What is Leave Autofill?
Leave Autofill is the method used to prefill hours for each day in employee leave requests.
This is especially useful for employees who work different hours on different days, as it can fill hours from Regular Hours of Work, the roster, or from a pattern of recently approved shifts.
Without setting up Leave Autofill, leave requests will fill the same number of hours for each day for all employees.
Note: Hours entered by the Leave Autofill method can still be manually overridden.
Configuring Leave Autofill
By default, Leave Autofill will not be enabled. Find the Autofill settings under Settings > All Settings > Leave > Leave Autofill.
It's important to note the difference between the default number of hours per day of leave and Leave Autofill.
If Leave Autofill is not set up, an employee is not eligible for Leave Autofill, or no Autofill conditions are applicable, hours in leave requests will be prefilled using the following default settings:
In the above example, any leave request created would fill 7.6 hours a day from Monday to Friday.
Leave Autofill will instead enter hours into the leave request based on certain employee details.
How to Set Up Leave Autofill
You can have multiple different Leave Autofill sets applying to different groups of employees.
To create your first set of Autofill conditions, follow the steps below:
Find the Autofill leave requests heading on the Leave Settings page.
Set who this rule applies to via classification tag (e.g., Full Time, Part Time, Salaried).
Choose which strategies Leave Autofill should use. You can select multiple, or just one:
Published Roster
Unpublished Roster
Regular Hours of Work
Recent Pattern of Approved Shifts

Adjust the order of the autofill strategies if needed. The order they are listed in is the order that the request will choose hours from first (i.e., put the strategy with the highest priority at the top of the list).
To adjust the hierarchy, click and hold the ⠿ symbol to drag and drop each strategy.
Note that for "Recent pattern of approved shifts", even if you have other strategies listed below it, they will never be used. This method is always applicable (even if the employee has no shifts), so anything after it in the hierarchy will never be met.
Once configured, click Create Autofill Configuration to save your changes. Any edits made after the initial creation will be automatically saved.
For each new Autofill Configuration, click + New on the left of the Autofill leave requests modal and follow the steps above.
Autofill Strategies
Regular Hours of Work
If the employee has Regular Hours of Work set in their Pay Conditions, leave requests will follow the same shift pattern. Learn more about setting up RHW here.
Any day in their RHW with a shift configured will fill the request with the hours and team for that day, and any day in the RHW with no configured shifts will set the hours of leave for that day to 0.
Published Roster
If there exists a published roster for the dates of the leave request, the hours and team will fill from the published shifts. Learn more about using rosters here.
If the employee has no rostered shifts in the published roster (e.g., other employees have published shifts, but this employee does not), the leave request will fill 0 hours for each day. It will not go to the next autofill strategy.
If there are no published shifts at all, the request will then use the next autofill strategy.
Unpublished Roster
The Unpublished Roster strategy is similar to the Published Roster one above; if there are any shifts for any employees in that roster, this strategy can be used.
If there are no shifts created in the roster (published or unpublished), the request will then use the next autofill strategy.
Recent Pattern of Approved Shifts
This strategy looks back at the employee's approved shift history to estimate how many hours they typically work on a given day of the week. It does this as follows:
Look back period:
The system looks back a configurable number of weeks (set in your leave settings as the Work Pattern Review Period). For each day of leave being filled, it looks at the same day of the week (e.g., for a Tuesday request, it only looks at approved shifts on previous Tuesdays).Minimum threshold check:
The second configurable setting (Work Pattern Threshold) checks if the employee has enough data to average over. If the employee doesn't have enough data points (e.g., they only worked 1 of the past 8 Tuesdays and the threshold is 3), it will fill 0 hours in the request for that day.Calculate the average:
If the threshold is met, it averages the total hours worked across all matching days found. For example, if the employee worked 8hrs, 7.5hrs, and 8hrs across 3 Tuesdays, it would autofill 7.83 hours.
Unlike other strategies, "Recent pattern of approved shifts" does not fall through to the next autofill method in the sequence if conditions aren't met - it always terminates here, even with 0 hours.
Application of Leave Autofill
Once you've configured Leave Autofill, any leave requests for employees eligible for an Autofill Set will prefill the hours for each day from either their RHW, the roster, or from a pattern of recent shifts.
When creating the request, you'll see where the hours have pulled from in the Review and Submit step:
You can also view this in the request overview after it has been created.
How Leave Autofill works with Automatic Leave (Public Holidays)
For automated leave types such as Public Holiday/Paid not Worked, Leave Autofill will still apply, as long as the leave type has been configured correctly and the employee is eligible for the automatic request (i.e., not clocked in by 11pm on the public holiday). For the RHW and Recent Pattern of Approved Shifts strategies, the autofill behaviour will be the same as listed above. The roster autofill strategies vary slightly for automated public holiday leave types, however:
Published/Unpublished Roster
For regular leave types, if 0 hours are autofilled from the roster, no further autofill strategies are applied - the request will just have 0 hours. For PH/PNW, however, if 0 hours are filled, the system will continue to the next autofill strategy instead.
Note that the leave type must be able to automatically create requests on public holidays for this to be true.
If the employee has a published or unpublished rostered shift and a PH/PNW request is triggered for them, the request will be created like normal, using the hours set in their rostered shift.
