do this go to Time & Attendance > Staff > (Employee Name) > Pay Conditions > Edit Current Pay Conditions > under Additional Tags select the appropriate shift tag > click Confirm Changes.

Please see the below example where the TOIL and Call-back shift tags have been added to the employee profile:

Applying Shift Tags

Note: Only one shift tag can apply to a shift at once.

Once you have saved the relevant shift tags to an employee profile, they will become available to select from the shift tag drop-down in the timesheet.

Allowances

Allowances pursuant to the Road Transport and Distribution Award have been built into the Managed Template. These allowances are divided into two key types:

Automatic Allowances

An automatic allowance will apply to the timesheet without any manual application.

The automatic allowances available in the Road Transport and Distribution Managed Template are:

For one of the above automatic allowances to apply to an employee's timesheet you will need to add the allowance to their pay conditions.

To do this, go to Workforce > Staff > (Employee Name) > Pay Conditions > Edit Current Pay Conditions

Under Allowances search for the applicable allowance, for example First Aid Allowance and add this tag to the employee profile:

The allowance will then automatically apply to the employee's timesheet when applicable. Please see the below example:

Manual Allowances

Some allowances will not apply unless specifically added to the day's timesheet.

These allowances are set up to be manual in Tanda as it is not predictable when these allowances would be applicable.

The manual allowances available in the Road Transport and Distribution Managed Template are:

To apply a manual allowance, go to the relevant employee's timesheet and click on the + Add Allowances button under the start and finish times as shown below:

Then from the drop-down, select the manual allowance you wish to apply.

Please note that any automatic allowances will also appear in the drop-down however they cannot be edited.

Enter the number of units you wish to apply, then click the Save Allowances button to apply it to the timesheet. Tanda will calculate the total cost of the allowance for you.

Once saved, the allowance will apply to the day's timesheet.

Repeat this process for each day and instance a manual allowance is needed.

Annual Leave Loading

📜 24.4 Annual leave loading

(a) During a period of annual leave an employee will receive a loading calculated on the minimum wage rate in clause 17Minimum rates. Annual leave loading is payable on annual leave accrued and taken and on annual leave paid out on termination.

(b) The loading is as follows:

(i) Day work

Employees who would have worked on day work only had they not been on annual leave—17.5% or the relevant weekend penalty rates, whichever is the greater, but not both.

(ii) Shiftwork

Employees who would have worked on shiftwork had they not been on annual leave—a loading of 17.5% or the shift loading (including relevant weekend penalty rates), whichever is the greater, but not both.

Annual leave loading has been automated in the Road Transport and Distribution Managed Template.

When a Full Time or Part Time employee is on a period of annual leave, the appropriate leave loading allowance will automatically apply in the timesheet based on the period of leave requested.

Note: Please ensure all leave requests are populated or pre-filled with start and finish times. This will ensure the leave loading allowances apply correctly.

When the leave request is generated in the timesheet, a leave loading allowance will automatically trigger in the timesheet.

The leave loading rate will apply based on the rate that would have applied to the time if worked.

Please review the multiplier configured on the annual leave type. If previously configured as 1.175x the multiplier will need to be updated to 1.00x. The loading amounts will be automatically added in the timesheet under allowances.

For example, if an employee takes leave during a period they would have worked a night shift. The leave loading allowance that triggers for this shift applies an additional 0.30x for the leave hours in line with the penalty that would have applied to the time worked.
