Configuring Leave Types

How to configure new or modify existing leave types.

This guide aims to provide you with valuable insights and step-by-step instructions to efficiently configure and manage your organization's leave types. By customizing these settings, you can align TANDA with your specific requirements, ensuring accurate leave management and streamlined processes.

How to create a new leave type?

To create a new leave type, please head to Time & Attendance > Compliance > Manage Leave types.

Once you click on Manage Leave Types, you will be prompted to the Leave Request Types page. To add a new leave type, click on the + New leave type button, located at the top right corner.

Configuring the Leave Settings:

A Leave type within Tanda comprises four main sections.

1. Basic Leave Details

1.1. Leave Type Name: Enter the name of the new leave type.

1.2. Award Template: Select the award template this leave type applies to.

This will most commonly be left to “all staff”. However, if there are award-specific leave types or configurations required, this will allow those to be set up.

1.3 Leave Applies to Tags: Allows the leave type to apply to certain staff based on their Tags.

Note: It is recommended that the tags for permanent staff are selected, this prevents casual staff from having access to paid leave options.

1.4 Leave does not apply to tags: Prevents the leave type from applying to certain staff based on their Tags.

Note: It is recommended to use these to prevent scenarios where an employee has multiple duplicate variants of the same leave type.

1.5. Leave applies On: Used for day-specific leave types


2. Costing Configuration

2.1 Pay Rate Multiplier: Sets the Multiplier of the employee's base rate Tanda will use to cost this leave type.

This will not impact how staff are being paid, only the costs on the timesheet are impacted.

2.2 Type of hours: Configures if Tanda will treat these hours as ordinary or non-ordinary hours.

Note: Ordinary hours leave items will count as time worked for timesheet calculations.


3. Balance configuration:

Leave Accrual Rate: This sets the rate of accrual that Tanda will use for balance projections.

This accrual only applies to ordinary hours and can be set to also accrue when this leave is being taken.


4. Advance Settings:

4.1 Automatically approve this type of leave request: Removes the requirement for this type of leave to be approved. If toggled, the leave request will be approved 10 minutes after this has been requested.

4.2 Hide employee leave balances for this leave type: If toggled, this will hide the leave balance from the employee, but they can still request leave for this type. Managers will still be able to view the balance during the approval process or if creating it on the employee's behalf.

4.3 Prevent leave requests for this leave type:

Removes this leave type as an option for employees. Managers can add requests of this type on the employee's behalf.

4.4 Disallow negative leave balances for this leave type: This prevents the employee’s balance for this type of leave from being overdrawn into the negatives. There are two approaches to this outlined in this guide:

5. Payroll Settings

5.1 Skip exporting this leave to payroll: This prevents Tanda from exporting hours, useful for unpaid or custom leave types not recorded in Payroll.

5.2 Export Name: Enter the name or ID of the leave item in your Payroll System.

A secondary export can be enabled for some payroll systems - this allows you to map the leave type to an additional payroll item (I.e Leave loading).


How to Edit a leave type?

To edit a leave type, please navigate to Time & Attendance > Compliance > Manage Leave types.

Once there, search for the leave type you wish to edit and click on the Edit button:

Once you make the changes to the leave type, don't forget to hit Update leave type to save the changes.


How to Delete a Leave Type?

To edit a leave type, please navigate to Time & Attendance > Compliance > Manage Leave types.

Once there, search for the leave type you wish to edit and click on the trash icon button:

Otherwise, click on the Edit button, and once on the leave configuration page, click on Delete Leave Type:

How do I see a list of the people entitled to the leave type?

To see a list of staff entitled to the leave type, please navigate to Time & Attendance > Compliance > Manage Leave types. Once there, click on the highlighted link below the applies to column:

Once you click on it, it will take you to the Applicants page where you will see who this leaves applies to and the applicable staff:

Why has my Leave loading not been exported to my payroll System?

The intended behavior in TANDA is to export only the leave hours as a leave request entry to Xero, without exporting the leave cost itself.

In TANDA, the equivalent of the loading is factored into the costing multiplier set against the leave type. This approach ensures accurate figures in timesheets and reporting.

Therefore, it is expected that the leave loading should be directly accounted for in your payroll system.
