Timesheets are used to record when staff worked, in comparison to Schedules that record when staff were intended to work.

Create a timesheet

Timesheets can be automatically created through staff clocking in and out via a time clock or mobile device, or manually created by Managers.

Clocked Timesheets

As soon as an employee clocks in or out, a timesheet is automatically created. Each subsequent clock in and out will then be logged on this timesheet, within the specified period.

To view automatically created timesheets:

  1. Navigate to Timesheets in the main navigation bar.

  2. Select Daily to view all employees' shifts for a particular day, or select weekly/for-nightly to view all timesheets for all employees who worked within a period of time.

Shifts will then appear as pictured below with a scheduled time, a clocked time, and a time to be used for payroll.

Clocked times cannot be edited or deleted. Times used for payroll can be edited to account for where staff may have been early or later than scheduled but will not be paid based off that. All edits made to times to be used for payroll are recorded in the 'Timesheet History' for record keeping and compliance.

Manual timesheets

If a time clock is not being utilised or an employee has forgotten to clock a shift, a timesheet can be manually created.

To manually create a timesheet:

  1. Navigate to Timesheets in the main navigation bar.

  2. Select Daily followed by '+ Add Shift' to record one shift for an employee.

  3. OR select Weekly/Fortnightly followed by by 'New Timesheet' to record multiple shifts for an employee.

  4. Enter shift details.

Submit timesheets for payroll

Both automatically and manually created timesheets will need to be approved before they can be processed for payroll.
