StarPOS POS Integration

How to send sales from the StarPOS Hub to Tanda for costed rostering, including setup steps, sending past sales, and troubleshooting.

StarPOS is a hospitality Point of Sale (POS) system by Starrtec. The StarPOS Hub can send each venue's sales to Tanda in 15 minute intervals, so you can see sales next to wage costs and roster to how busy you actually are. This guide explains how the integration works, how to set it up, and what to check if sales do not appear as expected.

Note: Unlike most POS integrations, the StarPOS integration is set up from the StarPOS Hub, not from Settings > Integrations > POS Integrations in Tanda. StarPOS will not appear as a tile on that page. Contact the StarPOS team for assistance with the initial connection.

How StarPOS integrates with Tanda

Once a venue is connected, the StarPOS Hub checks for new sales about once a minute and sends each 15 minute block to Tanda as soon as it has finished.

  • Each StarPOS venue is set up separately and links to one Tanda location.

  • Each venue gets its own data stream in Tanda, named StarPOS_Venue_[venue number]_Sales_15min.

  • Each data stream records Sales: the total customers paid in each 15 minute period.

  • Sales are worked out in the venue's local time zone in StarPOS.

The sales figure is what the customer actually paid at the till for what they bought.

This means:

  • Sales include GST. The figure matches the total StarPOS prints on the receipt as "Total includes GST".

  • Discounts and refunds are already taken off.

  • Surcharges are included, such as weekend and public holiday surcharges.

  • Tips are not included.

Note: Because StarPOS sales include GST, figures in Tanda will be higher than GST exclusive sales reports. Keep this in mind when comparing Tanda figures such as Wage % Revenue against other reporting.

The integration is one way and sales only. It does not send transaction counts, and it does not import employees, rosters or timesheets in either direction.

Important to note: Past sales are not sent automatically. When you switch a venue on, Tanda starts receiving sales from that point. To bring in earlier days, use Resend Range after the venue is switched on.

Before you start

You will need the following in place:

  • A Tanda user with admin permission. StarPOS signs in to Tanda with this user's email and password. You can use any existing admin, or create a dedicated user for StarPOS under Workforce > Staff > Add staff so the link keeps working when staff change. Note that a dedicated user counts as an extra user on your Tanda subscription.

  • A location in Tanda for each venue. Each StarPOS venue must exist as a location in Tanda before it can be linked. See Connecting POS to Tanda via Integration for how locations and data streams fit together.

  • Tanda switched on in StarPOS. Contact Starrtec support to enable the Tanda integration for your site and confirm your StarPOS Hub is on a version that supports it. Until this is done, the Integrations menu will not appear in the Hub.

  • Access to the StarPOS Hub web login. This is the browser page for your Hub, not the StarOffice program on your PC.

Note: The Tanda user's password is used, not an emailed sign in code. Before you start, check you can log in to Tanda with that email and password.

Connect a venue to Tanda

  1. Open the StarPOS Hub web login in your browser and log in.

  2. Open the POS menu and, under Venue, click Integrations. The Tanda Integration page opens with one card for each of your venues.

  3. On the card for the venue you are setting up, under Credentials, enter the email and password of your Tanda admin user.

  4. Click Test. If Tanda accepts the login, a list of your Tanda locations appears.

  5. Click Save credentials. The card shows Credentials saved. The password is stored encrypted and the password box empties for security. The location list stays.

  6. Choose the Tanda location that matches this venue.

  7. Click Provision datastream. This creates the venue's data stream in Tanda and links it to the location you chose. The card shows Datastream provisioned.

  8. Under Sync, tick Enabled. The card shows Sync enabled.

Within a minute or two, the most recent finished 15 minute block is sent to Tanda, and each new block follows as it finishes. To send straight away, click Sync Now.

Repeat these steps for each venue.

Pick the right location. Sales go to whichever Tanda location you choose. If you pick the wrong one, sales will show against another venue's rosters and reports. If this happens, contact Starrtec support.

Provision before enabling. Ticking Enabled before Provision datastream has been done sends nothing. Make sure the card shows Datastream provisioned first.

Status labels on the venue card

Sales are being sent automatically.

No labels

This venue has not been set up for Tanda yet.

Red message

The last button clicked on that card did not work, and the message says why. Problems with the automatic background sending are not shown here. Starrtec support can see these in the Hub's logs.

Check your data stream in Tanda

In Tanda, navigate to Settings > Integrations > Manage Data Streams and select the venue's StarPOS data stream. Its graph shows the sales StarPOS has sent, in 15 minute blocks.

The data stream is linked to the location you chose in StarPOS. From here you can also link it to specific teams so sales show against the right areas of your roster. See Configure your sales, revenue and demand data for more on configuring data streams.

Send past sales (Resend Range)

Use Resend Range in the StarPOS Hub to send Tanda sales for an earlier period, for example the weeks before you switched the integration on, or a day when your internet was down.

  1. On the venue's card, under Resend Range, enter From (UTC) and To (UTC). You can send up to 31 days at a time. For longer periods, send in several batches.

  2. Click Resend, then Confirm resend.

The times are in UTC, not your local time. Queensland is 10 hours ahead of UTC all year. New South Wales and Victoria are 10 hours ahead in winter and 11 hours ahead during daylight saving. For example, to resend from 9:00am on 21 October in Brisbane, enter 11:00pm on 20 October.

About the warning message. The confirmation box says it will "DELETE existing Tanda buckets". Nothing is deleted. Tanda's figures for each 15 minute block in the range are replaced with the figures from StarPOS, and blocks with no sales are sent as zero. Sales outside the range are not changed.

Pause or update the integration

  • To stop sending sales for a venue, untick Enabled. The login and location are kept, so you can tick it again later without setting it up again. Sales already in Tanda are kept.

  • If the Tanda user's password changes, enter the new password, click Save credentials, then Test. Nothing is sent until you do.

  • If the StarPOS Hub moves to a new PC, the saved logins may need to be entered again. Type the email and password, click Test, then Save credentials.

Using StarPOS sales data in Tanda

Sales data from StarPOS is available across Tanda and can be used to analyse performance and inform staffing and budget decisions. These areas include:

  • Live Insights: View predicted vs actual sales and rostered vs actual staff counts for each day directly in the Dashboard.

  • Recommended Staff: Use sales forecasts to recommend staff numbers in the roster based on expected demand.

  • Labour Budgets: Compare budgeted amounts against predicted revenue to plan rosters.

  • Roster Statistics: Show predicted sales and statistics like Wage % Revenue or SPLH in the roster.

  • Cost Reports: Monitor labour costs against actual and predicted revenue.

Troubleshooting

There is no Integrations option in the StarPOS Hub POS menu.

The Tanda integration has not been switched on for your site yet, or your Hub is not on a version that supports it. Contact Starrtec support.

The Tanda page in StarPOS shows no venues, or says it could not load the venue list.

Wait a minute and refresh the page. If it keeps happening, contact Starrtec support, as your Hub may need updating.

Test fails, or no location list appears.

  • Check the email and password by logging in to Tanda with them, using the password rather than an emailed code.

  • Make sure that user has admin permission in Tanda.

  • If the message says the saved login could not be read, type the email and password again, click Test, then Save credentials.

The location list is empty.

The Tanda user cannot see any locations. Add the venue as a location in Tanda (or check the user has access to it), then click Test again.

Sales are not appearing in Tanda.

  • Check the venue card in StarPOS shows all three labels: Credentials saved, Datastream provisioned and Sync enabled.

  • Each 15 minute block is only sent once it has finished. Click Sync Now to send straight away.

  • If the Tanda user's password was changed, update it in StarPOS (see Pause or update the integration).

  • If the card looks right but sales still do not arrive, contact Starrtec support so they can check the Hub's logs.

Sales from before I connected are missing.

This is expected. Past sales are not sent automatically. Use Resend Range to send them, up to 31 days at a time.

Sales in Tanda are lower than in StarPOS.

This usually happens when a till was offline and caught up later. Once a 15 minute block has been sent, sales added to it afterwards are not resent automatically. Use Resend Range over the affected period to correct it.

My revenue figures look higher than expected.

StarPOS sends sales including GST and surcharges, so figures in Tanda will be higher than GST exclusive reports. Check you are comparing against a GST inclusive figure, such as the receipt totals in StarPOS.

Tips are not coming through.

Tips are not included in the sales StarPOS sends to Tanda.

Resend says the range is too long.

You can resend up to 31 days at a time. Split longer periods into several batches.

Resent sales landed at the wrong time.

The From and To fields are in UTC, not local time. Convert your local times to UTC (see Send past sales) and resend the period. Resending replaces the figures in that range, so you will not double up.
