What Does This Help Guide Cover?
Permissions
By default, Performance Review templates can only be created, edited, or deleted by Admin-type roles.
To adjust or enable access for other role types, ensure the relevant permissions have been selected via Settings > Permissions > Show Advanced Settings > Customise access and roles here. Then, navigate to the HR section, expand the 'HR Templates' menu, and enable the relevant settings.
To learn more, see our Permissions and Customise Permissions help guides.
Create a Performance Review Template
To get started, navigate to HR > Performance Reviews and select the Performance Review Templates tab. Then, click the + Create Template button.
Next, add the following details to your Template:
Name: Name your template to help you identify it later.
Active: Tick this box to set the Template as active and able to be used, or untick it to create your Template as a draft.
Description: Provides additional information about the Template. Only visible on the templates page.
Notifications: Select who should be notified when the performance review is submitted. You can either nominate how many levels up your Organisation Chart will be notified or select which specific Position Title(s) should be notified.
You can also edit these fields later under the Setup menu. Once you have entered all the necessary details, click Create.
Alternatively, you can upload a pre-existing performance review on this menu (as a PDF or DOCX file), and our AI will interpret this and preconfigure the Performance Review directly from your document.
Add Sections
Once you've created your Performance Review Template, you can group similar questions together by adding Sections. Multiple sections are not required, but there must always be at least one section.
To create additional sections, click Edit next to your Performance Review Template. Then, click Add Section.
↓
From there, you can name or rename the section and begin to add in questions or other additional information.
You can also reorder sections by holding onto the 𓃎 icon and dragging them up or down the list:
Add Questions
Once you've configured Sections, questions can be added to the template.
To create a new question, click the + Add Question button on the side of the page:
When creating a question, you can include the following details:
Question: Enter your question here.
Answer Type: Specify how the users can respond to the question. To see what each answer type is like, please see HR Answer Types.
Required: Specify if the question is mandatory or can be skipped.
Advanced Settings
Who should complete?: Specifies if the question requires the Reviewer, the Employee, or both to answer.
Validation Settings (optional): Specifies the minimum and maximum number of characters or words the answer must be. This field is optional to fill out.
Arranging Questions
Similar to Sections, you can also rearrange them by dragging and dropping.
You are also able to insert a question in a specific spot by hovering over the gap between two questions and click + Add Question Here:
Follow up Questions
You can configure follow-up questions that are asked depending on the answer given by the assignee or reviewer.
To add a follow-up question, select + Add Follow Up Question:
From there, you can choose what will trigger the follow up question to be asked, based on how the user answers the question.
Following the above example, this might look like the below:
This means that if the employee chooses ‘No’ to the question ‘Have the sales targets been met this quarter?’, then it will ask the follow up question.
You can then configure the follow-up in a similar manner to regular questions.
Additional Section Information
You can also add Video URLs, Files or Images, and Additional Text alongside questions for additional context. These are treated similar to questions in that they are placed anywhere and can be rearranged by dragging and dropping.
Saving the Template
The Performance Review will automatically save questions, so once you’ve finished configuring tham all, you can just navigate away from the page.
