Tanda & QuickBooks Online integration

Connecting Tanda and QuickBooks Online

Add QuickBooks Online (AUS) to your Tanda account by going to Settings > Integrations > Payroll Integrations > New Payroll Integration and select QuickBooks AUS:

You'll need to fill in a few details from your QuickBooks account to successfully connect the account, including ABN and API key.

You can find your API key at QuickBooks Online > Employees > Payroll Settings > My Account.

If you have more than one business in your QuickBooks account, you'll also need to enter the business name in Tanda, ensuring you enter the name exactly as it appears in QuickBooks. Your Business Name can be found in QuickBooks under Company Settings or Account and Settings.

Payroll Configuration

Employee details sync from QuickBooks to Tanda once for each employee - if any details change, these may need to be updated manually in Tanda. These details include:

  • Status

  • Name

  • Mobile Number

  • Email Address

  • Employee Number

  • Date of Birth

  • Employment start date

  • Unique ID

  • Employment Type

  • QuickBooks ID

  • QuickBooks Name

Tanda sends timesheet data through to QuickBooks via an API export. This data includes:

  • Award-interpreted units

  • Start times

  • End times

  • Location ID

  • Work Type ID

This means, when exporting timesheets to QuickBooks we'll need to ensure:

  1. Employees have External IDs in QuickBooks and these have been entered on their Tanda profile under Payroll > Payroll ID. 

  2. Employees are setup for Timesheets by selecting 'Uses Timesheets' on each employee's profile, under the Employment Details tab. 

  3. We've mapped Award rules and Leave Types in Tanda (under the Compliance tab) to Work Types in QuickBooks (Payroll Settings > Work Types).

    In order for a user to be able to pay in QuickBooks using Tanda, both Pay Categories and Work Types need to be created and configured in QuickBooks. Work Types are designed to be employee-facing as an easy way of submitting what work they have done. What employees are paid depends on Pay Categories, which you can link Work Types to.

    Create Pay Categories first as you'll need these to be able to create Work Types. To know what Pay Categories need to be created, download the configuration report from the Tanda Compliance Centre (Compliance > Award > Managed Award > Download Configuration Report). The best practice would be to create Base Hourly rules first. When a Pay Category is linked to a base pay category, you only need to specify the base rate for the employee and the rate for the linked pay categories will be automatically calculated.

    Once you have created Pay Categories, then create Work Types. The important part for making these work with Tanda is making sure the Export Name in Tanda matches the Work Type name in QuickBooks and this is for Award Rules, Allowance, and Leave.

Exporting

In Tanda, approve timesheets > click Preview & Export > followed by Export to Payroll Software:

Then, in QuickBooks, timesheets that have already been approved in Tanda will automatically be approved.

Next, head to Pay Runs and add a new pay run. Enter the pay run dates so they match your pay run in Tanda and ensure you've opted to import timesheets for this pay run. Then click 'Create'. You should then see the timesheets for Tanda in QuickBooks. 

Once you've got a pay run with timesheets imported, you've completed the export from Tanda. From here you can process payroll as you usually would in QuickBooks.
