Automating Leave Accrual for ‘Otherwise Working Day’ Public Holidays

Automate the accrual of Alternative Holidays when an employee works a public holiday that is an ‘otherwise working day’ for them.

In New Zealand, if an employee works on a public holiday that is a day they normally work, they get paid a multiplier of their base rate, and also accrue 1 day of alternative holidays, which can be taken at another time.

You can automate this accrual in Tanda by using a Custom Rule.

The process of setting up the automatic accruals comes in two parts:

  1. A new custom award rule that will apply to time worked on public holidays, which are normally worked by that employee

  2. Setting the export name and secondary export names to both the Public Holiday earnings rate, as well as the Alternative Holidays leave type.


Creating the Custom Rule

To build a custom rule that applies automatically on public holidays that are ‘otherwise working days’, you can follow the steps below.

Note that this is only a general guide and you should configure it in a way that suits your organisation and needs.

  1. Navigate to Compliance > Custom Award Rules and click + New Award Rule.

  2. From there, name the rule and configure which staff it should apply to.

  3. Then, open the ‘After number of hours worked’ condition and tick the ‘Worked on Otherwise Working Day’ option:

    This condition pulls from the Leave Autofill Settings (Settings > Leave Settings) to determine what counts as an ‘Otherwise Working Day’:

  4. Then, scroll down and open the Specific Day(s) condition. Choose the Public Holidays option so that this rule can only apply on public holidays.

  5. Finally, set the pay rate and Export Name to match that of a Public Holiday rule.

Then, when an employee has a recent pattern of shifts that fall on the same day as the Public Holiday, if they work that Public Holiday, this rule will apply to that shift:


Setting correct export codes

Once the custom rule is applying as expected on the timesheet, you’ll need to make sure the Export Names link to both a Public Holiday Earnings Rate (to pay the employee for working it), and also to a Leave Type (for the accrual of the Alternative Holidays).

To do so, follow the below steps:

  1. Click Edit on the custom rule you’ve just made.

  2. Scroll down to Section 4 > Link to your payroll system.

  3. In the Export Name, choose the Earnings Rate that is associated with Public Holidays worked.

  4. In the Secondary Export Name, choose the name of the Leave Type that you want accruals to go to.

Once this has been set up, you’ll see both the Earnings Rate and the leave accrual come through to the payslip after exporting to Payroll. It will accrue 1 day of Leave for each public holiday worked in that pay period:
