Send out Passcodes to your staff so they can use the Time Clock to clock-in and out of shifts. This will include information on how to download the Employee App on their phone so they can check their Roster and enter Leave & Unavailability.

To allow staff access to enter Leave and Unavailability in the App (and other Tanda functions), you'll need to have it enabled. This is done through Settings > General Settings > Time Off tab, but you can check out the article on Enabling Leave & Unavailability.

Send to all Staff

Go to Workforce > Staff:

On the far right, select Tools > Send passcodes to staff:

  1. Select how you want to send the message out - Email or SMS or both by clicking on the relevant options to ensure there's a blue tick.

2. Then choose which staff to notify by clicking next to each name or Select All at the top for everyone:

Staff with an exclamation mark are missing either an Email or Phone Number so won't have that option sent to them. You can click on the icon to go to their profile to fix this up thought and then return back again by going to Workforce > Staff > Tools > Send passcodes to staff.

3. You can then read the preview of what is sent to staff and when you're ready, just click the green Send info to staff button.

Send to one Employee

In Workforce > Staff > click on an employee's profile, next to their Passcode you will see an envelope:

Click the envelope to go to the same Welcome your staff to Tanda screen that we detailed above, but only this employee will be ticked under staff.


If you want to print out a copy of all Passcodes you can do so within Workforce > Staff > Tools > Export > Staff passcodes (PDF):
