Staff can apply for Leave in Tanda in a couple of ways. As the Business Owner or Manager, you might choose to restrict access to some methods.
Leave can be requested through the Time Clock, the Employee Portal or My Tanda (logging in to Tanda online). Have a read of our article on how to Setup Staff to Apply for Leave to configure staff access.
When staff request leave, you can be notified by:
On the Dashboard, under your Task List you will see a leave request to be approved. Click on the link to go to the request:
The Leave Request can also be accessed by going to Time Off > Leave:
Depending on your Time Off Notifications setup, you will also be notified by Email. You can check our how to configure this in the Time Off Settings article.
Entering Leave Request
When you're in Leave in Tanda, access by going to Time Off > Leave, click the green + New Leave Request button in the top right hand corner to add in leave on behalf of an employee or for yourself. These requests will be automatically approved and will appear in the Approved tab once requested.
Pending Leave Tab
Leave requests entered through by an employee through the Portal or Time Clock will come through to the Pending tab. You can approve or decline the request by using the Decline or Approve button in the bottom right hand corner. This will then notify the employee of the outcome and move the request to the Approved or Decline tabs:

If Leave is approved, those requests will show in the Approved tab:
Even though it is approved, you still have the following functionality:
- Edit the leave by Admins & Managers until it is locked once exported to your payroll software. It will show in grey to show it is locked.
- To edit simply click in the relevant heading and enter the adjustment
- Attach a document if the employee didn't originally attach to the request
- Under Events, it will show if the employee was already rostered during this time
- You can still Decline/Delete by clicking the relevant button just above the request, at the right far end.
- You can also click the drop-down arrow to the right of the employees name to View History of the leave request, send the employee an Email about the request or View the Timesheet where this Leave shows:
If you press Decline leave either in Pending or Approved Leave tabs, you will be prompted to include a reason to include in the email notification to the employee.
You can also opt not to send an email to the employee (this can be useful if the leave was entered by a Manager incorrectly and the employee doesn't need to be notified).
Click the red Decline leave request button to action. You can also click Cancel at the bottom if this was in error.
If you would like to delete a leave request, you can do this by clicking on the Delete Request button found at the top right of each leave request. You are able to delete both Pending and Approved leave. This will move the request into the Declined tab without having to send staff a notification email. Keeping a track of deleted leave is important for security purposes and will prevent any problems if a request is accidentally deleted.
If you wish to edit a leave request, you may do so up until any timesheet on which the leave applies has been exported. If the timesheet has already been exported, you will notice a lock on the leave request highlighting this. If you wish to edit this leave request, you will need to unlock the timesheet it applies to first.
To help navigate your leave, click on the drop down date. To further filter leave by date, use the date picker to select the start and end date for the period, or use a preset time period on the right of the calendar.
To keep track of your leave, subscribe to the Leave Calendar on your calendar software using the subscribe option in the tools menu. You can also export your leave as a csv file for reporting in Excel.
To view the history of a leave request or send a message to your staff in regards to their leave, you can access these tools by clicking the down arrow next to the staff members name above their leave request. For a link to the timesheet that this leave request falls on, use the View Timesheet tool. To view all leave requests for this staff member, you can also select All Leave Requests for a complete list.
