Integrating with Access MicrOpay

Integrate employee onboarding information, leave balances and timesheets with Access MicrOpay, Meridian and MicrOpay Web API.

Tanda integrates with Access Micropay via flat-file and web API. To configure your Web API, you will need to reach out to your Access consultant.

Connecting and configuring your integration

Ensure you have connected your payroll system in Tanda. This can be done via Settings > Integrations > Payroll Integrations.

To integrate with Access Micropay Web API, you will need the following details from your Access consultant.

Configuring your timesheet export

Configuring payroll when you are using a Tanda managed award template.

Navigate to Compliance and click Manage next to your Award Template.

Select 'Get a generic configuration report'

Award Rules

Configure your MicrOpay payroll codes against each award rule in Tanda.

  1. The name of the rule in Tanda. To ensure you aren't required to create hundreds of duplicate pay items in payroll, we group rules with matching multipliers.

  2. Set your primary export name (this is the code of the pay item in MicrOpay you want these hours sent to. Typically this will be some kind of normal hours).

  3. If applicable, set a secondary export code. This will export the same hours to another payroll code in MicrOpay. (This is typically your addition code i.e casual loading. Secondary export codes will automatically be exported with a 'TN: Non-Standard Additions & Deductions' exporter ID)

  4. Set a Micropay Exporter ID. This is a required field to export hours correctly. Typically all normal and Overtime hours are 'TH: Hours by Rate' with addition codes 'TN: Non-Standard Additions & Deductions.'

  5. This is for more specific setups and is typically left disabled.

When exporting timesheets, the employee's default pay class in Micropay will be used to calculate pays.

Allowances

Allowances are mapped using the same fields as award rules above. Tandas MicrOpay integration is built for Percentage and Unit allowances. (Rate type allowances should be converted or rebuilt in MicrOpay to use percentage or Units before mapping those to Tanda.)

Configuring payroll when you are using your own custom award rules.

Navigate to Compliance > Custom Award Rules and click Manage.

Click on your first award rule and scroll to the bottom of the award rule to step 4 (b).

Refer to the steps above to configure the following fields.

Integrating leave requests and balances:

If you have connected your MicrOpay Web API integration, your leave balances will sync twice daily at 5 am and 5 pm for staff who have their employee ID entered on their profile in Tanda.

Navigate to Leave > Leave types and click on your first leave type.

  1. In the export name field, you will need to enter one the following values: SickLeave, AnnualLeave, LongServiceLeave, PublicHolidayLeave, ExtraLeave, UserDefinedLeave. These are the predefined values that Access will accept, so you will need to match this formatting exactly.

  2. Set a Micropay Export Type. Each leave type has a unique export ID (this is used to export leave hours to the correct category in Access. i.e Annual Leave uses the code 'TL', Personal/Carers uses the code 'TS' etc)

Cost Centres:

Tanda exports Payroll cost tracking per team, this is not a job code or a tracking code, rather it is the actual payroll account in Micropay. To set your payroll cost tracking codes in Tanda, navigate to Workforce > Teams and click 'edit' on the relevant team.

Under advanced options, you can enter your payroll cost tracking code.

Exporting Timesheets from Tanda

Once you've approved all your Timesheets and you're ready to export, go to Timesheets > Weekly/Fortnightly > click the Preview & Export button: 

You'll then go through to the Timesheet Export Preview page. If there are any errors in your Timesheets, this will be flagged so you can fix before exporting. 

When you're ready to export click Export to Payroll Software again within the Preview page:

A .mif file will be downloaded to your computer.

Import Timesheets into Micropay

Import the .mif file into Micropay through Transactions > Payroll > Import and Export > Transaction Import. Enter the employee you created in Micropay, select the file and run the import.

Importing and updating staff details into Tanda

To import staff automatically to Tanda when a new employee is added in Micropay, turn on Auto import staff.

To turn on auto import staff, navigate to Settings > Integrations > Payroll integrations > Access MicrOpay Web API. Select Auto import staff as shown below:

When auto import staff is turned on the following will apply:

  • New employees added to Micropay will sync automatically to Tanda

  • Changes that are made to existing employees in Micropay will sync automatically to the employee profile in Tanda

Auto import staff will sync the below fields from Micropay to Tanda:

  • Name

  • Date of birth

  • Employment start date

  • Email

  • Phone

  • Employee number

  • Employment end date

  • Award tags (only imported on first time import)

In addition to importing the above fields, you can choose to sync addition fields by selecting import employee details in addition to auto import staff:

Import employee details will import the below additional fields in addition to those that are imported when auto import staff is selected:

  • Employee department/location

  • Award tags (updates every sync)

  • Yearly Salary

Note: The employee will be added to an "From Staff Import" team if their department doesn't exist in Tanda but their location does. Locations are matched based on the location name.

How can I stop staff from being auto-paid in Micropay?

Navigate to your Micropay integration via settings > Integrations Tanda. In the integration settings, enable the following setting.
