Once you have reviewed and completed our Tanda Payroll NZ Setup Checklist, you’re ready to create and post your first pay run.
This help guide will explain how to create your first pay run in Tanda Payroll NZ, including details about approving timesheets and payslips, and creating and posting a pay run.
What Does This Help Guide Cover?
Approve Timesheets
Firstly, ensure that all Timesheets have been approved and finalised in Tanda by the end of your pay period.
To do so, navigate to the Time & Attendance tab and select the Timesheets tab for the relevant pay period. Then, follow the process outlined here to approve any pending timesheets.
To learn more, see our Timesheets help guide.
Create a Pay Run
Once all Timesheets have been approved, you're ready to create a pay run. There are two ways to do so. Either:
Click the PREVIEW EXPORT button at the top of the Timesheets page (RECOMMENDED)
Navigate to Payroll > Pay Runs > + New (MANUAL)
After clicking the PREVIEW EXPORT button, you will see a summary of your Timesheets, including any warnings or errors. You must resolve any errors before posting your pay run. To do so, click ‘Expand affected timesheets’ next to the error warning and follow the prompts.
Please note: warnings do not prevent a pay run from being created. However, it is still generally good practice to resolve these warnings, depending on the specific context and your needs.
Once you have resolved the necessary errors and are otherwise happy with your Timesheet summary, click the ‘Create Pay Run’ button in the top right corner of the page.
Review Payslips
Once you have successfully created your pay run, navigate to Payroll > Run Payroll to review the associated payslips.
To review an employee's pay items for the pay period, click their name on the list of payslips.
If any additions or amendments are required to an employee's payslip, such as deductions, lump sums, or back payments, you can include these by clicking +ADD next to the relevant section.
If desired, you can also remove existing pay lines using the red DELETE buttons. If you choose to do so, you will see the following warning:
Further, you can preview the employee’s payslip at the top of the page. To do so, click ‘PREVIEW PAYSLIP FILE.’
Posting Your Pay Run
Once you have reviewed all payslips and are ready to pay your staff, navigate to Payroll > Run Payroll and click POST PAY RUN. If you have multiple payroll files (and therefore multiple draft pay runs), please ensure you select the appropriate one.
After clicking POST PAY RUN, you will see the following warning:
To confirm you want to post the pay run, click POST PAY RUN. Once posted, you will see the following screen confirming your pay run was successful:
From this screen, you can also:
Email payslips to staff by clicking the EMAIL PAYSLIPS button. Once emailed, payslips will also be available for staff to access in the Tanda Mobile App. You will see the following warning confirming you want to email the payslips:
View journal entry details by expanding the ‘View journal entries’ accordion. At the bottom of the summary, you can download the totals as a CSV file or to match your accounting system. For example:
Download the bank file, employment information, and employee details (the latter two are used for Payday Filing purposes) using the respective buttons.
To confirm your pay run was successfully posted, you can also navigate to Payroll > Pay Runs and review the table, paying particular attention to the ‘Status’ column.
If you click on the pay run, you will see these same options to email payslips and download the relevant Payday Filing details, along with the following confirmation message:
