Using New Hire Requests

Learn how to submit, approve, and manage new hire requests in Tanda, from raising a request through to publishing a job ad.

New Hire Requests are a formal way for a manager to request a new team member in Tanda. Instead of creating a job ad directly, the manager fills out a structured request that includes the role details, pay range, and any custom questions, which then goes through an approval process before the ad is published.

When a role needs to be filled, managers can submit a hire request, whether to replace a deactivated employee or add a new position, and attach it to an existing job ad or suggest a new one.


How it Works

  1. An admin creates a request template form for managers to complete when requesting new hires.

  2. A manager creates a new hire request using a template set up by an admin.

  3. The request is sent to an approver (or multiple approvers) for review.

  4. Once approved, the linked job ad (or new proposed job ad) is automatically published and open for applicants.

  5. From there, the hiring process continues as normal through Tanda Hire.


For Admins: Setting Up Templates

Templates control what managers see when they raise a new hire request. Go to Hire > New Hire Requests > Templates to manage them.

Creating a template

Click + New Template and give it a name. The template has two configuration tabs:

1. Questions tab

Add custom questions that managers will need to answer when submitting a request, for example, a justification field or a budget sign-off question.

The question setup works in the same way as you would configure a Form.

2. Approval Processes tab

Set up who needs to approve requests submitted using this template. You can configure single or multi-stage approval processes, for example, requiring a department manager to approve first, then a senior leader.

If no approval process is configured, requests submitted using this template will be automatically approved.


For Managers: Submitting a Request

To create a new hire request, go to Hire > New Hire Requests, then click New Request.

Then, fill out the following in the request form:

1. Pick a template

Choose one of the admin-created hire templates.

2. Is this a backfill?

Select either:

  • No, this is a new role

  • Yes, replace an existing employee: Select an active or inactive employee to be replaced (scoped to the staff the manager can normally see).

If selecting multiple employees to be backfilled, ensure they share the same position and location, as this influences which job ads are shown in Step 3.

3. Job Ad

Select either:

  • Create a new job ad: Enter the details for a new job ad once you start the request

  • Attach to an existing job ad: Select an existing Unpublished job ad

Note: Each existing job ad can only be linked to one Draft/Pending/Approved New Hire Request at a time.

Then click Start.

You'll then answer any questions set in the template, configure the job ad if Create a new job ad was selected, and submit the request for approval.

You can also leave the request as a draft and come back later to submit it.


For Approvers: Reviewing a Request

When a new hire request is submitted and requires your approval, you'll find it under Hire > New Hire Requests > Pending My Approval.

Open the request to see the full job ad details, any custom question responses, and the backfill information. You can then:

  • Approve - the job ad will be automatically published and open for applicants

  • Decline - the request is closed and the job ad remains unpublished

After approving the request, you can click Close to detach the job ad and allow it to be used in other New Hire Requests:
