Now that you've setup your Locations, Teams and Staff, you're ready to create your first Roster in Tanda.
In the Setup Checklist, click Create a roster to go to the Roster for the current week:
You can build and view your roster in a couple of different ways - Week, Day, Staff, Shifts and Costs. Week view will show by default but to select a different view just click on that option, the remaining views are located in the drop-down at the end of Staff:
Staff view lists each employee on the left in alphabetical order, with their total weekly hours and each day of the week at the top of the bar:
Week view lists each shift card vertically for each day of the week. This gives you a great overview of your entire roster. In this view you can drag shift cards into any order. You can also click on the drop-down arrow next to the date to sort the shifts in starting order:
Day view shows you shifts for one day at a time. This is useful if you want to make sure you have staff coverage throughout the day. You can switch between days by clicking on the relevant day at the top of the shifts.
Create a shift
Back in Week View, to create a shift simply click into an empty shift card and assign a Team and an Employee. If you click on the Team box first you will see a drop-down where you can choose any available Team:
Once a team has been added to a shift card only Staff that have been added to that team (on their profile) can be assigned the shift:
Alternatively you can assign Staff to the shift before adding a Team. Once you do this, only those Teams available to that Employee can be selected.
If you're rostering in Staff view you will just need to click in the empty box to create a shift card.
When entering times, remember:
- For morning (am) times, just enter the time. eg. 7 or 730
- For afternoon/pm times place a p at the end. So you would type 530p or put it in in 24hour time 1730
- For shifts that go into the early hours of the next day, place am at the end, so you would type 130am
The start time will be entered in the first box and the finish time in the second box:
A quick way to copy shifts is to use keyboard shortcuts. Hover over the shift and press ctrl+c, then put your mouse over a blank shift and press ctrl+v to paste.
Another way to do this is by clicking the pencil icon in the top right corner:
Click on Copy and a duplicate of that shift will be created below. You can then drag the second shift card to another day. You can then change the times or any other information of that duplicated shift if necessary.
If you need to roster in exact break times, under the pencil icon, click Add break:
This takes you to the Day view screen i.e. Monday. Under the Break column for the shift enter the start and finish time of the break in the format below. It will then calculate the length of this break for you:
Click back to Week view and you will now see, when you hover over the break icon that a time has been set. Staff will be notified of their break times when they receive their roster:
Alternatively, if your staff don’t take set break times, but need to have a portion of their shift taken out for an unpaid break, you can set this in the Settings menu. Have a read of our guide on how to Configure Breaks in Settings for more information.
Once you have configured these automatic breaks in settings, when you hover over the pause/break icon, you will see this is now reflected as Automatic break. The staff member will not be notified:
Filtering the roster
To temporarily remove from view any Teams or Shift Details, you can untick these in the Sidebar. To only see Shift Details under a Team, just tick the option(s) you want to see:
Publishing the Roster
If you’re happy with the roster and want to notify staff, you can click the green Send to Staff button.
Note: staff will not be able to view their Roster in My Tanda until you send it to them:
Copying the Roster
You can copy individual days and the whole roster to any other time period roster. Click the drop-down next to the individual day and select Copy shifts between days or to copy the whole roster, under Tools, click Copy between weeks. You can also save your roster as a Template by clicking on this option to the left of Tools:
