Managing Casual Conversions

How to run, interpret, and make the most of Tanda's Casual Conversion Report.

This help guide will explain how to manage casual conversions in Tanda, including what casual conversion is, how to run and interpret our Casual Conversion Report, and more.


What is Casual Conversion?

  • Australia's National Employment Standards provide casual employees with a pathway to permanent employment, known as ‘casual conversion.’

  • The eligibility requirements for casual conversion include whether the employee has worked a regular pattern of hours on an ongoing basis for at least the last 6 months and could continue working these hours as a full-time or part-time employee without significant changes.

  • Identifying employees who have worked similar hours over a period of time can help identify employees who could continue to work those hours in a full-time or part-time capacity without significant changes.

Accessing the Casual Conversion Report

To access Tanda's Casual Conversion Report, navigate to Reports > Time & Attendance > Compliance Reports.

You may also notice the 'Casual Conversion Dashboard - Admin' report. This is an older report, and its functionality has been superseded by our newer Casual Conversion Report. It will soon be deprecated, so we strongly recommend using the Casual Conversion Report.


Interpreting the Casual Conversion Report

To run the casual conversion report, select an employee's name from the menu and click GENERATE.

After clicking GENERATE, five distinct reports will load, similar to the image below.

To interpret these reports, see the explanations below.

Pattern Strength

Firstly, Tanda gives each employee a Pattern Strength score out of 100, with a higher number representing a stronger pattern. This score is a relative measure of their work pattern's similarity over the previous six months.

Employees with the highest scores will usually have a stronger pattern on at least one day, taking into account:

  • The number of shifts worked on that day (the more total shifts on that day, the stronger the pattern); and

  • The variability in the length of shifts worked on that day (the lower the variability, the stronger the pattern).

The score doesn’t definitively say “Yes” or “No” to whether an employee has a regular pattern of hours worked, but it will help you identify which employees have a strong pattern of working similar hours.

This will also show whether the employee has completed a six-month or twelve-month tenure.

Is there a pattern based on shift length?

This graph shows:

  • Bars representing the minimum, average (mean), and maximum shift length in hours for each day; and

  • The number of shifts represented in that data.

The strongest patterns will have very similar minimum, average, and maximum shift lengths and a high number of shifts relative to the roster length (e.g., 26 for a one-week roster length). On the other hand, weaker patterns will show a higher variance.

If they straddle multiple days, all shifts are assigned to the day on which they commence. Zero-hour shifts (i.e., days where no shifts commenced) are excluded.

Is there a pattern based on shift length by day and week?

This heat map shows how many hours an employee worked daily, segmented into weeks.

Is there a pattern of working on particular days and times?

This heat map shows how many shifts an employee worked on that specific day and time.

Averages

This final section shows the average and median values (both including and excluding zero-length shifts) for each day of the week.


Tracking Casual Conversion Events in Tanda

You can also keep track of Casual Conversion Events in Tanda directly via Staff Profiles. To do so, navigate to Workforce > Staff > *select a staff member* > Pay Conditions > Casual Conversion Events.

To record a new casual conversion event, click +NEW, then enter the required details.

Once created, your Casual Conversion Event will look similar to the image below.
