Require Managers to Approve Shifts With a Roster Variance

A guide to enabling our Shift Variance Approval feature.

When an employee's shift varies from their rostered times, it can create issues for managers approving the shift. With this in mind, we created an optional Shift Variance Approval feature.

When enabled, this feature requires managers to add a comment when they approve a shift with a variance between the rostered time/cost and the shift's actual time/cost.

Enabling shift variance approval

To enable shift variance approval, navigate to Settings > All Settings > Timesheet Settings > Shift Variance Approval

Simply tick this setting to enable it or untick it to disable it.

Report on shift variance reasons

You can track and report on these comments with the "Shift Comments for Period" report. To enable this report, navigate to Reports > Advanced Reporting Links > BI Reporting > Add Built-In Report. Then, select the "Shift Comments for Period" report.

Once enabled, you can find it in the Reports tab under the HR reports section.

To run this report, set your preferred date range, and you will be shown all shift comments for this period. Alternatively, comments are also available on the individual shifts:

Note that this feature is distinct from the ability to add a comment to a published roster, which you can do by navigating to your roster and then selecting Events & Comments > Add Comment.

FAQs

How Does This Work With Auto-Approving Timesheets?

The approve-all setting will approve all shifts with no variance. However, any shifts with a variance will require manual approval and a comment to be entered.

Does Everyone Approving Need to Add a Comment?

Yes, any manager who is approving shifts with variances will be asked to leave a comment.

Does This Work on the Mobile App or API?

Currently, this shift comment functionality is only available when approving shifts in a web browser.
