Configuring the Award Template
This section of the guide will take you through the options available for configuring employees under the Animal Care and Veterinary Services Award Managed Template.
Enabling the Award Template
Enabling the Award Template
To utilise the Animal Care and Veterinary Services Managed Template you will first need to enable the Managed Template in your account. To do this navigate to Time & Attendance > Compliance > Award Template > Apply Template:
Select the relevant payroll system if you have not already enabled a integration:
Scroll down the page to Apply an Award > click Enable next to the Award Template you would like to apply to your account:
Once the Award Template has been enabled you have the option add staff to the award via the + Add Staff to Award button or via the steps outlined below:

Classification of Staff
Classification of Staff
To pay an employee under a Managed Template you will need to configure their employee profile with both an Employment Type and a Classification/ Level.
An Employment Type is a tag which all the pay conditions (award rules) are associated to for an employee including penalties and overtime. An example of this kind of tag is 'Full Time'.
A Classification/ Level is the tag that will pay the employee their base rate which all penalties and overtime is calculated off. An example of this kind of tag is 'Level 1'.
To add an employee’s Employment Type and Classification/ Level, navigate to Workforce > Staff > (Employee Name) > Pay Conditions > Edit Current Pay Conditions > select the appropriate start date > under Industry Award select the Award applicable to the employee, as below:
The Employment Type and Classification under the selected Managed Template will then populate via the drop downs for selection:

Employees set up with one of the below Employment Types will be paid ordinary time during the span of hours set out under clause 13.2(a) of the Award.

Employees set up with one of the below Employment Types will be paid the shift worker rates set out under clause 21.3 of the Award.
📜 21.2 Shiftwork penalty rates
The following rates apply to ordinary hours of work for employees engaged on shiftwork:
(a)
115% of the minimum hourly rate for a shift finishing after 8.00 pm;
(b)
130% of the minimum hourly rate for a shift where the majority of hours on the shift occur between the hours of midnight and 8.00 am; and
(c)
115% of the minimum hourly rate for a shift commencing at or before 6.30 am.

Under the the Animal Care and Veterinary Services Award, junior employees are paid at a percentage of the applicable adult rate.
📜 15.4 Junior rates
Junior employees must be paid the following percentage of the appropriate wage rate in clause 15—Minimum rates.
When setting up the employee’s profile in Tanda please ensure their date of birth has correctly been entered. Tanda will automatically use this age to apply the applicable junior minimum rate.
For example, if an employee is 16 years of age, Tanda will automatically apply the correct junior rate for the classification. Please see the below:
When a Junior employee has a birthday resulting in a change to their hourly rate, the rate in Tanda will automatically update on the birth date.
National Training Wage
National Training Wage
The majority of trainee base rates are inferred from Schedule E in the Miscellaneous Award. Trainees then generally get their other entitlements such as penalty rates, overtime and allowances from the modern award that covers them.
📜 15.6 National training wage
(a)
Schedule E to the Miscellaneous Award 2020 sets out minimum wage rates and conditions for employees undertaking traineeships.
(b)
This award incorporates the terms of Schedule E to the Miscellaneous Award 2020 as at 1 July 2025. Provided that any reference to “this award” in Schedule E to the Miscellaneous Award 2020 is to be read as referring to the Animal Care and Veterinary Services Award 2020 and not the Miscellaneous Award 2020.
The Miscellaneous Award is available as a Tanda Managed Template. It encompasses the trainee rates as outlined within the Award and can be added to the award application section of your Tanda account.
Alternatively, you can add a custom hourly rate to the employee profile of the trainee and keep them classified under the Animal Care and Veterinary Services Manage Template if this better suits the conditions of their employment.

Managing Meal Breaks and Rest Breaks
Under the Animal Care and Veterinary Services Award, employees are entitled to breaks based on how many hours they work in a day.
📜 14. Breaks
14.1 Unpaid meal break
An unpaid meal break of not less than 30 minutes must be allowed to each employee between the fourth and fifth hour of work. In times of emergency or staff accident or illness the time of the meal break can be varied by agreement between the employer and the employee.
14.2 Paid rest break
(a)
All employees (other than associates) must receive, where practicable, a paid rest break of 10 minutes after 4 hours work.
(b)
Where the employee works 7.6 hours per day the employee will be entitled to 2 10 minute paid rest breaks.
(c)
Rest breaks will be taken at times that do not interfere with continuity of work where continuity is necessary.
(d)
Where there is agreement, rest breaks can be combined into one 20 minute paid rest break.
(e)
Rest breaks are to be counted as part of time worked.
When you enable the Animal Care and Veterinary Services Managed Template you will also receive the suggested break rules for the Award.

Based on clause 14 of the Award, the recommend break rules are:
To edit the break template click Edit in the Breaks for the Animal Care and Veterinary Services Award (MA000118) box and you will be taken to the break settings.
Below is the break rules for non-veterinary surgeons:
As a result of clause 14.2(a), the break rules for veterinary surgeons are only configured with one unpaid 30 minute meal break:
This is because associates are excluded from the paid rest breaks.
Per clause 2 of the Award, associates are defined as a "veterinary surgeon who is employed on a full-time, part-time or casual basis."

Timesheets
Once an employee has clocked time in Tanda this clocked time will convert to a timesheet. The time clocked will be interpreted by Tanda based on the employee Employment Type and Classification/ Level.
This section of the guide will provide an overview of the pay outcomes for employees in Tanda.
General Information
An example of interpreted worked time in a timesheet can be seen below.
The employee has been configured as a Full Time employee paid at the Level 3 rate. The employee has only worked ordinary hours during the period:
In the above image, you can see that the hours have been classified as ordinary in the Timesheet Export Summary section.
The Timesheet Export Summary section will also indicate when time worked is overtime and what multipliers are associated with the Managed Template rules that are applying in the timesheet.

Penalty Rates and Overtime
Automatic penalty rates and overtime will also populate in the timesheet for hours worked based on the configuration of the employee in Tanda.
An example of this is a Full Time employee working on the weekend.

📜 21.1 Weekend rates and public holiday penalties — other than shiftwork
The following penalty rates apply to employees other than shiftworkers working ordinary hours on weekends and public holidays:

📜 21.2 Shiftwork penalty rates
The following rates apply to ordinary hours of work for employees engaged on shiftwork:
(a)
115% of the minimum hourly rate for a shift finishing after 8.00 pm;
(b)
130% of the minimum hourly rate for a shift where the majority of hours on the shift occur between the hours of midnight and 8.00 am; and
(c)
115% of the minimum hourly rate for a shift commencing at or before 6.30 am.
(d)

NOTE:
these shiftwork penalty rates do not apply to employees engaged as day workers.
Afternoon Shift Penalty
The afternoon shift penalty outlined under clause 21.2(a) of the Award is automated in Tanda. Please see the below example.
Night Shift Penalty
The night shift penalty outlined under clause 21.2(b) of the Award is only partially automated in Tanda. If the shift is not entirely worked between the hours of midnight and 8.00am, the appropriate shift penalty will not apply.
To ensure the appropriate shift penalty applies, the shift tag Night Shift can be applied to the timesheet.
When the majority of the shift is worked between midnight and 8.00am, apply the shift tag as per the below:
Once the shift tag is applied, the night shift penalty will apply to the entire shift.

Morning Shift Penalty
The morning shift penalty outlined under clause 21.2(c) of the Award is automated in Tanda. Please see the below example.
Weekend Shift Penalties
The below weekend shift penalties are automated in the Animal Care and Veterinary Services Award Template for the shiftwork employment types.
📜 21.3 Weekend and public holiday rates - shiftwork
Where the major portion of a rostered shift falls on a Saturday, Sunday or public holiday the following rates apply instead of the rates in clause 21.2:
(a) 150%
of the minimum hourly rate for ordinary hours on a Saturday shift;
(b) 200%
of the minimum hourly rate for ordinary hours on a Sunday shift; and
(c) 250%
of the minimum hourly rate for ordinary hours on a public holiday
shift.
Veterinary Surgeons
Veterinary Surgeons
Per clause 27.3(a) of the Award, veterinary surgeons are entitled to be paid a penalty for working on a public holiday.
📜 27.3 Payment for public holidays—veterinary surgeons
(a) Public holiday rates
(i)
Subject to clause 27.4, the rate for work performed on a public holiday for a full-time or part-time associate is 200% of the minimum hourly rate.

(iii)
Casual associates will be paid at 200% of the minimum hourly rate. This provision does not apply to substitute days.
The public holiday penalty is automated in Tanda for the veterinary surgeon employment types. Please see the below example:
When Christmas Day falls on a Saturday or Sunday, full time and part time veterinary surgeons are to be paid a penalty of 50%.
📜 27.3 Payment for public holidays—veterinary surgeons
(b) Christmas day falling on a Saturday or Sunday
Permanent full-time and part-time associates required to work on 25 December will receive the Saturday or Sunday rate (as appropriate) plus a loading of 50% (of the ordinary time rate) and be entitled to the benefit of a substitute day.
In Tanda, this is facilitated via the shift tag Christmas Day on Weekend.
Apply this shift tag to a shift that is worked on Christmas Day that falls on Saturday or Sunday.

Overtime Conditions
Overtime Conditions
The overtime rates payable under the Animal Care and Veterinary Services Award are set out under clauses 20.1(b) and (c).
📜 20.1 Employees other than veterinary surgeons
(b) Overtime rates for employees other than veterinary surgeons—full-time and part-time employees
(i)
Monday to Saturday
150% of the minimum hourly rate for the first 3 hours and 200% of the minimum hourly rate after 3 hours.
(ii)
Sunday
200% of the minimum hourly rate with a minimum payment of 3 hours provided the employee is ready willing and available to work such overtime.
(c) Overtime rates for employees other than veterinary surgeons—casual employees
(i)
Monday to Saturday
175% of the minimum hourly rate for the first 3 hours and 225% of the minimum hourly rate after 3 hours.
(ii)
Sunday
225% of the minimum hourly rate with a minimum payment of 3 hours provided the employee is ready willing and available to work such overtime.
(d)
In calculating overtime, each day’s work stands alone.

The overtime conditions applicable to day workers is set out under clause 20.1(a)(i) of the Award.

Overtime rates must be paid to full-time and part-time employees in accordance with clause 20.1(b) and to casual employees in accordance with clause 20.1(c) as follows:
(i)
to employees other than shiftworkers - for all work performed outside the ordinary hours...

📜 13. Ordinary hours of work and rostering
13.1 Weekly hours of work
(a)
The ordinary hours of work are an average of 38 per week. The averaged hours must not exceed 152 hours in 28 days, or an average of 38 hours over the period of an agreed roster cycle.
(b)
The maximum length of the ordinary hours for any one shift must not exceed 10 hours not including meal breaks.
13.2 Span of hours—day work
(a)
The ordinary hours of work will be between 6.00 am and 9.00 pm Monday to Sunday.
(b)
The ordinary hours of work are to be worked continuously, except for meal breaks, at the discretion of the employer.
(c)
The employer and an individual employee may agree to alter the span of hours.
The automated overtime conditions for full time, part time and casual day work employment types are:
Working more than 38 ordinary hours in a period (clause 13.1(a));
Working more than 10 ordinary hours in a shift (clause 13.1(b)); and
Working outside the span of ordinary hours (clause 13.2(a)).

The overtime conditions applicable to shiftwork is set out under clause 20.1(a)(ii) of the Award.

Overtime rates must be paid to full-time and part-time employees in accordance with clause 20.1(b) and to casual employees in accordance with clause 20.1(c) as follows:

to employees engaged on shiftwork—for all work outside ordinary hours or in excess of 8 hours. Overtime rates for shiftwork are paid instead of the shiftwork penalty rates in clause 21.2.
The automated overtime conditions for full time, part time and casual shiftwork employment types are:
Working more than 38 ordinary hours in a period (clause 13.1(a)); and
Working more than 8 ordinary hours in a shift (clause 20.1(a)(ii)).

The overtime conditions for veterinary surgeons are set out under clause 20.2(a) of the Award:
📜 20.2 Veterinary surgeons
(a)
Employers will compensate associates for time worked in addition to 38 hours per week, except when the associate is on-call, either by:
(i)
granting additional remuneration at the employee’s ordinary time rate; or
(ii)
granting time off instead of payment on an hour for hour basis, if agreed by the associate.
Overtime for working in excess of 38 ordinary hours in a period is automated in Animal Care and Veterinary Services Managed Template for the veterinary surgeon employment types.

Time off in lieu (TOIL)
Time off in lieu (TOIL)
When an employee has an agreement with their employer that overtime worked can be accrued as time off equivalent to the amount for which payment would otherwise have been made, they are agreeing to Time Off In Lieu (TOIL).
The Animal Care and Veterinary Services Managed contains TOIL conditions that can be applied instead of automatic overtime conditions per clause 20.3:

(a)
An employee and employer may agree in writing to the employee taking time off instead of being paid for a particular amount of overtime that has been worked by the employee.

(d)
The period of time off that an employee is entitled to take is the same as the number of overtime hours worked.
To categorise time worked as TOIL in Tanda, the shift must be tagged as TOIL so that time off is accrued instead of overtime rates being paid.
The overtime hours that have had a TOIL tag applied to them will no longer cost in the timesheet.

Transfer to or from shiftwork without notice
Transfer to or from shiftwork without notice
Under the Animal Care and Veterinary Services Award, when an employee is transferred to or from shiftwork with less than 14 days notice they are to be paid overtime:
📜 21.4 Transfer to or from shiftwork
An employee may be transferred to or from shiftwork on 14 days’ notice provided the employee has at least 10 hours off duty before commencing shiftwork. If 14 days’ notice is not given the employee will be paid overtime rates in accordance with clause 20.1 for all work done outside previous ordinary working hours within 14 days of the time of notification of the change.
There is a shift tag available in the Managed Template to facilitate this overtime condition. This shift tag is Shiftwork Transfer Without Notice.
Apply this shift tag to the timesheet when overtime under clause 21.4 is applicable.

Minimum Shift Engagement
Minimum Shift Engagement
The Animal Care and Veterinary Services Award stipulates minimum shift engagements for casual employees and when work is performed on public holidays. Please see the below details.

The minimum engagement for casual employees is set out under clause 11.4 of the Award:
📜 11.4 Casual employees are entitled to a minimum payment of 3 hours’ work at the appropriate rate.
In Tanda, a shift that is under the required length of 3 hours will be automatically topped up to three hours. Please see the below example where the causal employee has only worked 1 hour:
Secondary School Students
Secondary School Students
Clause 11.5 of the award allows for casual employees that are full time secondary students to agree to a reduced minimum engagement when working between 3.00pm and 7.00pm on a school day.
📜 11.5 The minimum engagement period for an employee will be 2.5 hours if all of the following circumstances apply:
(a)
the employee is a full-time secondary school student; and
(b)
the employee is engaged to work between the hours of 3.00 pm and 7.00 pm on a day which they are required to attend school; and
(c)
the employee agrees to work, and a parent or guardian of the employee agrees to allow the employee to work, a shorter period than 3 hours; and
(d)
employment for a longer period than the period of the engagement is not possible either because of the operational requirements of the employer or the unavailability of the employee.
The agreement to this reduced minimum engagement is facilitated via the School Based Student employment types:

To automate this agreement, one of the above employment types will need to added to the Employment Type field in the employee's Pay Conditions tab:
Then, when the employee works between 3.00pm and 7.00pm the applicable minimum engagement will be 2.5 hours:
During the school holidays, the minimum engagement will return to 3 hours.
To facilitate this use the tag Non-School Day.

Public holidays
Public holidays
The minimum engagement on a public holiday for all employees other than veterinary surgeons is 4 hours per clause 27.2(a).

(a)
Work on a public holiday or a substituted day must be paid for at 250% of the minimum hourly rate with a minimum payment of 4 hours provided the employee is available to work 4 hours.
In the Animal Care and Veterinary Services Managed Template the minimum engagement on a public holiday is automated.
When an employee works less than 4 hours on a public holiday, the shift will automatically be buffered up to 4 hours.
Please see the below example where a Full Time Shiftworker has only worked 1 hour and 45 minutes:

Under the Animal Care and Veterinary Services Award, full time employees are to be engaged for an average of 38 ordinary hours in a period.
📜 9. Full-time employees
A full-time employee is engaged for an average of 38 ordinary hours per week.
This is managed in Tanda by populating the Contracted weekly hours for full time employees in the Pay Conditions tab of the employee profile:
It will then be flagged in the roster is the employee has been under scheduled for their ordinary hours:
The Contracted weekly hours field can then also be used to top up a full time employee to their required ordinary hours for the period.
To utilise this feature navigate to Time & Attendance > Compliance > click Managed next to the Animal Care and Veterinary Services Award Template > under Managed Award Conditions click Edit > then to turn on the Minimum Paid Hours feature turn the toggle off as it appears per the below image > Save:
Then when a full time employee works under their Contracted weekly hours, the timesheet will be topped up to the total required ordinary hours per the below:
On Call and Return to Duty Conditions
On Call and Return to Duty Conditions
Under the Animal Care and Veterinary Services Award, employees can be scheduled to be on call.
On Call periods can be added in the roster in Tanda through On Call Schedules.
To do this navigate to Time & Attendance > Rosters > select the applicable location > set the roster to be Staff View:
Click on the applicable day and on the left hand side the scheduling options will display > click on + On Call Schedule to add an on call period to the roster:
Enter the start and finish times of the on period:
You can then add shifts on either side of the On Call Schedule:
In the employee's mobile app the On Call Schedule will display as the below:

Other than veterinary surgeons and veterinary surgeons are paid different allowances for being on call. Please see the below details.

For employees that are not veterinary surgeons, there are different on call allowances depending on the day of the week the on call period is scheduled.
📜 16.2 Wage-related allowances—other than veterinary surgeons
(c) On-call
Employees rostered to be on-call will receive an additional amount as follows:
(i) $22.12
for each 24 hour period or part thereof when the on-call period is between rostered shifts of ordinary hours Monday to Friday inclusive.
(ii) $33.23
for each 24 hour period or part thereof when the on-call period is on a Saturday.
(iii) $38.68
for each 24 hour period or part thereof when the on-call period is on a Sunday, public holiday or a day when the employee is rostered off duty.
When an employee is rostered On Call, the on call allowances will automatically apply based on the day the On Call Schedule commences.
In the below example, the employee is rostered On Call on Tuesday, Saturday and Sunday:
In the timesheet, this displays in the below way:
On each of the On Call Schedules the appropriate On Call Allowance has applied.
NOTE: Per clause 16.2(c)(iii), if the employee is scheduled to be on call on a day they are rostered off duty they are to be paid at the highest allowance rate.
The On Call allowance for this scenario is not automated in Tanda.
There is a manual allowance available to be applied in timesheet when this On Call allowance rate is applicable.
To apply the allowance click the + Allowances button in the timesheet > select the On Call Allowance - Rostered Day Off from the drop down > enter the applicable Units > click Save Allowances > then the allowance will be added to the timesheet:
Veterinary surgeons

Veterinary surgeons receive a different on call allowance rate to employees that are not veterinary surgeons. This is outlined in clause 16.3 of the Award:

An associate required to be on-call will receive a minimum amount of $54.06 for each period of on-call duty. A new period of such duty will be deemed to commence each 24 hours if continuous on-call duty is required.
When veterinary surgeon is rostered On Call, the On Call Duty Allowance will automatically apply to the On Call Schedule.
In the below example, the employee is rostered On Call on Thursday, Friday and Saturday:

Other than veterinary surgeons and veterinary surgeons are subject to different payment conditions when they required to return to duty. Please see the below details.

When an employee is has an On Call Schedule rostered and they subsequently work during this period overtime rates will apply per clause 20.1(e):

Where an employee is required to return to duty after the usual finishing hour of work for that day, the employee must be paid at the appropriate overtime rate and must receive a minimum payment as for 3 hours’ work.

If an employee works less than 3 hours when they must return to duty, the shift will automatically be topped up to 3 hours and paid at overtime rates:

When a veterinary surgeon is has an On Call Schedule rostered and they subsequently work during this period the timesheet will cost at the employees ordinary time rate per clause 16.3(a)(i):

On-call duty

An associate who performs active on-call duty will be paid at no less than the relevant hourly rate for the duration of active duty.
This time will be classified as non-ordinary time.

If the employee agrees to accrue time off instead of being paid for the additional time per clause 16.3(a)(ii), the TOIL tag can be applied to the timesheet to facilitate this.

By agreement, on-call remuneration can be compensated by one or a combination of the following:
payment;
time off instead of payment at the employee’s ordinary rate on an hour for hour basis; and
an annual allowance not less than what otherwise would have been payable but for clause 16.3(a).

Higher Duties
Higher Duties
Under the Animal Care and Veterinary Services Award, higher duties are to be paid in the below circumstances:

(a)
Other than veterinary surgeons
(i)
An employee engaged for a day or shift on duties for which a higher rate than their ordinary classification is paid must be paid the higher rate for that day or shift.
(ii)
Any employee who is required to temporarily perform work for which a lower rate is paid for must not suffer any reduction in wages. An employee may be required to temporarily perform work at a lower classification for a period of less than one week.
(b)
Veterinary surgeons
An associate who is required to perform duties at a higher classification level for a temporary period of more than 2 weeks must be paid the higher salary for the period during which those duties are performed.
Higher duties can be configured in the Managed Template using the higher duties builder. To configure higher duties navigate to Time & Attendance > Compliance > clicking Manage next to the Animal Care and Veterinary Services Award (MA000118) > clicking edit in the Higher Duties field:

NOTE: If an Overriding hourly rate has been entered on the Pay Conditions tab of the employee profile, this rate will override the application of a higher duties rate in the timesheet.

Broken Shift Allowance

Clause 16.2 of the Animal Care and Veterinary Services Award outlines an allowance is to be paid when working broken periods of work:

(a) Broken shift allowance
An employee required to carry out their ordinary hours of duty in more than one shift will be paid $17.09 per shift. This is to be paid only once per 24 hour period.
This allowance will automatically apply if there is a break between shifts of more than 30 minutes. If the break between shifts is 30 minutes this will be taken to be the required unpaid meal break outlined under clause 14.1:
14.1 Unpaid meal break
An unpaid meal break of not less than 30 minutes must be allowed to each employee between the fourth and fifth hour of work. In times of emergency or staff accident or illness the time of the meal break can be varied by agreement between the employer and the employee
.
In the below example there is a 45 minute break between shifts. As the break between shifts is longer than the required unpaid meal break, the Broken Shift Allowance has automatically applied:
NOTE: This allowance is not applicable to veterinary surgeons and will not apply to the employment types Full Time Surgeon, Part Time Surgeon and Casual Surgeon.

📜 16.2 Wage-related allowances—other than veterinary surgeons
(b) First aid
An allowance of $20.94 per week will be paid to an employee who is a qualified first aid attendant and is appointed by the employer to carry out first aid duties.
The First Aid Allowance is automated in Tanda. There are two versions of the allowance to select from.
The tag First Aid Allowance (Weekly) will apply the weekly allowance rate to the first worked shift in the week.

The tag First Aid Allowance will apply the pro rata hourly rate to each hour worked in a week up until the maximum amount.

An employee who is required to wear a uniform must be provided with:
an allowance equivalent to the cost of the uniform; and
a laundry allowance of $6.51 per week.
The Laundry Allowance is automated in Tanda.
To automate the application of the allowance, save the applicable allowance tag to the employee profile:
Once saved, the allowance will automatically in the employee timesheet to the first shift worked in the week:

Vehicle/travel allowance
(i)
The employer must meet all reasonable expenses of travel where it is required in the performance of duties.
(ii)
An employee required by the employer to use their motor vehicle in the performance of duties must be paid the following allowances:
motor vehicle—$0.98 per kilometre; or
motorcycle—$0.33 per kilometre.
The motor vehicle allowance and motorcycle allowance in the Animal Care and Veterinary Services Managed Template are applied via the timesheet in Tanda.
To pay the motor vehicle allowance for an employee click the + Add Allowances button on the applicable shift:
Select the Vehicle Allowance from the allowance drop down:
Enter the applicable number of units:
Then click Save Allowances.
The Vehicle Allowance will then populate in the timesheet:
Overtime Meal Allowances

(a) Meal allowance
(i)
An employee who is required to work overtime for more than one and a half hours, must be paid:
$14.99
for the first meal; and
$12.88
for the second meal and each subsequent meal for each period of 4 hours overtime worked.
The overtime meal allowances in Animal Care and Veterinary Services Managed Template can be applied in the employee's timesheet when applicable.
To apply the meal allowance to an employee's timesheet click the + Add Allowances button on the applicable shift:
Select the relevant meal allowance from the drop down:
Then enter the relevant value in the Units field. The allowance will then cost:
Then click Save Allowances.
The allowance will then be saved to the timesheet:
