How to manage notifications, workflows, automations and approvals in Tanda Forms

This feature is available for users on the Tanda HR plan.

How Form Notifications Work

The three dots found at the far right of each form template open up associated settings and actions for the template itself.

Under settings you are able to define which positions in the account should receive notifications that a form has been submitted.

Anytime a form generated from this template is submitted by a user Tanda will send both an email and a push notification (via the mobile app) to any users with the chosen position/s set for notification upon submission of the form.


How Form Approval Workflows Behave

The three dots found at the far right of each form template open up associated settings and actions for the template itself.

Under workflows we can set the approval flow for the associated form template.

Form templates can have multiple workflows to handle the requirements in your organisations structure around what roles should be approving forms submitted by differing groups of employees.

In the below example we have a "GM Approval" workflow for a form setup - so that when the form is submitted by staff in any of the selected positions - it goes to the people in the "General Manager" position".

You will be presented with a summary of workflows setup under each form template when they are setup and saved.

Upon submission the approver/s will be notified via email and push notification (via the mobile app) a form has been submitted and requires approval.

Approvers will be given an opportunity to add notes/comments when approving/declining forms.

Upon approval/decline the user who submitted the form will be notified via email and push notification (via the mobile app) that their form was approved or declined.


The status of forms will also be shown and change depending on their outcome - examples below:

  • Submitted - this status is for forms that have no approval workflow set against them.

  • Pending Approval - forms that have an approval workflow, have been submitted, but are yet to be approved.

  • Approved - forms that have an approval workflow, have been submitted and then approved.

  • Declined - forms that have an approval workflow, have been submitted and then declined.
