Configuring the Award Template
This section of the guide will take you through the options available for configuring employees under the Pharmacy Industry Award (PIA) Managed Template.
Enabling the Award Template
Enabling the Award Template
To utilise the PIA Managed Template in your account you will first need to enable the Managed Template in your account.
To do this go to Time & Attendance > Compliance > Award Template > Apply Template:
Select the relevant payroll system if you have not already enabled a integration:
Scroll down the page to Apply an Award > click Enable next to the Award Template you would like to apply to your account:
Once the Award Template has been enabled you have the option add staff to the award via the + Add Staff to Award button or via the steps outlined below:

Classification of Staff
Classification of Staff
To pay an employee under a Managed Template you will need to configure their employee profile with both an Employment Type and a Classification.
An Employment Type is a tag which all the pay conditions (award rules) are associated to for an employee including penalties and overtime. An example of this kind of tag is 'Full Time'.
A Classification is the tag that will pay the employee their base rate which all penalties and overtime is calculated off. An example of this kind of tag is 'Level 1'.
To add an employee’s Employment Type and Classification, navigate to Workforce > Staff > (Employee Name) > Pay Conditions > Edit Current Pay Conditions > select the appropriate start date > under Industry Award select the Award applicable to the employee, as below:
The Employment Type and Classification under the selected Managed Template will then populate via the drop downs for selection:
The available Employment Type and Classification/ Level in the PIA Managed Template are listed below.

The PIA outlines that part time employees are to have agreed hours of work at the time of engagement:

An employer must pay a part-time employee at the overtime rate for each hour worked in excess of the number of hours that the employee has agreed to work under clauses 10.4 and 10.12 (Part-time employees).

At the time of engaging a part-time employee, the employer must agree in writing with the employee to all of the following:
(a) t
he number of hours to be worked each day; and
(b)
the days of the week on which the employee will work; and
(c)
the times at which the employee will start and finish work each day; and
(d)
when meal breaks may be taken and their duration.
In Tanda, we have functionality to record, manage and pay overtime based on a part time employee's agreed hours of work. Please see the below details on how to manage these conditions

Recording the agreed hours of work
To record a part time employee's regular hours of work in Tanda navigate to Workforce > Staff > (Employee Name) > Pay Conditions > Edit current pay conditions > select an effective date > click + WEEK > then enter the agreed regular hours of work.
You will be able to to enter start times, finish times and teams.
You can also either enter the break times or allow the automatic break rules to populate the breaks based on the length of the shifts.

Once configured, click Confirm changes.

Variations to the agreed hours of work
Variations to the agreed hours of work
Clause 10.5 of the PIA allows for part time employees to agree to vary their regular hours of work:
📜 10.5
Any agreement under clause 10.4 must state that any variation agreed by the employer and the employee to any of the matters mentioned in clauses 10.4(a) to 10.4(d) must be in writing and may be of a temporary (e.g. single shift or rostered period) or permanent nature.
In Tanda, agreed variations can be managed in the below ways.

Scheduled variations to a Part Time employee's regular pattern will be flagged in the roster:
When View is selected managers will be able to see what the agreed regular hours are.
The shift can be changed to match the regular hours or if an intended variation the manager can publish the variation to then seek acceptance to the variation:
In order for the employee to accept the variation to the regular pattern of work via their Tanda app, the Shift Acknowledgement feature needs to be turned on.
To do this navigate to Settings cog in the top right hand corner > All Settings > Rosters > Shift Acknowledgement > click the box > then click Update Settings at the bottom of the page:
Then navigate to Time & Attendance > Compliance > click Manage next to the Pharmacy Industry Award Template > click Edit in the Configure PPT Settings field:
Toggle on Shift Acceptance and select the relevant employment type tags via the Applies to drop down:
With these settings configured, Part Time employees will now be able to accept variations to their agreed regular hours via their Tanda app. When accepted, the varied hours will be paid at ordinary hours rates.

If an employee does not accept a variation via the Shift Acceptance feature, agreed variations can also be captured using the shift tag Accepted Shift Variation.
To utilise this tag it must be saved to the employee profile. To do this navigate to Workforce > Staff > (Employee Name) > Pay Conditions > Edit current pay conditions > select the start date for this contract change > in the Allowances/ Penalties field search for Accepted Shift Variation shift tag > > Save Contract Changes:
One way to use this tag is to apply the tag via the Select Tag dropdown in the timesheet to shifts that have an agreed variation:

NOTE: The application of the shift tag in this manner will not capture the Part Time employee's express agreement to the variation.
To capture the agreement by the employee, the Accepted Shift Variation shift tag can be added to a Shift Question.
If a Part Time employee clocks in earlier than scheduled or for an unscheduled shift, Shift Questions can be used to manage these unscheduled hours if they are a variation to the agreed regular hours of work.
To configure a Shift Question navigate to Settings cog in the top right hand corner > All Settings > Shift Questions > Set up shift questions > + New Question > the below page will then display:

The configuration and wording of the shift question will be based on your business requirements.
An example of a shift question configured to capture agreement to variations to the agreed regular hours of work can be seen below:
NOTE: For shift questions that are configured with multiple answers, each answer will require a corresponding Shift Tag.
The Pharmacy Industry Award Managed Template has been configured with the Accepted Shift Variation and Declined Shift Variation shift tags. These tags are available in your account to use for shift questions.

A record of the agreement, including the time it was agreed to, can be captured in either of the below ways:
On the Tanda mobile app if the variation is known prior to the shift commencing (Shift Acceptance); OR
On the Tanda time clock app (Shift Questions).

Part time employees can agree to work additional hours after working their agreed regular hours of work at casual terms:
📜 10.12
A part-time employee who has worked on any day the number of hours agreed under clause 10.4 may agree to work additional hours on that day on the terms applicable to a casual employee. An agreement to work additional hours must be in writing.
📜 10.13
However, the total number of hours agreed under clause 10.4 and 10.12 must not exceed the maximum daily hours specified in clause 13.3 (Ordinary hours of work) or full-time employment hours specified in clause 9— Full-time employees.
In Tanda, this agreement is facilitated via the shift tag Accepted Variation Casual Terms Agreed.
To capture this agreement and apply this shift tag, it first needs to be saved to the employee profile by navigating to Workforce > Staff > (Employee Name) > Pay Conditions > Edit current pay conditions > select the start date for this contract change > in the Allowances/ Penalties field search for Accepted Shift Variation shift tag > > Save Contract Changes:
Once saved to the employee profile, it can now be applied in the timesheet for hours worked in excess of the agreed hours for the day.
Please see the below example where the employee has agreed to work an extra 90 minutes at the end of their regular finishing time:

Automatically capturing the agreement to work at casual terms

Capturing the part time employee's agreement to work additional hours at the casual terms under the PIA can be facilitated via shift questions.

Managing Breaks
Under the PIA, an employee is entitled to meal breaks and rest breaks depending in how many hours they have worked in a day.

Clause 15 gives an employee an entitlement to meal breaks and rest breaks.

An employee who works the number of hours on any one day specified in an item of column 1 of Table 2—Entitlements to meal and rest break(s) is entitled to a break or breaks as specified in column 2.

When you enable the PIA Managed Template you will also enable the PIA break rules.The break rules will assist with the rostering of breaks for any staff under this Managed Template.
To view the break template navigate to Time & Attendance > Compliance > click Manage against the Pharmacy Industry Award Template > view the breaks under Breaks for the Pharmacy Industry Award (MA000012):
To edit the break template click Edit in the Breaks for the Pharmacy Industry Award (MA000012) box and you will be taken to the break settings:
This break template can then be used for automatically rostering and applying breaks in timesheets. For more information on automatic breaks see the Setting up and managing automatic breaks guide.
Proactive alerts can also be set up to be sent to managers during the shift regarding the taking of breaks. These alerts are known as 'Key Alerts'. To see more about configuring key alerts, see Receive alerts for variances and compliance breaches.
Timesheets
Once an employee has clocked time in Tanda this clocked time will convert to a timesheet. The time clocked will be interpreted by Tanda based on the employee Employment Type and Classification/ Level.
This section of the guide will provide an overview of the pay outcomes for employees in Tanda.
General Information
An example of interpreted worked time in a timesheet can be seen below.
The employee has been configured as a Part Time employee paid at the Pharmacy Student Year Four rate. The employee has only worked ordinary hours during the period:
In the above image, you can see that the hours have been classified as ordinary in the Timesheet Export Summary section.
The Timesheet Export Summary section will also indicate when time worked is overtime and what multipliers are associated with the Managed Template rules that are applying in the timesheet.

Penalty Rates and Overtime
Automatic penalty rates and overtime will also populate on the timesheet for hours worked based on the configuration of the employee in Tanda.
An example of this is a part time employee working after 7.00pm on a weekday.
In the below example, you can see different multipliers automatically applying based on the day of the week:

The penalties automated in Tanda are outlined below.
📜 22.3 Payment of penalty rates
(a)
An employer must pay a full-time or part-time employee in accordance with column 2 of Table 6—Penalty rates, and a casual employee in accordance with column 3 of that table, for hours worked by the employee during a period specified in column 1 of that table.
(b)
The penalty rate specified in column 2 or 3 of Table 6—Penalty rates must be applied to the applicable minimum hourly rate for the employee classification in accordance with clause 16—Minimum rates.
All the above penalty rates will automatically apply in timesheets when applicable.

The overtime rates under the PIA are outlined in clause 21.4:
📜 21.4 Payment of overtime
(a)
An employer must pay an employee for all overtime worked as prescribed in clause 21.2 and 21.3 the overtime rate specified in column 2 of Table 5—Overtime rates in accordance with when the overtime was worked as specified in column 1 of that table.
(b)
The overtime rate specified in column 2 of Table 5—Overtime rates must be applied to the applicable minimum hourly rate for the employee classification in accordance with clause 16—Minimum rates.
(c)
Casual loading is not payable on overtime worked by a casual employee.
The above overtime rates will automatically apply in Tanda when applicable. The application of overtime rates will reset per week in the PIA Managed Template per clause 21.4.
Clause 21.2 and 21.3 outline when an employee is to be paid overtime.
📜 21.2 Application of overtime
An employer must pay an employee at the overtime rate, as specified in clause 21.4, for any hours worked at the direction of the employer:
(a)
in excess of 38 hours per week (or 76 ordinary hours over 2 consecutive weeks); or
(b)
in excess of 12 hours on any day as specified in clause 13.3 (Ordinary hours of work); or
(c)
that are not continuous, except for rest breaks and meal breaks to which the employee is entitled under clause 15—Breaks; or
(d)
between midnight and 7.00 am; or
(e)
outside the rostering arrangements specified in clause 14—Rostering arrangements—full-time and part-time employees.

12+ hours on any day (clause 21.2(b));

Working between the hours of midnight and 7.00am (clause 21.2(d));
Not having 2 consecutive days off in a week or 3 consecutive days off in a fortnight (clauses 14.1(a) & 21.2(e));
Working 6 days in one week and then more than 4 days in the second week (clauses 14.1(b), 14.1(c) & 21.2(e));
Working more than 6 consecutive days (clauses 14.1(d) & 21.2(e)); and
Working more than 3 Sundays in a 4 weeks (clauses 14.1(e) & 21.2(e)).

The below overtime conditions have an automatic application in Tanda for casual employees:
38+ ordinary hours per the overtime averaging period (clause 21.2(a));
12+ hours on any day (clause 21.2(b));
Working a non-continuous shift (clause 21.2(c)); and
Working between the hours of midnight and 7.00am (clause 21.2(d)).

Clause 14.4 of the PIA allows for full time and part time employees to request a different rostering arrangement than what has been set out under clause 14.1:

At the written request of the employee, the employer and the employee may agree to rostering arrangements that are different to those in clause 14.

Different arrangements agreed under clause 14.3 must be recorded in the time and wages record.
📜 14.5
The employee may end an agreement under clause 14.3 at any time by giving the employer 4 weeks’ notice unless the agreement was made under clause 10.4 (Part‑time employees).
There are tags available in the PIA Managed Template to facilitate these arrangements and record the agreement in the time and wages record.
The tags will disable overtime conditions for an individual employee so that the agreed different arrangements can be facilitated.
These tags are listed below:
To apply the tag to a particular employee navigate to Workforce > Staff > (Employee Name) > Pay Conditions > Edit current pay conditions > select the start date for this contract change > in the Allowances/ Penalties field search for the applicable shift tag > > Save Contract Changes:
NOTE: Once one of the above tags has been applied to the employee profile, all associated overtime award rules will be disabled for that employee.

Time Off In Lieu (TOIL)
Time Off In Lieu (TOIL)
When an employee has an agreement with their employer that overtime worked can be accrued as time off equivalent to the amount for which payment would otherwise have been made, they are agreeing to Time Off In Lieu (TOIL).
The PIA Managed now contains TOIL conditions that can be applied instead of automatic conditions per clause 21.5:
📜 21.5 Time off instead of payment for overtime
(a)
An employee and employer may agree in writing to the employee taking time off instead of being paid for a particular amount of overtime that has been worked by the employee.
(b)
The period of time off that an employee is entitled to take is equivalent to the overtime payment that would have been made.
To categorise time worked as TOIL in Tanda, the shift must be tagged as TOIL so that time off is accrued instead of overtime rates being paid.
The overtime hours that have had a TOIL tag applied to them will no longer cost in the timesheet.
To use the TOIL shift tag, it must first be saved to the employee profile:

Minimum Shift Engagements
The Pharmacy Industry Award stipulates minimum shift engagements for part time and casual employees. Please see the below details.

Under the PIA, part time employees are to be paid for a minimum of 3 hours per shift:
📜 10.7
An employer must roster a part-time employee on any shift for a minimum of 3 consecutive hours.
In Tanda, a shift that is under the required length of 3 hours will be automatically topped up to three hours. Please see the below example where the part time employee has only worked 90 minutes:
The minimum engagement will be paid based on the penalty the employee would have received if they had worked the required minimum shift length.
For example, the minimum engagement below is paid at the evening work penalty:
NOTE: The casual minimum engagement will apply to each separate shift that is under the require length of 3 hours.
Casual Employees
Casual Employees
Under the PIA, casual employees are to be paid for a minimum of 3 hours per shift:
📜 11.1
An employer must roster a casual employee on any shift for a minimum of 3 consecutive hours.
In Tanda, a shift that is under the required length of 3 hours will be automatically topped up to three hours. Please see the below example where the causal employee has only worked 2 hours:
NOTE: The casual minimum engagement will apply to each separate shift that is under the require length of 3 hours.
School Students
School Students
The PIA allows for full time school students to agree to a reduced minimum engagement on school days between the hours of 3.00pm and 6.30pm:
📜 10. Part-time employees
10.14 School students
The minimum engagement period for a part-time employee will be 2 hours if all of the following circumstances apply:
(a)
the employee is a full-time secondary school student; and
(b)
the employee is engaged to work between the hours of 3.00 pm and 6.30 pm on a day which they are required to attend school; and
(c)
the employee agrees to work, and a parent or guardian of the employee agrees to allow the employee to work, a shorter period than 3 hours; and
(d)
there is at least one employee who is classified at level 3 or higher engaged over the same period to supervise the school student.
📜 11. Casual employees
11.5 School Students
The minimum engagement period for an employee engaged on a casual basis will be 2 hours if all of the following circumstances apply:
(a)
the employee is a full-time secondary school student; and
(b)
the employee is engaged to work between the hours of 3.00 pm and 6.30 pm on a day on which they are required to attend school; and
(c)
the employee agrees to work, and a parent or guardian of the employee agrees to allow the employee to work, a shorter period than 3 hours; and
(d)
there is at least one employee who is classified at level 3 or higher engaged over the same period to supervise the school student.
This agreement in Tanda is facilitated by the employment types Part Time School Student and Casual School Student. For the list of available employment types in the PIA Managed Template please see here.
In order to automatically facilitate the reduced minimum engagement, the employee will need to be set up with one of the school student employment types on the employee profile:
Then, if the employee, works on a school day the minimum required shift length will be two hours:
If the employee works less than 2 hours, the shift will automatically be topped up to two hours:
If the employee works on a weekend the minimum engagement will be the standard 3 hours as it is a non-school day:
If the employee works outside the set hours of 3.00pm to 6.30pm, the minimum engagement will also be the standard part time or casual minimum engagement of 3 hours:
NOTE: Tanda does not automate the minimum engagement increasing to 3 hours between 3.00pm and 6.30pm on a weekday during school holidays.

Non-School Day Shift Tag
Non-School Day Shift Tag
When an employee configured as a 'School Student' in Tanda is on school holidays, the employee is entitled to a 3 hour minimum shift engagement at all times they attend work.
To facilitate the 3 hour minimum engagement between 3.00pm and 6.30pm on a weekday during school holidays, the shift tag 'Non-School Day' needs to be applied to the timesheet.
To apply this shift tag in the timesheet, it must first be saved to the employee profile:
Once saved to the employee profile it can then applied to the timesheet at the required times. Please see the below example of the shift tag being applied to a timesheet to increase the minimum engagement to 3 hours.

📜 19.2 Home medicine reviews and residential medication management reviews
An employee classified as a Pharmacist, Experienced Pharmacist, Pharmacist in Charge or Pharmacist Manager who is required by the employer to perform home medicine reviews or residential medication management reviews shall be paid an additional allowance of $106.40 per week.
The Home medicine reviews and residential medication management reviews allowance is automated in Tanda.
To have this allowance apply once per week for a Pharmacist, Experienced Pharmacist, Pharmacist in Charge or Pharmacist Manager, the allowance tag must be saved to the employee profile:
Once saved to the employee profile, the allowance will apply each week to the first worked shift of the week:
Meal allowances
Meal allowances
There are two different overtime meal allowances under the Pharmacy Industry Award that an employee may be entitled to.
📜 19.3 Meal allowances
(a)
Clause 19.3 applies to an employee to whom all of the following apply:
(i)
the employee has worked 6 or more ordinary hours on any day; and
(ii)
the employee is required to work on that day, overtime, or more than 1.5 hours beyond the time at which the employee ordinarily finishes work for the day, unless the hours worked were agreed under clause 10—Part-time employees; and
(iii)
the employee was not advised of the requirement mentioned in clause 19.3(a)(ii) on or before the previous day; and
(iv)
the employee cannot reasonably return home for a meal within the period of the meal break.
(b)
The employer must:
(i)
pay the employee a meal allowance of $23.14; or
(ii)
supply the employee with an adequate meal.
(c)
If the number of hours worked under a requirement mentioned in clause 19.3(a)(ii) exceeds 4, the employer must pay the employee a further meal allowance of $20.74.
The meal allowances under the PIA Managed Template have a manual application in Tanda.
To apply the meal allowance to an employee's timesheet click the + Add Allowances button on the applicable shift:
Select the relevant meal allowance from the drop down:
Then enter the relevant value in the Units field. The allowance will then cost:

📜 19.5 Clothing allowance
(a)
The employer must reimburse an employee who is required to wear special clothing, such as a uniform or protective clothing, for the cost of purchasing any such clothing (including purchasing replacement clothing due to normal wear and tear) that is not supplied or paid for by the employer.
(b)
If special clothing that is required to be worn by an employee needs to be laundered, the employer must undertake the laundering at no cost to the employee or pay the employee an allowance of:
(i) $6.25
each week for a full-time employee; or
(ii) $1.25
each shift for a part-time or casual employee.
The clothing allowance is automated in Tanda. There are two versions of the allowance to select from.
The tag FT Laundry Allowance will apply the weekly allowance rate to the first worked shift in the week.
The tag PT/Casual Laundry Allowance will apply the pro rata per shift rate to each shift worked in a week up until the maximum amount.
To automate the application of the allowance, save the applicable allowance tag to the employee profile:

📜 19.7 Motor vehicle allowance
If an employer requests an employee to use their own motor vehicle in performing their duties, the employer must pay the employee an allowance of $0.99 for each kilometre travelled.
The motor vehicle allowance in Tanda is applied via the employee timesheet.
To pay the motor vehicle allowance for an employee click the + Add Allowances button on the applicable shift:
Select the Vehicle Allowance from the allowance drop down:
Enter the applicable number of units:
Then click Save Allowances.
The Vehicle Allowance will then populate in the timesheet:

📜 19.9 Broken Hill allowance
The employer must pay an employee at a workplace within the County of Yancowinna in New South Wales (Broken Hill) an allowance of $44.18 per week.
The Broken Hill allowance is automated in Tanda.
To have this allowance apply once per week, the Broken Hill allowance tag must be saved to the employee profile:
Once saved to the employee profile, the allowance will apply each week to the first worked shift of the week:
