Training Goals

Set training goals for your staff, assign them to employees, teams or positions, and track progress towards completion.

Training Goals let managers define what training employees need to complete, and track their progress towards it. Goals can be assigned to individuals, teams or position titles, and employees can view their progress from their profile and the Tanda mobile app.

This feature is available for users on the Tanda HR plan. This is also currently rolling out to all accounts, so you may not see this in your account yet.

You can learn more about training here.

How it Works

A training goal groups one or more trainings into a single target for an employee to work towards. Once a goal is set up and assigned, Tanda tracks each employee's progress and marks the goal as met when they reach it.

Goal Types

There are two goal types:

  • Reach a training target: Employees earn points from the goal's trainings until they reach the target. External activities can also count towards this type of goal.

  • Complete a set of trainings: Employees must complete every training in the list.

Setting Up a Training Goal

  1. Navigate to HR > Training > Goals.

  2. Click + New goal.

  3. Fill in the goal details:

    • Name - The name of the goal. Employees will see this when working towards it.

    • Goal type - Choose Reach a training target or Complete a set of trainings.

    • Target points - The number of points an employee needs to earn to meet the goal. This applies to Reach a training target goals.

    • Allow external activities - Controls whether employees can log training completed outside Tanda towards this goal.

    • Category requirements - Optional. Set a minimum number of points that must come from a particular category. See Category Requirements for more detail.

    • Active - Inactive goals show as Draft and cannot be assigned to anyone.

  4. Under Trainings, click Add training and choose a training that counts towards the goal. Set the Points it is worth. Repeat for each training.

  5. Choose when the goal should Expire:

    • Never expires

    • On a specific date each year: The goal expires on the same date every year.

    • After an interval: The goal expires a number of months after it is met.

  6. Click Save goal.

Note: A goal needs at least one training, or Allow external activities turned on, before it can be saved. For Reach a training target goals, the target can't be higher than the points available from the trainings unless external activities are allowed.

Category Requirements

Category requirements make sure an employee earns points from specific areas, not just a total. For example, a goal with a target of 20 points could require at least 10 of those points to come from a "Safety" category.

  1. On the goal form, under Category requirements, click Add category requirement.

  2. Choose a category, or type a new name to create one.

  3. Enter the minimum points that must come from that category.

An employee has to reach the target and meet every category requirement before the goal is awarded. The same category can't be added twice, and the category requirements can't add up to more than the target.

Points count towards a category requirement based on the category of the training or external activity they came from.

Notifications

You can choose who is notified when an employee meets the goal. Open the goal and go to the Setup tab, then select how many levels up the org chart hierarchy should be notified, and any position titles that should also receive a notification.

Click Save notifications after making changes. Managers, general managers, payroll officers and admins in the selected position titles will be notified if they can access the goal.

Managers are notified with the employee's name and the goal, for example Amber Warner met Annual CPD. The employee is notified separately with Goal awarded.

Note: Editing a goal only affects future assignments. Anyone who has already been assigned the goal keeps the version they were given.

Editing and Deleting Goals

Click a goal's name, or View, in the HR > Training > Goals list to open the goal page. It has these tabs:

Users who can't edit goals only see the Progress tab.

To edit or delete a goal from the list, click the ⋮ menu on the right of the goal and choose Edit or Delete. Deleting a goal does not remove employees' progress, and their existing assignments remain in place.

Assigning a Goal

Once your goal is Active, you can assign it to staff.

  1. Navigate to HR > Training > Goals.

  2. Click Assign next to the goal. You can also click Assign from the goal page.

  3. Under Who should work towards this goal?, select the employees, teams or position titles.

  4. Check the count of how many employees will be assigned, then click Assign.

It can take a few minutes for the goal and associated trainings to be assigned to staff.

If someone already has the goal, they won't be assigned it a second time. The modal lists them under Already have this goal.

If some of the people you're assigning already have training from the goal completed, you'll see a Count training they already have checkbox. It's ticked by default, so that existing training counts towards the goal straight away.

Untick it to give everyone fresh, incomplete copies of the goal's training, for example when it's due for renewal.

Note: Training an employee has already completed counts towards the goal straight away. If they have already finished the required trainings, they may be awarded the goal as soon as it is assigned.

Assigning Goals Automatically

Use the When to send tab on the goal page to assign the goal on a schedule, instead of assigning it by hand.

Choose how often it repeats:

  • Once off

  • Monthly

  • Weekly

  • Days after employee start date

  • After a number of worked shifts

Set the Send date if necessary, and choose the Recipients.

Letting Employees Pick Up a Goal Themselves

On the Employee self service tab, choose who can work towards this goal at any time. Employees in the selected groups can see the goal under Explore goals in My Training and start it themselves, without being assigned it.

Tracking Progress

To see everyone who has been assigned a goal, open the goal and go to the Progress tab. You will see each assigned employee with their progress bar, last activity and status. You can filter by employee, location or status.

[SCREENSHOT: The Progress tab for a goal]

Managers can only see the employees they supervise.

An employee's progress also appears in their profile under HR > Train & Qualify > Goals.

Goal Assignments

To see every assignment across all of your goals in one place, go to HR > Training > Goal assignments. The table shows each employee's goal, position, when it was assigned, progress, categories, last activity, status and expiry. You can filter by goal, employee, location or status.

Click an assignment to open it. The assignment page shows:

  • Overall progress, and progress against each category requirement.

  • Trainings in this goal: Each training, its points and whether it's Complete or Incomplete.

  • Counted towards this goal: The source, title, date and points of everything that has counted, including external activities. It shows Nothing counted yet until something has.

If a goal was assigned by mistake, you can delete the assignment from its page. The employee's completed trainings are not affected.

Once a goal has been awarded, training the employee finishes afterwards still shows under Counted towards this goal and on the certificate. Expired goals don't pick up any new training.

Downloading a Certificate

Once an employee has been awarded a goal, click Download certificate on their assignment page to get a PDF certificate of completion. Employees and the managers who can see their training can both download it.

The certificate uses your organisation's logo and branding colour if configured, and shows:

  • The employee and the goal.

  • When it was awarded, and when it expires (or Does not expire).

  • The points earned, for Reach a training target goals.

  • Any category requirements.

  • A training record listing each training with its completion date and points. Trainings that aren't done show as Not completed, and external activities are labelled (External activity).

The certificate is generated each time you download it, so it includes any training finished since the goal was awarded.

The Employee Experience

On the web and in the Tanda mobile app, employees can see the following under My Training:

  • Your goals: Goals they are working towards, with progress shown as points earned or trainings completed. The progress bar turns green once a goal is met. Goals assigned by someone else are marked Assigned to you.

  • Assigned to you: Goals assigned to them by a manager.

  • Self assigned: Goals the employee has started themselves.

  • Explore goals: Click this card to see goals the employee can pick up and track themselves, and click Start to begin one.

Employees are notified when a goal is assigned to them, and again when they have been awarded it. They aren't notified if they assigned the goal to themselves.

Logging External Activities

If a goal has Allow external activities turned on, employees can log training they have completed outside Tanda towards it, such as a seminar, course or reading. They can do this on the web or in the Tanda mobile app while the goal is In progress.

  1. Open the goal and select + Log activity.

  2. Fill in the details:

    • Format - Course, Reading, Seminar or conference, or Other.

    • Title - The name of the activity.

    • Provider - Who delivered it (Optional)

    • Date completed - This can't be in the future.

    • Category - Optional. Only shown if your organisation has categories. The points count towards the matching category requirement.

    • Points - The number of points being claimed.

    • Evidence - Optional. Attach one or more images or documents as proof of completion.

  3. Log the activity.

Employees can edit an activity they've logged using the edit button on the activity, as long as the goal is still In progress.

FAQs/Troubleshooting

Why can't I assign my goal?

Inactive goals show as Draft and can't be assigned to anyone. Edit the goal and tick Active, then try again.

Why won't my goal save?

A goal needs at least one training, or Allow external activities turned on. Also check that the same training or category isn't added twice, that the target isn't higher than the points available (unless external activities are allowed), and that your category requirements don't add up to more than the target.

I changed a goal after assigning it. Do employees see the changes?

Not for existing assignments. Editing a goal only affects future assignments, and anyone already assigned keeps the version they were given.

Does training an employee has already completed count towards the goal?

Yes, if it's complete or still in date. It counts straight away, so an employee may be awarded the goal as soon as it is assigned. If you're assigning a goal for renewal, untick Count training they already have in the Assign modal to give everyone fresh copies of the training.

Does training finished after a goal is awarded still count?

Yes. It shows under Counted towards this goal and on the certificate, but the award date stays the same and no extra notification is sent. Once a goal has expired, it no longer picks up new training.

Why wasn't someone assigned my goal?

If they already have the goal, they're skipped and listed under Already have this goal in the Assign modal. Once their goal has expired, you can assign it to them again.

An employee reached the target but wasn't awarded the goal. Why?

If the goal has category requirements, the employee needs to meet every one of them as well as the target. Open their assignment to see progress against each category.

What happens to employees' progress if I delete a goal?

Nothing. Deleting a goal does not remove employees' progress, and their assignments remain in place.

How do I remove a goal from an employee?

Open the employee's assignment from the Progress tab or the Goal assignments page and delete it.

Why can't an employee log external training?

The goal needs Allow external activities turned on, and the goal must still be In progress. Only the employee the goal is assigned to can log or edit their own activities.

Why can't I see all of my employees on a goal?

Managers can only see the employees they supervise.

I can't see Goals under HR > Training.

Check that you have access to training templates, as goals use the same permissions. If you do, Training Goals may not be enabled for your organisation yet.

How are Training Goals different from training templates?

A training template is a single training that employees complete. A training goal groups one or more trainings into a target, so you can track an employee's overall progress towards it. See Create and Assign Training Templates for more on templates.
