Bookings lets your venue take and manage reservations and function enquiries in Tanda, in the same place you build your rosters. This guide explains what Bookings is, who can use it, what each part of the Bookings menu is for, and how to get a location ready to take bookings.
Early access: Bookings is currently available to selected hospitality venues. To find out about switching it on for your business, contact your Tanda account manager.
What this guide covers
What is Bookings?
Bookings is built for hospitality venues such as restaurants, pubs, bars, cafes and function spaces. It brings your bookings and your guests into Tanda:
Reservations: table bookings and walk-ins at each of your locations.
Functions: function and event enquiries and bookings.
Guests: a profile for everyone who books with you, including their allergens, dietary preferences and tags such as VIP.
Online bookings: a booking page for each location that you can share with guests.
Because your bookings live in Tanda, your roster can show how many bookings are arriving and how many guests are seated across the day. That helps you roster the right number of staff for how busy each service will be, instead of guessing.
Before you start
Bookings is in early access, so Tanda switches it on for your organisation. There's no setting to turn it on yourself.
Who can use Bookings
Once Bookings is switched on for your business, everyone sees Bookings in the top menu, but what each person can open depends on their permission level. With Tanda's default permission levels:
Admin: every part of Bookings at every location, including Guests, Settings and quotes. They can also set up bookings at any location.
General Manager, if your account uses it: Reservations, Functions and Locations at every location, and can set up bookings at any location.
Payroll Officer: Reservations, Functions and Locations at every location, but can't set up bookings at a location.
Manager: Reservations, Functions and Locations for the locations where they manage a team, but can't set up bookings at a location.
Employee: no access. If they click Bookings, Tanda takes them back to their home page.
Only users with the Admin permission level can open Guests, Settings and quotes, even if your business has customised its permission levels. Everything else follows each person's permission to edit locations, and setting up bookings at a location also needs permission to create locations. If your business has customised its permission levels, access may differ.
If you don't see a Set up button next to a location, ask an Admin to set it up. Once a location is set up, anyone who can manage its reservations can change its booking settings.
You can see each person's permission level on their profile under Permission levels. In some older accounts, the Manager permission level is called Team Manager.
A tour of the Bookings menu
Click Bookings in the top menu. It opens on the Reservations page. Users with the Admin permission level see five items in the Bookings menu. Everyone else sees Reservations, Functions and Locations.
Reservations
View and manage reservations across the locations you can manage. Click Create reservation to add a booking, filter the list, or click Export run sheet to download the reservations you're looking at. The Create reservation button appears once at least one of your locations is ready to take bookings.
Functions
Track function enquiries and function bookings across your locations.
Guests
See everyone who has booked with you, and keep their name, email, phone, allergens, dietary preferences, guest tags and notes up to date. You can also mark a guest as Do Not Book. Only users with the Admin permission level see this page.
Locations
Set up and manage bookings for each of your Tanda locations. This is where you switch bookings on at a location and change its capacity, booking hours, areas, tables and online booking link. The rest of this guide walks you through it.
Click View next to a location to open its Reservations, Functions, Daily manager and Settings tabs. The Daily manager is your service screen: one location's whole day on a single page, where you can take new bookings, check guests in, seat them and move reservations.
Settings
Manage the lists your team picks from when recording guest details: Allergens, Dietary preferences and Guest tags. Tanda includes a standard list of each, such as Peanut, Vegan and VIP, and you can add your own or archive ones you don't use. Only users with the Admin permission level see this page.
Quotes in the Sales menu
Quotes for your functions sit outside the Bookings menu. If you have the Admin permission level, you'll also see Sales in the top menu, where Sales > Quotes lists the quotes you've raised for your functions.
Your setup checklist
If you're setting up Bookings for the first time, this order gets you taking bookings fastest:
Verify you can see the bookings top level menu item. If you can't, ask your Tanda account manager to switch on Bookings for your business.
Check that the managers who'll take bookings have the right permission level for the locations they look after.
Go to Bookings > Locations and set up each location that takes bookings.
In Availability, set your Default booking length and check your booking hours for every day, including the times your functions run.
In General settings, set the location's Maximum capacity, and split it into booking areas if you take bookings into separate spaces.
Add your tables if you seat reservations at specific tables, making sure they cover every party size you take.
Ask someone with the Admin permission level to check the allergen, dietary preference and guest tag lists in Bookings > Settings.
Share or embed your online booking link and start taking reservations and function enquiries.
Set up a location to take bookings
Bookings are set up one location at a time. A location can take bookings once it has at least one booking area and some booking hours. Until at least one location is ready, the Reservations and Functions pages show No locations are taking bookings yet with a Go to locations button.
Step 1: Switch on bookings at a location
Go to Bookings > Locations.
Find the location. The Status column shows whether each location is Taking bookings, Not taking bookings or Not set up, and you can use the Status filter to narrow the list.
Click Set up next to the location to open the Set up bookings at [location name] window.
Check the Display name. This is the name your customers see, and it starts as your location's name.
Optionally, enter a Reply-to email. This is where guests' replies to booking emails are sent.
Check the Reservations page link, the web address of the location's online booking page. It can only use lowercase letters, numbers and hyphens, and it can't already be in use.
Under What can be booked?, choose one of these options:
All of [location name] is one space: bookings are taken into the whole venue. Enter a Maximum capacity, the most guests it holds at once, or leave it blank for no limit.
Split it into areas: enter an Area name and an optional Capacity for each part of the venue you take bookings into, such as Dining room or Terrace. Click Add area for each extra area. This option doesn't ask for a capacity for the whole location, but you can add one later in General settings.
Under When can bookings be taken?, choose one of these options:
Use [location name]'s opening hours: bookings are taken whenever the location is open, using the business hours set for this location on your roster.
Take bookings at different hours: enter Opens and Closes times for each day. Leave a day empty to take no bookings that day.
Click Start taking bookings.
A Bookings set up message appears and the location's settings open. On the Locations page, its status is now Taking bookings.
Before you share your booking link: The location's online booking page is live as soon as you click Start taking bookings, for anyone who has the link. Finish checking its booking hours, areas and tables before you share the link with guests.
Check the booking hours under Availability first. If you chose your location's opening hours and its business hours have never been set on your roster, the location might have no booking hours at all, or hours that run all day from 4:00am to 4:00am the next morning. The Taking bookings status only means bookings haven't been stopped at the location. It can't be booked until it has booking hours!
Step 2: Open the location's settings
Go to Bookings > Locations.
Click the arrow next to View for the location, then click Settings.
You can also click View, which opens the location's reservations, then click its Settings tab. Each location has Reservations, Functions, Daily manager and Settings tabs.
The settings menu on the left has these sections: General settings, Availability, Online bookings, Booking areas (only once the location is split into areas) and Tables.
General settings: name, email and capacity
The Details section holds the location's Display name, Reply-to email and Maximum capacity. Click Update to save your changes.
Maximum capacity is the most guests the location holds at once. It counts everyone booked at the same time, whether they're with a reservation or a function, and if the location is split into areas, it applies across every area together. Leave it blank for no limit.
To stop taking online bookings for a while, for example while the location is closed for renovations, click Stop taking bookings at the bottom of General settings, then click Stop taking bookings again to confirm. This switches off the location's online booking page, and its status changes to Not taking bookings. Existing bookings stay as they are, and your team can still add bookings there in Tanda. Click Resume bookings at any time to start again.
Availability: booking length and booking hours
Click Availability in the settings menu. There are two things to set here:
Default booking length: how long a booking lasts unless staff choose otherwise, from 30 min up to 4 hrs. By default, it is set at 1 hr 30 min. Each booking holds its space for this long, so set it to how long a table is usually held at your venue.
Booking hours: the times you take bookings each day, entered as Opens and Closes. Leave a day empty to prevent bookings that day.
To copy your location's business hours from the roster into the form, click Prefill from location hours.
If the days stay empty after you prefill, your location's business hours haven't been set, so enter your booking hours yourself. Click Update to save. If you remove all opening hours, bookings can't be taken at the location.
If you run separate services, such as lunch and dinner, tick Allow days to be split into multiple periods, then click Add hours under a day to add another period. To clear a period, click the bin icon next to it. Click Update to save, and you'll see Availability saved.
Good to know: A booking has to start and finish inside your booking hours. For example, if you take bookings from 5:00pm to 10:00pm and your default booking length is 1 hr 30 min, the latest booking you can take is at 8:30pm. Set your closing time to when the last booking should finish, not when it starts.
See who changed availability
At the bottom of Availability, click Availability History to open a list of every change saved to the location's availability, newest first. Each row shows the Action, the User who made it, the Time and the Changes, with the value before and after. Booking hours are listed for each day that changed, and a day with no booking hours shows as Closed. Changes to the Default booking length are shown the same way the form shows them, for example 1 hr 30 min to 2 hrs.
This is handy when online guests are suddenly offered different times and you want to know who changed the hours and when.
Booking areas: split your venue into spaces
Booking areas let you take bookings into separate parts of your venue, such as a dining room, terrace or private room, each with its own capacity. If you set the location up as one space, you can split it at any time:
In General settings, click Split into multiple named areas.
Under The area you already book, use What do you want to call it? to name your existing area. It starts with the area's current name, which is usually your location's display name, so change it to something like Main dining. Bookings you've already taken stay in this area.
Under The area you're adding, enter a name for the new area in What do you want to call it?, for example Terrace.
Optionally, enter a Maximum capacity for each area, or leave it blank for no limit. If your location has a maximum capacity, the existing area's capacity starts at that number.
Click Split.
Booking areas then appears in the settings menu. A split location can't go back to being one space, but you can archive any area you stop using.
In Booking areas, you can:
Add an area by clicking Add booking area, entering an Area name and an optional Maximum capacity, then clicking Add.
Rename an area or change its capacity straight in the list. Your change saves as soon as you click away from the field.
Click Archive to stop taking new bookings into an area. Bookings already in it stay as they are. Archived areas are listed under Archived areas, where you can click Restore to open one again.
A location always needs at least one active booking area, so you can't archive the last one. An area's Maximum capacity is the most guests that area holds at once. The location's own maximum capacity still applies too, so a booking needs room in both.
Tables
Tables are optional. Without them, reservations are placed in an area only. Add tables when you want each reservation seated at a specific table.
Click Tables in the settings menu.
Click Add table.
Enter a Table name, for example T4. Each table name can only be used once at a location, including by inactive tables.
If the location is split into areas, choose the table's Area.
Enter the Minimum covers, the smallest party the table is offered to. If you leave it blank, it's set to 1.
Enter the Maximum covers, the most people the table seats.
Click Add.
Once an area has active tables, every reservation in that area is seated at a free table that fits the party size. When you create a reservation, the Table field is set to Assign automatically, which picks the smallest free table that fits, or you can choose a table yourself. Tables are only used for reservations. Functions are booked into areas.
Good to know: If no free table fits the party, that area isn't offered at that time. Make sure your tables cover every party size you want to take.
To manage your tables, click the three dots next to a table:
Edit: change the table's details, then click Save. A table can't move to another area while it has upcoming bookings.
Deactivate: stop seating new bookings at the table. Bookings already seated there stay as they are, and the table shows as Inactive.
Reactivate: offer an inactive table again. Inactive tables are hidden from the list, so tick Show inactive? to see them first. Inactive tables can't be edited, so reactivate a table before you change it.
When you archive an area, its tables move under Show archived areas and aren't offered. To offer them again, restore the area, or edit each table and move it to another area.
Online bookings
The Online bookings section shows the location's Reservations page link, with a Copy booking link button so you can share it. If you change the link and click Update, Tanda asks you to confirm with Change link, because links you've already shared stop working.
