This feature can only be used by payroll software that can accept multiple base rates within one pay period (such as Tanda Payroll).
What is Higher Duties Overflow?
Certain Industry Awards specify that if an employee works a shift where part of the shift is worked in the higher duty role, the entire shift must still be paid at the Higher Duties rate. Tanda refers to this as Higher Duties Overflow.
Certain Industry Awards specify that if an employee performs duties of a classification higher than their current classification for only part of a shift, the entire shift must be paid at the higher rate, not just the period where higher duties were performed.
An example of where this might be applicable is highlighted below from the General Retail Industry Award (2020):
17.5 Higher duties
(a) An employer must pay an employee who performs for more than 2 hours on any particular day or shift duties of a classification higher than the employee’s ordinary classification, the minimum hourly rate specified in column 3 of Table 4—Minimum rates for that higher classification for the whole of that day or shift.
(b) An employer must pay an employee who performs for 2 hours or less on any particular day or shift duties of a classification higher than the employee’s ordinary classification, the minimum hourly rate specified in column 3 of Table 4—Minimum rates for that higher classification for the time during which those duties were performed.
In this case, if an employee worked a 3-hour shift performing Level 1 duties, and then worked another 3 hours on the same day performing Level 2 duties, they would be entitled to the Level 2 Hourly Rate for the entire shift.
Configuring Higher Duties Overflow
Managed Award
When using one of our Tanda Managed Awards, if it is outlined as a clause in the Award, then this functionality will already be automatically implemented in the prebuilt award rules.
You will, however, need to set up the 'jumps' you want to use within the Award, configured via Teams (see Configuring and Applying Higher Duties for more), and ensure you have also ticked "Apply higher duties via base hourly rates rather than multipliers".
The higher duties overflow will then automatically apply when an employee works the necessary hours in the higher duties team.
You may need to further configure Higher Duties Overflow if you have multiple jumps from the same level for different teams.
For example (Using the GRIA Award):
Level 1 is paid at the Level 2 rate when working in the Nightfill team.
Level 1 is paid at the Level 3 rate when working in the Senior Sales Assistant team.
Level 1 is paid at the Level 4 rate when working in the Window Dresser team.
For a 7-hour shift, an employee worked 4 hours in the Senior Sales Assistant team (Level 1 > Level 3). They also worked 3 hours in the Nightfill team (Level 1 > Level 2). The higher Level 3 rate should apply for the entire shift.
To configure this, first navigate to Time & Attendance > Compliance > Manage [the managed award template] > Edit Higher Duties.
The Team Names field should already be configured. In the Overflow Team Names field, enter the teams related to jumps of a higher level.
For this example, it could be configured as below:
The 'Team Names' column indicates which teams the Higher Duties should normally apply to. This tells the system to apply a Level 2 rate when a Level 1 employee works in the Nightfill Team
The 'Overflow Team Names' column indicates which teams the higher rate can 'overflow' from. This means that even if the employee is working in a team already linked to a higher duties rate, the teams in the Overflow Team Names column will take priority and apply instead (if the minimum number of hours worked is reached).
In this example, the Level 3 rate from the Senior Sales Assistant team will apply instead of the Level 2 Nightfill rate if 2 or more hours are worked in the SSA team (per the GRIA award).
You can see the Level 3 rate applying to the entire shift as below:
If instead only 1 hour was worked in the Senior Sales Assistant team, and 6 hours in Nightfill, the Level 2 Nightfill rate would apply.

Custom Payroll Setup
To set up Higher Duties on a custom payroll setup (i.e., for any employees not using a Tanda-managed Award Template), you will be required to configure separate award rules for each Higher Duties jump.
Each of these separate rules for the jumps must link by name to another award rule (the regular hourly rule that applies to the employee). See more about setting up award rules here.
The application of the HD jumps can be configured using Teams or Award Tags
To configure Higher Duties Overflow on a custom setup, you first need to ensure that your Higher Duties custom rules have the same naming convention as the rule you want them to apply to.
For example, the below custom rules are linked together for the HD overflow feature because they both start with 3.1.01:
The regular rule (not the one configured for Higher Duties) is where you would configure the application of the HD overflow.
When editing this rule, scroll down to the ‘Higher duties for entire day’ section and choose the team or tag that Higher Duties would normally apply to (choose the team/tag that the HD rule has been configured to apply to).
In the above example, this would be done in the 3.1.01 FT Base Rate rule.
After choosing the team/tag, enter after how many hours worked in that team the Higher Duties rate should apply for the entire day (i.e., after how many hours should Higher Duties 'overflow' into this rule).
The above example means that if 2 or more hours are worked in the Duty Manager team, then this regular rule (3.1.01 FT Base Rate) will be overridden by the rate set Higher Duties award rule (3.1.01 Manager (Higher Duties)).
Ensure the "What rate is it paid at?" section of the Higher Duties rule is configured as Specific Cost:
Note that in this example, the separate Higher Duties rule "3.1.01 Manager (Higher Duties)" is already configured to apply to shifts in the team "Duty Manager".
Application in timesheets
Once you've configured these custom rules, they will apply as follows:
For a shift where 1 hour has been worked with Higher Duties, and 1 hour with their regular rate, you'll see in the Timesheet Export Summary that it has only applied the higher duties base rate to the time in the Duty Manager team.
If the time in the Duty Manager team reaches 2+ hours, you'll see that it now applies the HD rule to the full day.
The application of Higher Duties Overflow via a managed award will behave similarly.

Check the configuration of the HD jumps and their teams. If the same team is configured in multiple jumps of the same level, it will only ever be able to apply to one of the jumps.
In the below example, a shift in the team ‘Floor Manager’ will always receive the Level 1 > Level 3 jump, never the Level 1 > Level 4 jump.

Check the team names chosen in the award or custom rule - common team names across locations will share jumps.
E.g. If Bar Supervisor is a team in one location that you want to have the jump for, but in another location, Bar Supervisor is a team that you don’t want the jump for. Because they share the same name, it’ll apply the jump to both.

Try recalculating the timesheet to refresh the application of the rules (you can force recalculate by adding ?recalc=true to the end of the timesheet URL).
