Automatically sync employee information with Access MicrOpay

Note - the use of this integration requires the Web API module for Access MicrOpay.

This article will run you through the required steps to configure Tanda for Access MicrOpay integrated employee information.

Configuring Tanda for Access MicrOpay

Setting up Payroll Integrations

1. Create a ‘Access MicrOpay Web API’ integration via Settings > Integrations > Payroll Integrations.

2. Ensure that the payroll integration is set to apply to the necessary employees. (This can be all staff, specific locations or pay groups - If you are exporting timesheets to another integration, and want the MicrOpay onboarding sync to run in the background, set it to apply to 'All Staff')

3. If you have multiple Payroll Companies in Access MicrOpay, you will need to create a new 'Access MicrOpay Web API' payroll integration in Tanda. For each payroll integration, you must configure the Payroll Company Name field in Tanda to be one of the Payroll Companies (Payroll Company Name) in Access MicrOpay.

In Tanda, enter the relevant integration settings, including the Web API Username, Web API Password, API key and Payroll Company Name.

Note: Please ensure that the Payroll Company Name field in Tanda matches exactly the Payroll Company Name in Access MicrOpay.

4. You will find some additional settings at the bottom of the configuration page.

  • Suppress Autopay - tick this box to add an "N" character to the 4th column of the employee line record to suppress autopay triggering on import.

  • Automatically sync staff information - tick this box to periodically check for new staff in Access MicrOpay and import them to Tanda.

  • Import Additional Employee Details - tick this box to import locations, teams, and award tags from Access MicrOpay.

  • Export Award Base Rates - tick this box to have overtime/penalty lines exported using the base ordinary rate export name (e.g., "ORDINARY"), not the pay class. Micropay then derives the penalty rate calculation on its own side. Unticking this means each rule exports under its own micropay pay class (e.g., "P2", "P3"), so Micropay sees the specific pay class for each rule type.

  • Ignore Cost Centres - unticked means each line gets the department's export name (or name) as the cost centre in Micropay. Ticking this means no cost centres will be exported.

Configuring requirements in Tanda

1. For every Team in Tanda, ensure that the ‘Payroll Cost Tracking Code’ (located on the Team edit page) is exactly the same as the Cost Code for the corresponding Cost Account in Access MicrOpay.

Note: Please ensure that the Cost Code in Access MicrOpay is one that has an existing department (has the format of #-##-##).

2. For every Pay Group in Tanda, ensure that the ‘Name’ (located on the Pay Group edit page) is exactly the same as the corresponding PayFrequency Description in Access MicrOpay.

3. If you are using Tanda onboarding, ensure that there exists a Gender Lookup with each of the following values: ‘Male’, ‘Female’, and ‘Other’ in Access MicrOpay.

4. For every Location in Tanda, ensure that the ‘Access MicrOpay PayPoint’ and 'Access MicrOpay Location' fields (located under the ‘Additional‘ tab in the Location edit page) are exactly the same as the corresponding PayPoint in Access MicrOpay.

Onboarding to Access MicrOpay with Tanda

Once your Access MicrOpay and Tanda configuration has been set up successfully, you are now able to onboard new staff using Tanda's Employee Onboarding. When a new employee has completed Onboarding, the following information will be exported to Access MicrOpay, including:

- Personal & Contact Details

- Banking Details

- Employment Information

- Tax File Declaration

- Superannuation (Superannuation Guarantee is applied by default)

If there are errors, such as the Superannuation fund chosen not existing in MicrOpay, these will display in MicrOpay for action.

If an employee fails to export to Access MicrOpay, an email will be sent to the organisation administrator, identifying the problem to be resolved for successful export. If you are having trouble, please do not hesitate to contact our support team at support@tanda.co.

Syncing employee information from Access MicrOpay to Tanda

Once all steps in this article have been followed, you should begin to see employee updates made in the Access MicrOpay reflected in Tanda. Refer to the flow diagram at the top of the page for integrated fields.
