Tanda & MYOB Exo integration including Importing Staff and Exporting Timesheets

Tanda and MYOB Exo is run through a flat-file integration, where a file can be exported out of Tanda with your Timesheets to MYOB. This article will take you through requirements in MYOB and Tanda for integration, how to bulk import your staff into Tanda the first time and then options for new staff going forward. It will also take you through exporting your Timesheets from Tanda into MYOB. 

Integration

In MYOB

  • You must be running MYOB EXO Business Version 2015.1 or later.

  • All staff have a MYOB Card ID: Tanda uses this field when importing Timesheet data, so staff without one may not be imported back into MYOB.

  • In the Setup Payroll tab, under Other Setup and Other, ensure you have ticked Import time transactions - CSV File:

Add MYOB to your Tanda account by going to Settings > Integrations > Payroll Integrations:

In the top right corner, click on + New Payroll Integration:

Find the MYOB Exo (Australia) or MYOB Exo (New Zealand) logo and click on it. In the next screen click Save to complete. 

Importing Staff

There isn't an automatic import or report that can be imported from MYOB Exo to Tanda but there are a few ways you can add your staff to Tanda; by manually adding them, importing by Excel or you can ask your staff to fill in their details by sending them an invitation to Tanda's Employee Onboarding. 

Go to Workforce > Staff:

On the right, click on + Add Staff:

In the pop-up window select the option that you want to use for adding your staff:

  • Add Manually: just add in their information yourself.

  • Employee Onboarding: click on this article for further information.

  • Importing from Excel (CSV): download the Template and add your staff details and then import into Tanda. Click on this article for further information.

When you're importing by Excel, add into the sheet in the Employee ID column, the Card ID from MYOB.

If you're adding manually or from Onboarding, you'll need to add this to each employee's profile in Tanda. Go to Workforce > Staff > click on an employee's name to go into their profile and then click on the Payroll tab. Add the Card ID to the Employee ID field and click Update to save:

You'll need to add your Pay Codes from MYOB Exo to create or match the Award rules in Tanda.

For Managed Award Templates go to Compliance > next to the relevant award template Manage > Get generic configuration report > skip this check > enter export name

For Custom Payroll Setup go to Compliance > Custom award rules (Manage) > select the rule > add the export name for each award.

For example, there will be a rule called Base Hourly in your account by default. Click on this to edit it and set the export name as 1.

Repeat the same for Leave, under Leave > Leave Types. Click on your Leave types to edit and set the export name as the Pay Code from Exo, for example A, S or L.

Exporting from Tanda

Once you've approved all your Timesheets and you're ready to export, go to Timesheets > Weekly/Fortnightly (check you're on the correct pay period) > click the Preview & Export button: 

You'll then go through to the Timesheet Export Preview page. If there are any errors in your Timesheets, this will be flagged so you can fix before exporting. 

When you are ready to export click Export to Payroll Software again within the Preview page:

If given the option save this file, or copy & paste it from your Downloads to the folder on your C: drive where your MYOB Exo is saved. Look for a folder called Payrollv and either save or paste the file in there.

Please ensure that the file name is TIMETRAN, as the file will not be imported into MYOB Exo under a different name.

Importing to MYOB EXO

Head to Pay > Import Time Transactions. Provided you have saved the file in the correct location, the following menu will show:

Select your Pay Frequency and Pay period end date and click Import.

You will then be prompted to make a backup of your file and once that’s complete you will be given the option to print or view the Time Transaction Import Audit report.

If not successfully imported, MYOB will provide you an error report. Common errors can include: 

  • Missing job cost code 

  • Missing pay code

  • Missing employee ID

If you have checked "Pay Details" and the employee's are showing with 0, it is likely you may have missed one of the above factors.

If successfully imported, head back to "Pay Details" to review the hours imported. You may then continue processing payroll as normal.
