Contract and Document Hubs

Access all documents, contracts and compliance documents.

Access the Contracts and Documents Hub

Find the Hub under Workforce > Contracts & Documents.


Contract Templates

Contract Templates save you time getting new employees started or updating pay conditions for existing staff, such as regular hours of work or employment type.

Information from employee profiles is used to automatically populate fields of a contract to then be sent through Employee Onboarding or through the Tanda mobile app.

The Contract Templates tab includes:

  • A list of existing contract templates

  • The number of contracts that are pending acceptance or have been signed

  • When the template was last updated

  • Buttons to delete, duplicate, or edit the templates

  • Additional links to the contract version history and signing status of the contracts

Use the + New Template button to create a new contract template. Learn more in the Create a Contract Template guide.


Documents

The Documents tab allows you to upload PDF files up to 15MB in size to then send to new staff or existing employees when necessary. These documents can then be acknowledged through Employee Onboarding or the Tanda mobile app.

Use the Documents feature for resources like uniform policies, role responsibilities, and other workplace resources.

The Documents tab includes:

  • A list of existing documents

  • When the documents were created

  • Buttons to delete, send, or view the documents

Use the + Add Document button to upload a new document.

Document Bundles

The Document Bundles tab includes:

  • A list of existing bundles

  • Which documents are included in the bundle

  • Buttons to delete, send, edit, or view the bundle

Use the + Create Document Bundle button to add a new document bundle. Learn more in the Documents and Document Bundles guide.


Sent Contracts

The Sent Contracts tab shows a list of contracts that have been sent either through Employee Onboarding or contract changes.

These contracts can be filtered by:

  • Specific contracts

  • Acceptance status

  • Specific employees

  • When the contract was sent or signed

  • Teams

  • Award Tags

  • Permission Levels

  • Qualifications

  • Inactive users

Sent Documents

The Sent Documents tab shows a list of documents that have been sent to and signed by employees.

This list can be filtered by:

  • Specific documents

  • Acceptance status

  • Specific employees

  • Teams

  • Inactive Users

Access the Compliance Documents Library

This is where you can store compliance documents relating to the business as a whole, such as licenses and certificates. Find this under Operations > Compliance Document Library.

Staff require the following 'Compliance Documents' permissions to access this. Edit this for specific staff under Settings > Permission Settings > Advanced Settings > Customise Access & Roles Here:

Add Compliance Documents

To add your documents, click + Add Compliance File Group and fill out the necessary details before clicking Create.

  • Name (required)

  • Category

  • Description

  • Locations

Once created, you can add any relevant files. To do so, click View on the document before selecting + Add File:

Fill in the following details and click Upload to add the file:

  • Name (required)

  • Reference Number

  • Notes

  • Issue/Expiry Dates

  • File Upload (required)

Edit & Delete Compliance File Groups

To edit or delete a compliance file group, find it under Operations > Compliance Document Library, then click View.

Then, click either Edit or Archive in the top right:

When editing the document, ensure you click Save.

When a document is Archived, files can no longer be added to the document, and it becomes read-only.

You can un-archive a document at anytime by clicking the Restore button in the top right.

Viewing Compliance Documents

Desktop

On the desktop version, all compliance documents will be listed under Operations > Compliance Document Library. Documents can be filtered by Location and Status, or searched by name.

Archived document groups will be hidden by default. Update the Archived filter to 'Show' to include archived documents in the list. These document groups will be marked with an 'Archived' tag:

When viewing individual files, click View on the document group, then View on the individual file. The file will open, allowing you to archive it, or edit its details.

Mobile

Similarly, compliance documents can be found in the mobile app by navigating to your profile in the top right > Compliance Documents.

Search by name, or filter by Location and Status:


Statuses

The status of a Compliance File Group is based on whether the files within it are currently active, expired or archived.

  • A file is automatically marked as 'Expired' if the set Expiry Date has passed.

  • A file is marked as 'Active' if there is either no expiry date set or the expiry date has not yet been reached.

  • A file group is 'Active' if all the non-archived files are marked as 'Active'.

  • If there are one or more 'Expired' files, the group will be marked as 'Expired'.

  • A file group with only archived files, or no files at all, will be marked as 'Inactive'.


Compliance Documents Notifications

If a file is approaching or past the expiry date set, a notification will be sent to the staff selected in Settings > Permission Settings:

By default, this is set to Admins only.

These notifications can also be managed for the individual under Notifications > Notifications Settings:
