Record employees time and attendance by installing the Time Clock App.

The Tanda Time Clock App turns any compatible Android or Apple tablet into a dedicated employee time clock for your workplace. Employees can use this to record their shift start and finish times by entering a unique passcode into the Time Clock. You can also use the Time Clock to record break times.

Throughout this help guide, we will detail how to configure and install the Time Clock app.


Configuring a New Time Clock

To register a new Time Clock App to your Tanda account, follow these steps:

  1. Download the Tanda Time Clock App from the App Store for Apple devices or the Play Store for Android devices. Look for the Time Clock app (with the black logo shown below), not the main Tanda Mobile App, which has a blue logo.

  2. Locate and identify your setup code. To do so, log in to Tanda online at my.tanda.co and navigate to Settings > Time Clocks > New Time Clock. At the top of this page, select whether you are setting this Time Clock up for an iPad or Android device. This linking code resets after 48 hours.

Note: Only Admins have the required access to create a new Time Clock and access these settings.

  1. Enter the setup code into the Time Clock app on your tablet. To do so, click My Business uses Tanda, select the setup code option, and enter your code.

4. Finally, you will be prompted to enter the location(s) for your Time Clock and add a description. You can enter multiple locations. Adding a description is optional, but it can be useful to differentiate multiple Time Clocks. Once you are happy with these details, select 'Done'.

5. Repeat the above process as often as necessary to configure Time Clocks for each of your business locations.

Note: If you receive the error message, 'You don't have access to create devices' you don't have the correct user permissions to configure a Time Clock on your account. In this case, you should reach out to your account admin and ask them to configure the Time Clock.


Best Practices for Using the Time Clock App

Once you have successfully configured your Time Clock app, we recommend following these best practices to get the most out of your experience:

  • Enable app auto-updates on your tablet to ensure you are always using the latest version of the Time Clock app. Follow these guides for details on doing so: Enabling auto-updates on IOS devices and Enabling auto-updates on Android devices.

  • Wall-mount the tablet in an area where employees typically assemble before a shift (i.e. in a prominent place in the break room). If you can't wall-mount your tablet, this isn't essential, but it's recommended practice to help make clocking in a habitual part of an employee's routine. Put simply, if an employee can easily locate and access your Time Clock, they're far more likely to use it.

  • Purchase a tablet to use solely as a time clock. This will ensure the time clock is always accessible and reduce potential reasons for employees not recording attendance (e.g. "I couldn't find the tablet, so I didn't clock in"). Using your Time Clock tablet to perform multiple tasks increases the likelihood that an employee won't be able to locate it when clocking in/out, as it is in use elsewhere.

  • Ensure your tablet has stable internet access. This will allow managers to track attendance in real-time.

  • For the best possible performance, we recommend installing the Time Clock app on either an iPad for Apple users or a Samsung Galaxy Tab 4 or Samsung Galaxy Tab A.


How do I Locate My Time Clock Passcode?

Once your new Time Clock is up and running, employees will be prompted to clock in and clock out using their passcode.

When an employee is first invited to join Tanda, their passcode is included in their welcome email. Encourage employees to save this email or store their passcode somewhere secure, such as a password management app.

If an employee has deleted or misplaced this email, they can locate their passcode by logging in to Tanda and navigating to 'My Profile.'

Your Time Clock passcode is on this page, under 'My Accounts.' If you work for multiple organisations within Tanda, your passcodes for each organisation will also be on this page.

For managers and admins, you can also navigate directly to an employee's profile to locate or update their passcode. You will see the error message below if you attempt to update their passcode to an invalid figure.

From here, you can email the employee their clock-in details (you don't have to update any details, you can merely email the employee's current clock-in details if they have misplaced them.)

If desired, you can also edit your default passcode length. To do so, navigate to Settings > Permissions > Show advanced settings > Default passcode length. As there are 10,000 possible unique 4-digit combinations, this setting is useful for large enterprises that will exhaust possible 4-digit codes.


Managing Time Clocks

You can manage, edit, and deactivate your Time Clocks by navigating to Settings > Time Clocks.

On this page, view your active Time Clocks, Mobile Time Clocks, Deactivated Time Clocks, and Shift Questions.

You can also click 'clock-ins' to view a list of all clock-ins for that Time Clock, 'edit' to edit the Time Clock name and scope it to your location (see FAQs below for more details on this), or 'deactivate' to deactivate that Time Clock.


What Determines Whether 'Start', 'Break' or 'Finish' is Selected on the Time Clock?

Tanda uses the factors listed below to automatically select the most suitable Time Clock action (start, break, or finish) for an employee after they enter their passcode.

If Tanda defaults to the incorrect action, employees can still override this by clicking the correct action when clocking in. For example, if the Time Clock defaults to 'Start' but the correct action is 'Finish', the employee can simply select 'Finish.'

The 'Break Start' option on the Time Clock is only visible when the Allow staff to clock breaks setting is turned on. To enable this setting, navigate to Settings > Permissions > Allow staff to clock breaks.

FAQs & Troubleshooting

Is there a way to 'lock' the Tanda app to the tablet home screen?

Yes, we refer to this as Kiosk Mode. For further details on enabling this feature, see our kiosk mode help guide.

When authenticating the Time Clock app, I received an error. Why?

  • If you are trying to configure the Time Clock app using the 'Tanda Account' option (i.e. logging in with your email and password), you require a Manager or Admin permission level in Tanda. If you have an employee permission level, you will receive an error message and be blocked from logging in.

  • If you are authenticating using the Linking Code option and receive an error, check that:

    1. The authentication code is still valid (for security purposes, your account will display a new linking code every 48 hours).

    2. You entered the linking code correctly, paying attention to possible typos.

    3. You are using the correct code. The linking code is distinct from your 4-digit passcode.

    4. You have the correct permission levels to configure a new Time Clock.

What does the 'Scope to Location' feature do?


By default, the Time Clock app will load the Time Clock codes and profiles of all employees in your Tanda organisation. To load only the employees who work in the location of that Time Clock device, navigate to Settings > Time Clocks. Then, locate your time clock and click 'Edit.' Enter the locations you want your time clock to be linked to, then tick 'Scope this timeclock to these locations' and click 'Update Time Clock.'


For example, say an employee isn't part of any teams in your 'Southside' location. With this setting enabled, they will not be able to clock in using the Southside time clock.

Note: If your organisation has over 500 employees, 'scope to location' will be enabled by default each time you configure a new Time Clock. This reduces the amount of data loaded to the device, thereby improving performance and reducing setup time.

How often does the Time Clock linking code reset?

For security, your account will generate a new setup/linking code every 48 hours, meaning the previous code will expire. During that time, you can use the same code to authenticate as many Time Clock apps as you want. You only need to confirm this code when setting up a new time clock.

How do I view a list of clock-ins for a time clock?

There are a few different ways to do this. Either add the Live Time Clock Feed widget to your dashboard (Time & Attendance > Dashboard > + Add Widget) for a convenient live list of clock-ins, or navigate to Settings > Time Clocks and click 'Clock-ins'.

What is the difference between the linking code and my Time Clock passcode?

The linking code is used to configure a new Time Clock. You can find this code by navigating to Settings > Time Clocks > New Time Clock. When setting up a new Time Clock, you enter this code in the 'Enter your linking code' field. This code resets every 48 hours.

In contrast, you use your Time Clock passcode every time you clock in or out. You can find your Time Clock passcode in your Tanda Welcome Email. Usually, this is a 4-digit code.

These codes are distinct. Please ensure you are entering the correct code in the correct field (i.e. don't enter your passcode in the linking code field or vice versa).

Does the Time Clock support finger-scanning technology?

No, the Tanda Time Clock does not support finger-scanning technology. However, photos are taken when employees clock in and out to ensure the correct team member is clocking in.

Can I allow employees to clock in via their Tanda Mobile App?

I forgot my Time Clock passcode. What should I do?

If you have forgotten your Time Clock passcode, you should reach out to your manager or account admin. They can view or reset your passcode by navigating to your staff profile (Workforce > Staff).

Is there a desktop version of the Time Clock app?

No, this is no longer supported. The Time Clock app does not have a desktop or browser-based option.
