Learn how to use Tanda's Availability feature to nominate the times you can and cannot work.

How Does Availability and Unavailability Work in Tanda?

Unavailability is managed within the Availability feature. Employees should set their Ongoing Availability, which is their regular hours of availability from week to week. There are also Temporary Availability/Unavailability requests, which allow for one-off changes to the ongoing availability. This allows you to enter both the times you can work, and the times you can't.

Temporary Availability is where you can make changes to your Ongoing Availability. These requests allow you to configure the available and unavailable times for each separate day in the chosen date range.

Temporary Unavailability is where each day in the chosen date range is marked as unavailable (either all-day or part-day unavailability). Regardless of whether the request is set to All Day or Specific Times, it will apply the same to all days within the date range. This availability type is intended for quick and simple changes.


Any changes made by employees to ongoing or temporary availability will be sent to a manager for approval.


Submitting Availability and Unavailability Requests

Ongoing Availability

To set your regular availability, navigate to the mobile app > Leave > Availability > + Add Your Ongoing Availability. This is where you'll set the normal hours that you can/can't work.

You can also do this on the web under Time & Attendance > Availability > + New request > + Add Ongoing Availability.

Ongoing Availability must be set before any temporary changes can be created. In some cases, your Ongoing Availability may already be set for you.

Enter the date that this availability set will begin from, choose if it's on a weekly or fortnightly cycle, and enter your availability for each day of the week:

Each day can be either unavailable all day, available all day, or available for part of the day. When configuring 'Specific Times', these are the times you are available to work.

Once you've filled in each day, click Create to send the request to a manager for approval.

You'll see a summary under the Availability tab in the app once approved:

Temporary Availability

Temporary Availability is where employees can let their employer know they are free to work more, which is useful for periods like school holidays.

Once you've created your Ongoing Availability, you can make any one-off changes by clicking Temporary Change > Temporary Availability on the Availability page.

Temporary Unavailability

Temporary Unavailability requests mark a specific day or period as unavailable (either for the whole day or part of the day). This is useful during periods like when you are away on holiday or are simply preoccupied for the day.

Mobile App

To create a request in the app, navigate to Leave > Availability > Temporary Change. From there, select Temporary Unavailability, choose the dates you cannot work and provide a reason for the request.

This will be sent to a manager for approval. Once approved, you'll see the temporary change in your Availability overview:

Desktop

To create a temporary unavailability request on the web, navigate to Time & Attendance > Availability > + New request > + Once-off Unavailability. You can create requests for yourself or for an employee you manage here (if you have the necessary permissions).


Viewing and Editing Your Requests

You can view any of your Upcoming Ongoing Availability requests under the overview in the Leave > Availability tab in the mobile app:

Any upcoming temporary changes can be found by first clicking Temporary Change on the Availability page:

Editing

You can edit Upcoming Temporary Availability/Unavailability changes by navigating to Availability > Temporary Change > View your upcoming requests. Click Edit and make your changes. Ensure you click Update at the bottom of the page to save your changes.

Similarly, to edit your Ongoing Availability, navigate to Availability > Edit Ongoing Availability. This allows you to create a new Availability set from any date. You can edit any already-created requests by finding the request under Upcoming Changes on the Availability page and clicking Edit.

Delete any upcoming requests by clicking Edit > Delete at the bottom of the page

Unless you are a manager/admin user, editing an already-approved request will change the status to Pending, and it will need to be approved again.

A manager can also edit requests on the web by going to Time & Attendance > Availability and opening the dropdown on the request > Edit:


Viewing and Managing Your Employees' Availability

Mobile

You can view the availability requests of the employees you manage in the app under Leave > Availability > Team. Both Ongoing and Temporary changes will be listed here.

Click Show Details to review the request, and Decline or Approve to action it.

Web

If using Tanda on the web, navigate to Time & Attendance > Availability to view all Availability requests:

This will only show Pending requests by default, but can be adjusted by updating the Status filter. Requests can also be searched by name or reason, and filtered by date range, type, or team.

Notifications

Employees will receive a notification in the app and an email once their requests are either approved or declined.

Managers will be notified of new requests to approve in the Daily Leave update emails.

By default, you will be notified immediately via email and push notification when your request is approved or declined.

Notification preferences can be adjusted in the app by going to your profile > Notification Preferences. They can also be adjusted on the web by going to the notification icon > Notifications Settings.

In the Roster

By default, an employee's availability configuration will be converted so that only the times they are unavailable are shown in grey.

You can show the specific availability instead by opening the Spotlight filter and clicking Show availability windows instead of unavailability:

With this ticked, the times an employee has nominated they are available will be shown in green:

Note: Any temporary changes to Availability will override the employee's ongoing availability for that day.

If an employee has an approved temporary change, the days included in that request will only show availability from the temporary request on the roster. Ongoing Availability is not applicable for that date range.


FAQs

What happens to the unavailability requests that existed before the Availability feature?

Existing Approved Unavailability requests will be converted into the new Availability format.

When should I use Leave vs Availability?

Leave and Availability refer to similar but distinct concepts.

  • Leave is used to request specific periods off work. For example, Annual Leave or Personal Leave. A leave request is required each time you apply for leave. To learn more about Leave in Tanda, please see Submitting and Managing Leave Requests.

  • Availability is used to nominate times when you are or are not available to work. This is typically relevant for casual or part-time staff who work varied hours. You can nominate the same repeating weekly/fortnightly availability, or enter a temporary change.

Why can't an employee submit an availability request?

An employee will be blocked from submitting an unavailability request for a particular date if the request falls within the 'Minimum number of days notice required for unavailability', as set in your organisation settings.

Why is my employee's ongoing availability not showing in the roster?

Any temporary changes to Availability will override the employee's ongoing availability for that day. If an employee has an approved temporary change, the days included in that request will only show availability from the temporary request on the roster (either a once-off unavailability or a temporary change to availability). Ongoing Availability is not applicable for that date range.
