Custom Fields Explained

A look at Tanda's 'custom fields' feature.

This help guide will explain how to use Tanda's custom fields feature, including details on what custom fields are, how to create them, and how they apply.


What Are Custom Fields?

As the name suggests, custom fields allow you to customise and extend the information you collect on Staff Profiles.

In addition to Tanda's default fields, you can create any additional custom fields that may apply to your team. These will appear under the Personal section of a Staff Profile. For instance, you may want to create a custom field to store an employee's T-shirt size, or one to track an employee's food allergies for team lunches, among other things.

Custom Fields can be marked as either required or optional.


Creating Custom Fields

To begin creating Custom Fields, navigate to Settings > Customise & Extend Tanda > Custom Fields.

Then, select + New Custom Field.

From here, you will be prompted to name your custom field, select the custom field type, and nominate whether the field is required or optional. If you select a multiple choice custom field, you will be prompted to add the multiple choice options.

You can also create your field as a draft by unticking the 'Active' checkbox. Once you are happy with your custom field, click Create.


Types of Custom Fields

We support multiple types of custom fields, including:

  • Text

  • Number

  • Date

  • Multiple Choice

  • Checkbox


Editing or Deleting Custom Fields

Once created, you can easily edit or delete your Custom Fields from the main summary page. To do so, simply click the EDIT or DELETE buttons. From this view, you can also see a summary of the type of custom field you created, and whether it is Active or Required.

If you want to edit a custom field, you will be directed back to the creation form.

If you want to delete a custom field, you will be shown the following pop-up, which confirms that you want to delete the field and notes that this process is irreversible.

If you want to hide the field from users without deleting it, you can mark it as inactive instead.


Viewing Custom Fields on a Staff Profile

Once created, custom fields will appear under the Personal section of Staff Profiles.

To view them, simply navigate to a Staff Profile via Workforce > Staff, select a user, and click Personal > Custom Fields.

Custom Fields will appear on Staff Profiles as follows:

Any optional fields that you created will be marked with "(optional)", while required fields don't have any additional designation.
