Improvements have been made to the Health Professionals and Support Services Managed Templates in Tanda to incorporate new automated functionality.

Managed Template Improvements

Automation of On-call Conditions

The HPSS Managed Templates now contain new automation to capture when an employee is rostered or required to work during periods of On-call. Please see below for further details:

Recall to Work During On-call

The HPSS Managed Templates now contain automated recall conditions when an employee is recalled to work during a period of on-call per clause 25.6:

📜 25.6 Recall to work overtime

An employee who is recalled to work overtime after leaving the employer’s premises will be paid for a minimum of 2 hours’ work at the appropriate overtime rate.

Previously if an employee was recalled to work while on-call, overtime was applied through the application of the Recall shift tag.

Now, overtime for being recalled to work during a period of on-call will automatically apply in the timesheet when an On-call Schedule has been added to the roster.

To add an On-call Schedule, navigate to Rosters > Time & Attendance > view the roster via the Staff View drop-down in the roster viewing menu:

To add an On-call Schedule to the roster, select the day and click the On-call Schedule button:

The On-call Schedule will be added to the roster. You can then configure the start and end times for the on-call period:

If an employee then subsequently works during the On-call Schedule, recall overtime rules will automatically apply to the time worked:

If the time worked during the On-call Schedule is less than 2 hours as required under clause 25.6 then a minimum engagement will also automatically apply in the timesheet:

On-call Allowances

The On-call Allowances in the HPSS Managed Templates will now automatically apply in the timesheet when an employee has an On-call Schedule added to the roster per clause 23.2(d).

(d) On-call allowance

An employee required by the employer to be on-call will receive the following additional amounts for each 24-hour period or part thereof:

(i) when the on-call period is between Monday and Saturday inclusive—$24.30 per 24 hour period; and

ii) when the on-call period is on a Sunday or public holiday—$48.48 per 24 hour period.

Previously the On-call Allowances in the HPSS Managed Template were applied in the timesheet manually.

The below On-call Allowances are now automated in the HPSS Managed Template:

  • On-call Allowance Monday to Saturday

  • On-call Allowance Sunday

  • On-call Allowance Public Holiday

Please see the below example of the On-call allowances applying automatically to On-call Schedules in the timesheet:

NOTE: Due to the automation now available for On-call periods, the manual on-call allowances will be retired in the HPSS Managed Templates.

Automation of Ordinary Hour Spans on Weekend Public Holidays

The Health Professionals and Support Services Managed Templates now contain automated ordinary hours spans on Weekend Public Holidays per clause 13.2.

Previously, the ordinary hours span on weekend public holidays was facilitated manually in the timesheet for Day Workers via application of the Saturday Public Holiday and Sunday Public Holiday shift tags.

Now, the applicable ordinary hours span for the medical practice will apply to weekday, Saturday and Sunday public holidays automatically.

Please note that these conditions do not apply to employees classified as a shiftworker.

HPSS General

📜 13.2(a) The ordinary hours of work for a day worker are worked between 6.00 am and 6.00 pm, Monday to Friday, unless otherwise stated.

Weekday Public Holiday

When a Day Worker works beyond the 6am-6pm ordinary hours span on a weekday Public Holiday, they will incur Outside Span of Hours overtime:

Saturday Public Holiday

When a Day Worker works on a Saturday public holiday, they will incur Outside Span of Hours overtime:

Sunday Public Holiday

When a Day Worker works on a Sunday public holiday, they will incur Outside Span of Hours overtime:

HPSS Private Medical/ Dental/ Pathology Practice

📜 13.2(b) Private medical, dental, pathology, physiotherapy, chiropractic and osteopathic practices

The ordinary hours of work for a day worker in private medical, dental, pathology, physiotherapy, chiropractic and osteopathic practices are worked between:

(i) 7.30 am and 9.00 pm, Monday to Friday; and

(ii) 8.00 am and 4.30 pm on Saturday.

Weekday Public Holiday

When a Day Worker works on a Weekday public holiday, they will incur Outside Span of Hours overtime if they work outside of 7.30am-9.00pm:

Saturday Public Holiday

When a Day Worker works on a Saturday public holiday, they will incur Outside Span of Hours overtime if they work outside of 8am-4.30pm:

Sunday Public Holiday

When a Day Worker works on a Sunday public holiday, they will incur Outside Span of Hours overtime for all hours worked:

HPSS Imaging: Five and a half day practice

📜 13.2(c) Private medical imaging practices —five and a half day practices

Where a practice services patients on a 5.5 day a week basis, the ordinary hours of work for an employee are worked between:

(i) 7.00 am and 9.00 pm, Monday to Friday; and

(ii) 8.00 am and 1.00 pm on Saturday.

Weekday Public Holiday

When a Day Worker works on a Weekday public holiday, they will incur Outside Span of Hours overtime for work completed outside of 7am-9pm:

Saturday Public Holiday

When a Day Worker works on a Saturday public holiday, they will incur Outside Span of Hours overtime for work outside the 8am-1pm span:

Sunday Public Holiday

When a Day Worker works on a Sunday public holiday, they will incur Outside Span of Hours overtime for all hours worked:

HPSS Imaging: Seven day practice

📜13.2(d) Private medical imaging practices–seven day practice s

Where the work location of a practice services patients on a 7 day a week basis, the ordinary hours of work for an employee at that location are worked between 7.00 am and 9.00 pm, Monday to Sunday.

Weekday, Saturday and Sunday Public Holidays

When a Day Worker works on any public holiday they will incur overtime for any work completed outside of the 7am-9pm span:

NOTE: Due to the ordinary hours span on Weekday, Saturday and Sunday public holidays now being automated, the 'Saturday Public Holiday' and 'Sunday Public Holiday' shift tags are retired in the HPSS Managed Templates.

Time Off In Lieu (TOIL) Now Available

When an employee has an agreement with their employer that overtime worked that would otherwise have been paid can be accrued as time off instead, they are agreeing to Time Off In Lieu (TOIL).

The HPSS Managed Templates in Tanda now contain TOIL conditions that can be applied instead of automatic overtime conditions per clauses 25.5(a) and 25.5(b):

📜 25.5 Time off instead of payment for overtime

(a) An employee and employer may agree in writing to the employee taking time off instead of being paid for a particular amount of overtime that has been worked by the employee.

(b) Any amount of overtime that has been worked by an employee in a particular pay period and that is to be taken as time off instead of the employee being paid for it must be the subject of a separate agreement under clause 25.5 .

To categorise time worked as TOIL in Tanda, the shift must be tagged as TOIL so that the time off is accrued instead of overtime rates being paid.

The overtime hours that have had a TOIL tag applied to them will no longer cost in the timesheet.
