Some Industry Awards and Agreements dictate that the hours worked by salaried staff must still be tracked. This is so that Outer Limits Breaches and Wage Comparisons can be properly calculated.
Most salaried employees, however, do not typically clock in and out of shifts, which makes it difficult to track the hours they actually work.
To track hours worked by salaried employees in Tanda without clocking in and out, automated salaried timesheets can be used. These automatically create shifts for Salaried staff based on their set Regular Hours of Work, which can then be approved, adjusted or declined by both the salaried employee and their manager to account for any variances in hours worked.
What this help guide covers:
Setting Regular Hours of Work
For this feature to work, each salaried employee should have Regular Hours of Work configured in their Pay Conditions. You can learn about setting these here.
Turning on Salaried Timesheets
To enable the automatic creation of salaried shifts, navigate to Settings > All Settings > Timesheet Settings > Salaried Staff Automatic Timesheets and tick "Automatically create timesheets for salaried employees":
This setting is off by default. Ticking this will enable this feature for all staff with both a salary and Regular Hours of Work (RHW) configured in their current Pay Conditions.
If any eligible staff should be excluded from having their timesheet automatically created, tick their Position Title in the dropdown.
Employee Permissions
With the feature enabled, any eligible staff (salaried with regular hours) will be able to edit their timesheets.
Any manager who can normally approve timesheets can also confirm the hours the employee worked.
How it Works
For each eligible employee, the shift set in their RHW for that day will be added to their timesheet at 3am (AEST) every morning. If there is no shift set, no shift will be created.
Each day, or at any point in the pay period, the salaried employee will make any required adjustments to the timesheet themselves, request any adjustments from their manager where required, and confirm the hours worked.
One of the employee's managers must also approve the hours worked and address any adjustments made/requested by the employee.
If both parties have confirmed, payroll can be run without any issues. If there are outstanding requests or hours have not been confirmed by both the employee and manager, a Pay Check will flag on the timesheets for that period.
Review, Edit and Approve Timesheets
As an Employee
Editing Timesheets
If a manager has not yet approved your hours as the employee, you can make any changes to the automatic shifts in the mobile app by navigating to Timesheets > My Timesheets > Edit on the shift that needs adjustment.
You can also add any missing shifts by clicking "Missing a shift? Add It":
Click Confirm at the bottom of the page once you believe the hours are accurate.
If you make any changes after confirming the timesheet, you will need to confirm it again.
Requesting Changes
If a manager has already approved your timesheet, but you need to make adjustments, you'll need to request changes instead. Click Change at the bottom of the page, then select Request Change on the shift you need to adjust.
Leave a comment regarding the change if necessary and click Submit Request. Your managers will receive an email notifying them about the requested change.
As a Manager
Confirming Hours on the Web
Beneath the employee's timesheet, you'll see if it requires your confirmation. After reviewing the shifts and making any necessary adjustments, click Confirm All Hours.
Confirming Hours in the Mobile App
To confirm the hours an employee worked in the app, navigate to Timesheets > the ⋮ menu icon > Confirmation Timesheets
Here, you'll see all timesheets requiring your confirmation.
Click on each employee's timesheet and select Confirm All Hours.
If you need to make changes to the shift, you'll need to do so under the Timesheets tab > Approve Timesheets > find the timesheet to adjust > Edit.
Actioning Employee-Requested Changes
If an employee has requested changes, you'll receive an email linking you to their timesheet:
It's recommended to manage the requested changes on the web version of Tanda.
Beneath the employee's timesheet, you'll see the changes that have been requested:
To apply these changes, click Review Request > tick the shifts that should be updated > Apply Selected:
Both the manager and the employee will then need to confirm the new hours in the timesheet.
If you do not wish to apply the employee's changes, click Confirm Hours instead of Review Request. The employee can cancel their request and confirm their hours instead in the mobile app.
Manage and Track Timesheet Changes
You can see the history of approvals and requests on automatically-created shifts by going to the employee's timesheet on the web, scrolling down and opening the Hours Confirmation History.
Notifications
You can configure these in Notification Settings.
