If you have another commitment or otherwise won't be able to work your regular shifts, you can let your manager know by applying for leave or unavailability.
This help guide will explain how to request leave and availability in Tanda from an employee's perspective.

What Does This Help Guide Cover?
Requesting Leave
Depending on your organisation's settings, you can request leave when you're unable to work. Generally, paid leave is reserved for part-time, full-time, or salaried employees and accrues as they work.
On Mobile
To create a new leave request via the Tanda Mobile App, navigate to the Leave tab on the navigation bar and select the blue + Add icon.
You will be prompted to enter the following details when creating your leave request:
Leave Details
Dates: The date(s) for which you're requesting leave.
Duration: Select between a full day, part day, or multiple leave days.
Leave Type: Shows all available leave types based on your company's leave settings.
Review & Submit
Assign a Single Team: Allocates the leave costs to a specific team.
Requested Hours (optional): Total number of hours you want to take.
Reason for Leave (optional): Employees can provide more details of their leave request.
Attachment (optional): Useful for attaching documents like medical certificates
Once you've submitted your leave request, your manager will be responsible for approving it.
On Desktop
To submit a new leave request on a Desktop device, navigate to Time & Attendance > Leave > + New Leave Request and fill out your leave request. You will be prompted to enter the same details as outlined above.

Requesting Availability
Depending on your account settings, you can apply for availability to let your managers know the days and times you can and can't work each week. Unlike leave, unavailability is unpaid and is simply a way of indicating when you can't work (often for rostering purposes).
Ongoing Availability
To set your regular availability, navigate to the mobile app > Leave > Availability > + Add Your Ongoing Availability. This is where you'll set the normal hours that you can/can't work.
You can also do this on the web under the Availability tab > + Add Ongoing Availability.
Ongoing Availability must be set before any temporary changes can be created.
Enter the date that this availability will begin from, choose if it's on a weekly or fortnightly cycle, and enter your availability for each day of the week:
Each day can be either unavailable all day, available all day, or available for part of the day. When configuring 'Specific Times', these are the times you are available to work.
Once you've filled in each day, click Create to send the request to a manager for approval.
You'll see a summary under the Availability tab in the app once approved:
Temporary Availability
Temporary Availability is where you can let your employer know you are free to work more, useful for periods like school holidays.
Once you've created your Ongoing Availability, you can make any one-off changes by clicking Temporary Change > Temporary Availability on the Availability page.
Adjust the availability on each day for the period:
Once approved, the temporary request will update the overview:
Temporary Unavailability
Temporary Unavailability requests mark a specific day or period as unavailable (either for the whole day or part of the day). This is useful during periods like when you are away on holiday or are simply preoccupied for the day.
Mobile App
To create a request in the app, navigate to Leave > Availability > Temporary Change. From there, select Temporary Unavailability, choose the dates you cannot work and provide a reason for the request.
This will be sent to a manager for approval. Once approved, you'll see the temporary change in your Availability overview:
Desktop
To create a temporary unavailability request on the web, navigate to Time & Attendance > Availability > + Add Temporary Unavailability. You can create requests for yourself or for an employee you manage here (if you have the necessary permissions).
Viewing and Editing Your Requests
You can view any Upcoming Ongoing Availability requests under the overview in the Leave > Availability tab in the mobile app:
Any upcoming temporary changes can be found by first clicking Temporary Change on the Availability page:
Editing
You can edit Upcoming Temporary Availability/Unavailability changes by navigating to Availability > Temporary Change > View your upcoming requests. Click Edit and make your changes. Ensure you click Update at the bottom of the page to save your changes.
Similarly, to edit your Ongoing Availability, navigate to Availability > Edit Ongoing Availability. This allows you to create a new Availability set from any date. You can edit any already-created requests by finding the request under Upcoming Changes on the Availability page and clicking Edit.
Delete any upcoming requests by clicking Edit > Delete at the bottom of the page
Unless you are a manager/admin user, editing an already-approved request will change the status to Pending, and it will need to be approved again.
On Desktop
To submit a new availability request on the web, navigate to Time & Attendance > Availability> + New Request and fill out your availability request. You will be prompted to enter the same details as outlined above.

Managing Your Leave Requests
To check whether your request has been approved and track the status of past requests, navigate to the Leave tab on Mobile or to Time & Attendance > Leave on Desktop.
Pending leave requests are awaiting approval or refusal from your manager and are highlighted in orange.
Approved leave requests have been accepted by your manager and are highlighted in green. You will be paid according to the hours shown on the request (unless you've applied for unpaid leave).
Rejected leave requests have been refused by your manager. They may choose to include a reason for declining your request, though this is not mandatory. These requests are highlighted in red.
The same classifications (pending, approved, and rejected) and colour coding also apply to availability requests.
