This help guide will explain how to connect Tanda to Australian National Character Check (ANCC) so you can order an employment police check straight from an employee's Tanda profile. Once connected, assigning the ANCC Police Check qualification to an employee starts the check, ANCC invites the employee to complete their application, and the progress and result are written back to that same qualification in Tanda.

How the integration works
The integration is built and supported by ANCC and uses the ANCC Police Check qualification in Tanda as the trigger. The end to end flow is:
You connect your Tanda organisation to the ANCC Business Portal.
ANCC creates a qualification in Tanda named exactly ANCC Police Check.
In Tanda, you assign that qualification to an employee who needs a check.
ANCC creates one linked employment police check and emails the employee a secure invitation.
The employee completes the application and consent process in the ANCC Individual Portal.
ANCC updates the qualification in Tanda with the check reference and a progress status.
When the result is released, ANCC marks the qualification as current and fills in the attained and expiry dates.
Only the ANCC Police Check qualification starts a check. General employee changes, onboarding events and other qualifications do not trigger ANCC.
Employee information ANCC uses
After the qualification is assigned, ANCC reads the employee's record from Tanda and uses only the details needed to send the invitation: legal first name, middle and last names, email address, mobile number and position title. The mobile number, middle name and position title are optional. The employee must have a first name and an email address in Tanda before ANCC can send the invitation.
Before you connect
In ANCC
Access to the ANCC Business Portal, with authority to connect third party integrations for your business.
Any Business Portal user can make the first connection. Only an ANCC Account Holder or Admin can manage or disconnect an existing connection.
Your ANCC billing setting decided. If the business pays, the check is charged to your ANCC account before the invitation is sent. If payment is passed to the applicant, the employee pays in the ANCC Individual Portal. Confirm this in the Business Portal before assigning any qualifications.
In Tanda
An active Tanda organisation.
Admin permission level in Tanda for the person making the initial connection.
Access to Qualifications, permission to view the employees who may need checks, and permission to add or edit qualifications on their profiles.
ANCC only requests access to your organisation details, users and qualifications. It does not request any payroll or financial access.
Qualification setup
Do not create your own qualification for ANCC. Once connected, ANCC finds or creates the qualification named exactly ANCC Police Check. Creating a second qualification with a similar name will not trigger a check and can cause confusion later.
Connecting Tanda to ANCC
The connection is started from the ANCC side and approved in Tanda. Keep the browser window open until you are redirected back to ANCC.
In the ANCC Business Portal
Sign in to the ANCC Business Portal.
Go to Integrations.
Find Tanda under Applicant Tracking Systems and select Get Started.
On the Tanda setup page, check the description refers to the organisation you intend to connect, then select Connect to Tanda.
In Tanda
Sign in to Tanda if prompted.
If you have access to more than one organisation, make sure the correct organisation is active before approving.
Review the ANCC access request and click Approve.
Wait to be redirected back to the ANCC Business Portal. Do not close the window before the redirect completes.
Confirm the portal shows Tanda Connected with the expected organisation name and connection date.
Once the connection is saved, ANCC confirms it can reach your qualifications, creates the ANCC Police Check qualification if it does not already exist, and sets up the qualification triggered workflow automatically. If the connection completes but the qualification is not set up, check that your Tanda subscription includes API access, that you have Qualifications access, and that you connected as a Tanda admin.
Managing the connection
Once connected, Tanda appears under Active Connections in the ANCC Business Portal. The row shows the connected organisation, status, connection date and available actions. Use Portal to open Tanda or Manage to open the connection status page, which shows whether the connection needs attention. Dates and times in this area use Sydney and Melbourne local time.
One ANCC business per Tanda organisation
A Tanda organisation can only be connected to one ANCC business at a time. If you see that the organisation is already linked, disconnect it from the other ANCC Business Portal account first, or connect a different Tanda organisation.
Disconnecting
Only an ANCC Account Holder or Admin can disconnect Tanda. Disconnect only when you no longer want the ANCC business linked to that organisation. While disconnected, assigning the ANCC Police Check qualification will not start a check. Checks already in progress stay in ANCC and should be tracked through the Business Portal. You can reconnect the same organisation later.
Starting a police check
One assignment starts one check. Saving the ANCC Police Check qualification on an employee is the order. Confirm the employee's details and your ANCC billing setting before you save, and only assign it when you intend to send an invitation.
Before you start
Tanda shows as connected in the ANCC Business Portal.
The employee's Tanda profile has a legal first name and an email address they can access.
You have permission to manage the employee's qualifications.
You know whether the business or the employee is paying for the check.
Assign the qualification
Go to Workforce > Staff and select the employee.
Open HR > Train & Qualify if your organisation uses Tanda HR, or HR > Qualifications otherwise.
Click Add Qualification and choose the qualification named exactly ANCC Police Check.
Set the qualification to Undergoing Training so the profile shows the check is in progress.
Leave the reference, attained date and expiry date blank. ANCC fills these in.
Click Create User Qualification to save.
What happens after you save
ANCC checks that the saved qualification is the ANCC Police Check, reads the employee's current details from Tanda, and creates one linked employment police check. The employee receives the standard secure ANCC Individual Portal invitation by email. The qualification in Tanda is then updated with an ANCC reference and a status such as Waiting on applicant.
This update happens in the background and can take a few minutes. Refresh the employee's profile after a few minutes to see the reference and status.
Avoid duplicate checks
Do not remove and re-add the qualification to retry a delayed invitation. Each new assignment can create a new check and, if the business pays, a new charge. If nothing appears after a few minutes, check Order history > Track applications in the ANCC Business Portal to see whether a record was created.
Tracking progress and results
ANCC writes progress to the same ANCC Police Check qualification that started the check. The qualification's reference field shows the ANCC reference and one of the following statuses:
Status | Meaning |
Waiting on applicant 📩 | The secure invitation has been sent. |
In progress ⏳ | The employee has started the application. |
Submitted & pending results 🔵 | The application has been submitted and results are pending. |
RFI sent to applicant 📝 | ANCC has requested more information from the employee. |
Clean result ✅ | The result has been released with no disclosable court outcomes. |
Result requires attention ⚠️ | The result has been released with a disclosable court outcome. Open the result in the ANCC Business Portal to review it. |
Status updates are sent in the background and may take a short time to appear in Tanda.
When the result is released
ANCC updates the qualification to show the ANCC reference and either Clean result or Result requires attention, sets the attained date to the release date, sets the expiry date to one calendar year after the attained date, and includes a VEVO entitlement status if a linked VEVO (visa) check was completed. The qualification then shows as current on the employee's profile, so it works with Tanda's normal qualification expiry notifications and reporting.
Tanda only shows a short summary of the outcome. For full result details, any recorded outcomes and the downloadable result PDF, open the application in the ANCC Business Portal.
Tracking in the ANCC Business Portal
The ANCC Business Portal is the source of truth for each application. Open Order history > Track applications to review progress, send reminders, cancel eligible checks or view released results. The Action log under Integrations shows connection, qualification trigger, invitation and status update activity, which is the first place to look when something seems delayed.
Billing
Billing follows your ANCC business account's payment setting. When the business pays, ANCC charges your account before sending the invitation and the employee is not charged again when completing consent. When the applicant pays, no business payment is recorded and the employee pays through the Individual Portal. If the payment arrangement is wrong, do not remove and re-add the qualification. Contact ANCC support before creating another request.
Troubleshooting
Check the Action log in the ANCC Business Portal before retrying anything or contacting support.
Tanda is not connected. Go to Integrations in the ANCC Business Portal, select Tanda and complete the connection and authorisation again. Contact ANCC support if it still does not complete.
Tanda says the organisation needs an active subscription. Your Tanda subscription may not be active (i.e. billing is not in place), or contact Tanda support.
Authorisation or qualification setup failed. Reconnect using a Tanda admin who has Qualifications access, and keep the window open until Tanda redirects back to ANCC.
The Tanda organisation is already linked. It is connected to another ANCC business. Disconnect it there, or connect a different Tanda organisation.
The ANCC Police Check qualification is missing. Confirm Tanda is connected, then search Workforce > Qualifications for the exact name. Ask a Tanda admin to check your qualification permissions. Do not create a duplicate.
The qualification was assigned but no invitation arrived. Confirm the employee has a legal first name and correct email in Tanda, that the exact ANCC Police Check qualification was assigned, and check the Action log and Track applications in ANCC. Ask the employee to check their junk folder. Do not remove and re-add the qualification to resend.
The status is not updating in Tanda. Check Track applications in ANCC for the current status and confirm Tanda is still connected. Contact ANCC support if the portal shows a newer status for an extended period.
The qualification was deleted from the employee. ANCC can no longer update that check. Keep tracking it in the Business Portal and contact ANCC support. Do not assign the qualification again unless support confirms a new check is needed.
A duplicate check may have been started. Review Track applications and the Action log. Contact ANCC support if more than one application or charge appears for the employee.
You cannot disconnect Tanda. Only an ANCC Account Holder or Admin can manage an existing connection.
