Public Holidays will apply on Timesheets in a number of ways:
- As penalty rates for working
- As normal day for not working, either automatically or manually
Check out the scenarios below for how this will display and at the bottom some common issues and how to solve.
The first area you want to be across with Public Holidays is that you've set your Public Holiday region in your General Settings and you've configured Public Holidays in your account, through Leave Types and default Leave Settings.
Once you've done this, you'll want to know that your Public Holidays are applying correctly on your Timesheet. Let's have a look at the different scenarios that can apply, through some example Timesheets below:
Penalty rates for working
Under Timesheets > Weekly/Fortnightly, click on the relevant employee to go into their Timesheet:
Scroll to the bottom of the Timesheet to see the Timesheet Export Summary. The following employee has worked 5 hours on Christmas Day, so we can see that the Public Holiday award rule is applying:
If you are using a Tanda Managed Award Template, this is inbuilt as part of our award rules and your Public Holiday settings for picking up that that day is a Public Holiday. Alternatively, if you have your own custom rules and this isn’t showing, please contact Tanda Support on the details at the bottom of this article.
Normal hours for not working
Through Leave Types in Tanda, you can set rules for adding time to your Full Time and Part Time staff Timesheets for not working on Public Holidays. If you haven't set this up just check out the Configuring Public Holidays article.
This will automatically populate on their Timesheet, if they haven't clocked in by 11pm on a Public Holiday:
Tanda unfortunately can’t automate Part Time staff being paid on a Public Holiday, as we don’t know which days and for how many hours they are contracted to work, you just need to apply this leave yourself.
You just need to apply this by going to Time Off > Leave > + New Leave Request, or within the Daily or Weekly/Fortnightly Timesheet, at the end of the applicable day's row, click on Add Leave:
Select the Part Time: Public Holiday (Paid/Not Worked) leave type (or similar name that you created) and select Add. On the Timesheet the Leave will then display:
- The Hours populated aren't correct: automated entries will apply the default leave request length set in your General Settings. Check what you have set by going to Settings > General Settings > Time Off tab.
- The Public Holiday (Paid/Not Worked) automated leave didn't apply to an employee:
If it's after 11pm on a Public Holiday and the entry hasn't automatically applied to the employee, check the setup under Payroll > Leave Types to ensure it's applying automatically and for Full Time staff. It should look like this:
Next check the employee's profile under Workforce > Staff to confirm their classification is Full Time. If it's not click on their name to go into their profile and change on the Payroll tab:
If any of the factors above weren't correct and you had to make updates, the automated leave won't trigger again, so you'll have to manually enter on this occasion and it will automate on the next Public Holiday.
- Trying to apply Public Holiday (Paid/Not Working) manually by clicking the leave icon on the Timesheet but you can't select the employee name or leave type:
As above, under Payroll > Leave Types, check the leave is configured to apply to the correct staff classifications. Then check the employee's profile under Workforce > Staff to check their classification matches with the one's set on the leave type.
- Public Holiday Leave has no value:
If you've manually applied Public Holiday (Paid/Not Working) and it has no Hours or Dollar value in the Timesheet, your account hasn't picked this up as a Public Holiday:
Check in your General Settings on the Public Holidays tab that the day is included in your setup:
If you needed to add it as an additional date, when you return to the Timesheet, it will then show the Hours and Leave Cost.
