H&L POS Integration

Connecting your H&L POS to Tanda for sales and tips data

H&L is a point of sale system used widely across Australian pubs, clubs and hospitality venues. Connecting H&L to Tanda pulls your sales and tips through automatically, so you can build costed rosters, track wage percentage against real revenue, and report on sales without exporting anything by hand.

How it works

  • Tanda connects directly to the H&L Reports API and pulls trading data on an ongoing basis, keeping the most recent hour of sales up to date.

  • Data is bucketed into 15-minute intervals, so you can see revenue across the trading day rather than as a single daily total.

  • Tanda creates one data stream per venue. Each stream carries two figures: the value of sales in the 15-minute period, and the tips taken in that period.

  • Revenue is totalled per docket rather than per line item, so split bills and multi-tender transactions are counted once.

Before you start

You will need three things from H&L before you can connect. Contact your H&L representative to request them:

  • Your Client ID

  • Your Client Secret

  • The venue registration code for each venue you want to bring into Tanda

H&L issues one set of credentials per organisation rather than per venue, so every venue in your group will share the same Client ID and Client Secret. Only the venue registration codes differ.

Admin permission level is required to set up a POS integration in Tanda.


Connecting H&L to Tanda

Navigate to Settings > Integrations > POS Integrations.

In the top right of the POS Integrations page, click + New POS Integration, then search for and select H&L > Connect to H&L.

Fill out the following fields:

  1. Name is a custom name for this integration. If you are connecting more than one group of venues, use something you will recognise later, as this name appears on your data streams.

  2. Client ID and Client Secret are the credentials supplied by H&L.

  3. Venue IDs takes your H&L venue registration codes, separated by commas. For example: 1578, 1579. Tanda creates one data stream for each code you enter.

  4. Choose your revenue settings using the Include tax, Include tips and Include service charge checkboxes. These are explained below.

  5. Click Save.

Once the credentials are accepted, you will see a Connected! message confirming that Tanda is importing sales data from H&L.


Revenue settings

These three checkboxes control what Tanda counts as revenue. Most venues report on revenue excluding tax, so leave Include tax off unless your reporting is done on a gross basis.

  • Include tax keeps GST in the sales figure. When it is off, Tanda subtracts the tax recorded against each docket.

  • Include tips adds tips into the sales figure. Tips are always recorded separately as their own figure on the data stream, so switching this on means tips are reflected in both the sales total and the tips total. Leave it off if you want sales and tips reported independently.

  • Include service charge keeps any surcharge in the sales figure, for example a public holiday or card surcharge. When it is off, Tanda subtracts it.

You can change these settings later using the Edit Integration button on the POS Integrations page.


Checking your data streams

To confirm the integration is working, navigate to Settings > Integrations > Manage Data Streams. You should see one stream for each venue registration code you entered, named using your integration name and the venue code.

These streams then need to be linked to your teams and locations in Tanda so that sales appear against the right rosters and reports. For a full walkthrough, see Configure your Sales, Revenue & Demand Data.


Importing historical data

By default, Tanda begins collecting data from the point the integration is connected. If you need to bring in earlier trading data, use the Import Data button once it is connected. This is located in Integrations > Manage Data Streams > [open the data stream you want to sync] > Activity > Sync Data.

Things to know

  • Sales and tips only. The H&L integration brings across revenue and tips. It does not import transaction counts, employee records or timesheets, so your staff still need to be set up in Tanda separately.

  • Revenue arrives per venue, not per trading area. H&L records a trading area against each sale, such as Bar, Bistro or Gaming, but Tanda currently reports each venue as a single combined figure. If you need revenue split by area, let our support team know so we can capture the request.

  • Venues are added manually. H&L does not publish a list of the venues your credentials can reach, so Tanda cannot detect them for you. If you open a new site, add its registration code to the Venue IDs field and Tanda will create the new stream.


Where to view the data once configured

Once your data streams are set up, they can be used to analyse performance and inform staffing and budget decisions. These areas include:

  • Live Insights: View a breakdown of predicted vs actual sales and rostered vs actual staff counts for each day directly in the Dashboard.

  • Recommended Staff: Streamline rostering by using sales forecasts to recommend staff numbers in the roster based on expected demand.

  • Labour Budgets: Use integrated sales data to compare budgeted amounts against predicted revenue, helping you better configure cost budgets and plan rosters accordingly.

  • Roster Statistics: Customise what data you see in the roster to view predicted sales and statistics like Wage % Revenue or SPLH.

  • Cost Reports: View actual and predicted revenue in cost reports to analyse performance, monitor labour costs against revenue and identify variances against sales forecasts.


Troubleshooting

The integration will not connect. Check the Client ID and Client Secret for stray spaces, and confirm with your H&L representative that the credentials have been enabled for the Reports API. Credentials that work in an H&L test environment will not work against your live venues.

A venue is missing from Manage Data Streams. Confirm the registration code is correct and that codes are separated by commas. Tanda skips duplicates and blank entries.

Sales figures look lower or higher than H&L reports. This is almost always the revenue settings. Compare your Include tax and Include service charge settings against the basis your H&L report uses, as an H&L gross sales report includes both.

Data is missing from an extremely busy trading period. H&L limits how much it will return in one request. Tanda works around this automatically by splitting the period into smaller windows, but a venue with exceptionally high volume in a short window may still be affected. Contact our support team if you notice a gap so we can investigate.
