Integrate employee timesheets and leave balances with HR3 and the HR3 API.

This guide will outline how you can export your timesheets and leave into HR3.

Tanda integrates with HR3 via flat-file and API. To configure your HR3 API, you will need your API Base URL, the API key and a Session Token.

Currently available via the integration:

  • Timesheet export (via flat file in .csv format & via API)

  • Automatically sync employee leave balances from HR3 to Tanda (via API)

  • Automatically sync new employee profiles from HR3 to Tanda (via API)

Connecting and configuring your integration

Ensure you have connected your payroll system in Tanda. This can be done via Settings > Integrations > Payroll Integrations.

To integrate with HR3 API, you will need the following details from your HR3 program.

Configuring your timesheet export

Configuring payroll when you are using a Tanda managed award template.

Navigate to Compliance and click Manage next to your Award Template.

Select 'Get a generic configuration report'.

Award Rules

Configure your HR3 payroll codes against each award rule in Tanda.

  1. The name of the rule in Tanda. To ensure you aren't required to create hundreds of duplicate pay items in payroll, we group rules with matching multipliers.

  2. Set your primary export name (this is the code of the pay item in HR3 you want these hours sent to. Typically this will be some kind of normal hours).


  3. If applicable, set a secondary export code. This will export the same hours to another payroll code in HR3. (This is typically your addition code i.e casual loading).

When exporting timesheets, the employee's default pay class in HR3 will be used to calculate pays.

Allowances

Allowances are mapped using the same fields as award rules above. Tandas
HR3 integration is built for Percentage and Unit allowances. (Rate type allowances should be converted or rebuilt in HR3 to use percentage or Units before mapping those to Tanda.)

Configuring payroll when you are using your own custom award rules.

Navigate to Compliance > Custom Award Rules and click Manage.

Click on your first award rule and scroll to the bottom of the award rule to step 4 (b).

Refer to the steps above to configure the following fields.

Integrating leave requests and balances:

If you have connected your HR3 API integration, your leave balances will sync twice daily at 5 am and 5 pm for staff who have their employee ID entered on their profile in Tanda.

Navigate to Leave > Leave types and click on your first leave type.

  1. In the export name field, you will need to enter the export code from HR3.

  2. If leave loading is applicable the relevant code from HR3 should be entered into the Secondary Export name field.

Tracking hours against a general ledger code (cost centre)

Tanda exports Payroll cost tracking codes to the general ledger field in HR3. To set your payroll cost tracking codes in Tanda, navigate to Workforce > Teams and click 'edit' on the relevant team inside a location.

Under advanced options, you can enter your payroll cost tracking code.

Exporting Timesheets from Tanda

Once you've approved all your Timesheets and you're ready to export, go to Timesheets > Weekly/Fortnightly > click the Preview & Export button:

You'll then go through to the Timesheet Export Preview page. If there are any errors in your Timesheets, this will be flagged so you can fix them before exporting.

When you're ready to export click Export to Payroll Software again within the Preview page:

Upon completion, the payroll will sync across to HR3.

Troubleshooting HR3 Sync

Data from HR3 will sync every hour from 00:40 but you can can force a sync by going to Workforce > Staff and clicking the '+ Add Staff' button.

Then clicking the Import bulk staff dropdown and select 'HR3 API'.
